Job Description:
Responsible for HR & Admin functions of a Unit having approx 800 manpower.
Human Resource Planning:
 To analyse current situation of employees.
 Have to do update HOD’s with current status of employees in plant.
 To discuss, future requirements of employees, with HOD’s.
 To communicate with contractors and consultancy for fulfilling specific job position.
Recruitment:
 To update the Consultant regarding current vacancy with the help of job description & job specification.
 Make a proper communication channel with them on daily bases.
 Collect all the response from the consultancy.
 After collecting the response have to shortlisted the matching profile.
 Make a proper line up of the collected resume for next process.
 After selecting the candidates have to again update the consultancy for closing the vacancy.
Induction & Joining Formalities:
 Company Presentation.
 Making the new employee aware of the company's rules and regulation and also his responsibilities.
 Giving training manual and introduce him/her with different departments members’.
 To conduct plant round and provide respective forms to new joinees.
 Documents checked and maintain personal files.
 Preparation of offer letters and appointment letter, ID Cards, opening salary account.
Training:
 Giving Training on HR Policies, Preparing Job Description, Time Management, PF Rules, ESI Rules etc.
 Develop, implement, and monitor training programs within an organization.
 Have to continuous review of training calendar & identify the training needs with the help of Skill Matrix
Charts.
 Collecting and analysing training feedback and reporting.
 Develop multimedia visual aids, video, training materials and presentations for specific trainings.
 Have to update all the section for their training as per the plan.

Facilitates the proper training arrangements like on line training, Classroom training, meetings,
conference.
Internal Auditor:
 Collating, checking and analysing data as per the code of conduct.
 Checking that reports and records are accurate and reliable.
 Identifying if and where processes are not working as they should, and advising on changes to be made.
 Preparing reports, presenting findings and recommendations have to give HOD.
 Communicates audit findings by preparing a final report; discussing findings with auditees.
Time Office Management:
 Have to operate the Time Office Machine “Star link”.
 Have to update daily attendance with the help of punching machines & also by manually attendance.
 Leave and Attendance record, Salary / Wages preparations.
 Maintaining and monitoring attendance to ensure employee punctuality.
MIS:
 To provide complete information about the employees, manpower strength, separations, absenteeism and
training activities.
 From Time to time, Preparing and sending reports as per the requirement of the management
 Maintenance of employee database.
 Maintain and regularly update personal files of each employee.
 Record, maintain and monitor attendance to ensure employee punctuality.
 Maintaining / Updating Leave Records.
Policy Implementation:
 Implement HR policies and procedures to ensure effective, fair and consistent management of staff
throughout the organization.
 Ensuring that managers and staff are aware of the policies and procedures and able to operate them
effectively.
 Conducting investigations on cases where violations of company rules or serious offences are reported.
Taking appropriate action based on discussion with management.
Appraisal System:
 Facilitation and coordination of annual appraisal cycle.
 Responsible for evaluating the performance of employees.
 Coordinating and follow up with various departments for Performance Appraisal, feedback and also
review midterm performance.
 Compilation of data and final analysis.
 Preparing and maintaining the Performance Appraisal sheets for all the departments
Employee Related Activities & Welfare:
 Handling Employee Grievances.
 Mentoring and Counselling employees with the help of one to one or group discussions and conducting
meeting with the management for discussing various issues.
 Facilitating employee participation in decision making process through "Employee Suggestion Scheme".
 Planning & implementing various welfare programs like birthday celebrations, birthday card distribution,
sports & cultural activities, organizing events on various festivals and other welfare activities.
Statutory Compliances & Administration:
 Ensuring compliance with statutory regulations like PF, ESI, Factories and others under labor laws,
Insurance policies, medical cover for the employees.
 Liaison with Local Govt. Authorities (Like Factory, Labour, P.F., E.S.I., Emp. Exchange, Electricity, Police).
 To generate EPF & ESIC Challan.
 To submit factory returns on time like annual return, half yearly return, bonus return etc.
 Canteen & Pentry Administration and Security & Transportation Management
 Housekeeping, Plumber & Horticulture Management
 Hotels accommodation & All the corporate meeting conference hall & party arrangements

 Prepare the documentation of ISO – 9001,14001 & 18001 (OSHAS)

Exit Process:
 Identify Poor Performers and facilitating in smooth exit of poor performers.
 Scheduled and conducted exit interviews for good performer employees.
 Have to find gaps with the help of exit interviews.
