Job Description: HR Assistant

Reporting to: Assistant Bursar with dotted line to HR Manager

Role

To support the Assistant Bursar to provide a comprehensive HR administration support service to the Foundation in line with policies and procedures agreed with the HR Manager.

To provide support to the HR Manager to provide a comprehensive HR service to the Foundation.

Key Responsibilities

To own and administer the recruitment process for School and Foundation in line with policies and procedures set out by the HR Manager, including the vetting procedure, ensuring compliance with requirements from external regulators.

Support the Assistant Bursar to manage the CRB requirements for School and

Foundation, taking responsibility for checks and record keeping to meet regulators requirements.

Ensure Personnel Files and Records maintained efficiently and accurately in line with Foundation policy and Data Protection legislation.

Establish a management information database to record and report key information including turnover, absence, equal opportunities. Establish a diary system to pick up key events e.g. retirement.

Monitor absence and initiate absence management procedure with guidance and support from HR Manager as appropriate.

Provide support for Disciplinary and Grievance procedures by providing details of policy and taking notes in interviews.

Take responsibility for providing a complete administration service for all aspects of employment, including typing, maintaining records and following procedures including; employment offers and contracts, changes to terms and conditions, absence, probation, leave, training, benefits, long service, retirement and leavers.

Assist in the development and/or update of HR procedures to meet changing needs and changes to legislation.

Co-ordinate Induction of new starters with respect to provision of relevant policies and procedures.

Handle initial enquiries, both internal and external, relating to employees, responding where appropriate or seeking support from the Assistant Bursar or

HR Manager.

Liaise with payroll to ensure all matters affecting pay are effectively communicated.

Undertake simple calculations to pro rata, calculate holiday entitlement and pay etc.

Provide administrative support to the HR Manager as required.

With support from the HR Manager and Asst Bursar, develop knowledge of basic

HR legislation and external regulations affecting employees in a School environment.

Provide occasional support to the Bursar’s Administration Department.

Knowledge/Skills/Experience

The candidate must have sufficient HR administration experience to be able to take ownership of, and where appropriate to set up, HR procedures as set out above.

Ideally working towards CIPD qualification, although experience and aptitude to develop HR knowledge is more important. [Support for studies may be available where appropriate]

Confident and self assured; able to take responsibility for duties and handle relationships effectively with colleagues at all levels.

Excellent written and verbal communication.

Proactive; able to use initiative and judgement within broad guidance framework.

Good attention to detail, but pragmatic and flexible when appropriate.

Good IT and keyboard skills, including Word and Excel and experience of database entry and reporting.
