Invoicing Tips: How to keep your PO invoices processing smoothly






Only one PO can be listed on each invoice
List PO line number and description for each line of goods/services being invoiced
Only invoice for goods/services that have been delivered to T-Mobile
Tax and freight charges that are associated with the PO may be invoiced on the same
billing as PO charges, as long as they are clearly broken out
PO charges and non-PO charges may not be submitted on the same invoice
o Extra charges related to, but not included on the PO should be invoiced separately
noting “for additional charges related but not included on PO # 455….” in the body of
the invoice.
Do not overbill your PO amount. Overbilling will cause delay in payment and risk possible
rejection.
PO billing: What works…What doesn’t?
(It is EXTREMELY important that you take notice of how your PO and invoice are set up, they must
match)
PO created: Qty 1 @ $500.00
Invoiced at: Qty 1 @ $500.00
Resolution: None needed. A perfect match.
PO created: Qty 500 @ $1.00
Invoiced at: Qty 250 @ $1.00
Resolution: None needed. This format allows for partial qty invoicing.
PO created: Qty 1 @ $500.00
Invoiced at: Qty 1 @ $250.00
Resolution: Prior to invoicing, PO must be reformatted to qty 500 @ $1.00.
(Contact: TechVendor@T-Mobile.com to request PO adjustment. Do not invoice until
you have received a copy of the adjusted PO)
PO created: Qty 10 @ $100.00
Invoiced at: Qty 10 @ $90.00
Resolution: Prior to invoicing, new quote should be provided to and approved by PO requestor.
Once change is approved, you will receive a copy of the adjusted PO. Do not submit your invoice
before you receive an adjusted PO. This will cause invoice rejection.
