KENT STATE UNIVERSITY JOB DESCRIPTION - UNCLASSIFIED Developed for Equal Opportunity CLASS TITLE: Director, Financial Administration, KSU Foundation DATE ISSUED: 10/01/00 KSU Class Code: AE59 EEO Code: 1D DATE OF LAST REVISION: 12/04 FLSA: Exempt Pay Grade: 09 BASIC FUNCTION: Direct the overall accounting, treasury, risk and liability management, tax compliance and the direction of the business affairs for the Kent State University Foundation which is a not-for-profit, separate and distinct corporation chartered by the State of Ohio and is governed by a Board of Directors comprised of business, civic and alumni leaders. As of June 30, 2004 the Foundation had total assets of $100 million and total revenues for the year approaching $20 million. The Foundation has distinct funds, each of which has critical spending restrictions with unique accounting, banking and investment systems. CHARACTERISTIC DUTIES AND RESPONSIBILITIES: Manage all aspects of the Foundation’s general accounting functions involving all revenue, expenditure, asset, liability and fund balance. Prepare and analyze quarterly and annual financial statements. Develop annual Foundation operating budget. Analyze and summarize actual operating results against the budget. Represent the Executive Director of the KSU Foundation as the chief financial and internal investment officer for the Foundation. Oversee all investment activities to maximize performance pursuant to Foundation’s investment and spending policy. Manage cash flow forecasting for cash needs and maintain appropriate cash reserves. Negotiate contracts with investment managers, custodians and consultants. Direct and monitor the acceptance, acknowledgement, investment and management of all private gifts and donations given to the university and the business services related to the receipt, investment, disbursement and accounting for these gifts. Develop and implement policies relating to the KSU Foundation operation and investment process including real estate, trust agreements and stock transfers. Director of Business and Financial Services, KSU Foundations Review charitable remainder trusts and gift annuities with respect to trust agreements, investment of portfolio, and income distribution. Ensure that payments to beneficiaries and the ultimate distribution of funds are made under trust provisions. Monitor the effectiveness of internal control procedures. Develop and implement solutions to strengthen existing procedures. Review and ensure that the Foundation has adequate insurance to cover liabilities. Support, counsel and update the Foundation President, Executive Director and Treasurer and is the staff representative on the Finance and Investment Committees of the Foundation Board. Coordinate the annual audit of the Foundation’s financial statement by an external CPA firm through the State Auditor’s Office. Prepare and file all annual reports such as form 990 to the IRS, trust tax returns etc. Fixed asset management including monitoring the software and hardware needs of the Foundation and maintaining the Foundation network. Provide assistance in integrating the donor database with the accounting system. Maintain communications with the administrative and academic departments of the university related to the operation of the Foundation to assure understanding and cooperation needed to manage the separate funds. Work as the liaison between the Finance and Investment committees of the Foundation Board. Serve as a member in university committees as assigned. Fulfill responsibilities of human resource management including equal opportunity, affirmative action, and employee development. REPORTS TO: Vice President of University Relations and Development LEADERSHIP AND SUPERVISION: Leadership of a small treasury department, unit or major function and/or direct supervision over administrative/professional employees. Director of Business and Financial Services, KSU Foundations MINIMUM QUALIFICATIONS: Education and Experience: Bachelor's Degree in Finance or Financial Accounting. Six to ten years demonstrated achievement and leadership of a treasury function managing, reporting and investing cash assets including supervisory experience in a notfor-profit organization. Master’s Degree and CPA preferred. Other Knowledge, Skills, and Abilities: Mastery and broad understanding and knowledge of not-for-profit finance and accounting principles, procedures and practices. Ability to successfully manage multi-functional or diverse applications and projects. Ability to respond quickly and effectively to changing situations and balance conflicting priorities. Knowledge of personal computer and mainframe applications. Skill in written, verbal and interpersonal communication. Ability to manage budget, people and projects. PHYSICAL REQUIREMENTS: Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. Typically requires sitting, walking, standing, bending, keying, talking, hearing, seeing, and repetitive motions. Incumbent may be required to travel from building to building and off campus occasionally.
