



To provide routine administration services to the nursing/clinical staff on the
ward.
Handling of patient funds as directed by the Registered Nurse and in
accordance with the policy.
The Ward Assistant is an essential part of the ward team, helping to
streamline the work of the ward, as required.
The Ward Assistant must be able to work using their own initiative and deal
effectively with a wide range of administrative duties.

4. SCOPE AND RANGE
To provide administrative support, basic clinical aid and housekeeping duties for
the nursing/clinical staff in one of the following areas within Psychiatry of Old
Age, Murray Royal Hospital





Responsible for the ordering and storage of office stationery, sundries and
clinical stores. Assists with the day-to-day upkeep and maintenance of
equipment/facilities as per guidelines, reporting faults and repairs as required.

MAIN DUTIES/RESPONSIBILITIES – At the discretion of the Senior Charge Nurse, duties
may include:
Administration/Clerical














Answer the telephone, receive, record and transmit messages accurately.
Respond to patients’ enquiries.
Ensure confidentiality is maintained, adhering to NHS Tayside policies.
Check patients’ valuables with trained staff.
Maintain stock levels of supplies to support the smooth running of the area as
required – stationery and clinical stores.
Assist the Nurse in Charge to acquire cover for shifts at short notice by
telephoning the Nurse Bank Office and staff at home.
Data entry from manual and computer systems. Duties may include ensuring
data is entered in ward database, SSTS and nurse bank system, assisting in
the collation of information for audits, using Topas system to check
admissions/discharges/patient information for their admission, ensuring
adherence to Data Protection legislation and NHS Tayside policies.
Using the computer to generate notices, labels and signs, ward documents
and letters.
Photocopying, faxing and mailing documentation, e.g. printing out and
making up educational packs for teaching sessions and ensuring supplies are
maintained.
Reporting any defects in equipment, furnishings or fittings to the Nurse in
Charge and/or Estates Department/Medical Physics.
Liaise with and run errands to other departments e.g. cashier, pharmacy,
estates, catering, medical records.
Deal with patient/client, relatives and visitor queries.
Arranging transport for patients, e.g. voluntary drivers, SAS.
Prepare nursing documents in advance of patient admissions.

Maintaining patients’ casenotes ensuring all relevant documentation is filed
appropriately as per standards set by Medical Records and casenote folders
kept in a good state of repair.
Filing of report forms in the casenotes.
Provide assistance in other areas when the Ward Assistant is absent


Assist in the collation of information for audits.

Work within NHS Tayside policies and procedures to ensure maintenance of
safe, secure and hygienic working practices, with regard to self,
patients/clients, relatives, colleagues and the general public.
Assist with maintaining a safe ward environment and reporting any faults

General Ward/Housekeeping






Making of unoccupied beds when necessary.
Prepare bed area in preparation of patient admissions
Participate in allocated daily/weekly cleaning and cleaning of unoccupied
beds/bed spaces.
Assist with the preparation and serving of drinks and snacks for patients and
relatives when necessary.
Distribution and collection of patient menu cards.
Maintain tidiness of cupboards within clinical area.

policies and procedures including those relating to Health & Safety, Risk

Conditions of Service
Remuneration
The terms and conditions of service for this post are those
determined by the NHS Staff Council.
The current salary scale for the post is £14,653 to £17,425 per
annum (pro rata for part-time staff). Placing on the scale on
appointment is normally at the minimum but may be higher
subject to verification of previous relevant service.
*Pay points under £21,000 will receive an additional non-
consolidated non-pensionable sum to raise basic pay by a total
of £250 pro rata for part-time staff. This addition will be divided
into 12 equal monthly payments, will cease on 31 March 2014
and will be noted separately on payslips
Hours of Duty
Salary is paid monthly by Bank Credit Transfer.
The hours of the post are 18.75 per week.
This is a fixed term / secondment post until October 2014 as
a result of organisational change.
*Internal applicants: Written approval must be sought from your
line manager prior to applying for this secondment. You will be
required to bring this if shortlisted for interview.
Superannuation
Start and finish times will be determined by the needs of the
service.
Membership of the NHS Superannuation Scheme is not
compulsory but is open to all staff between the ages of 16 and
70 (65 in some instances).
The contributions paid are a percentage of superannuable pay,
which is essentially basic pay excluding, for example, overtime
or travelling expenses.
Contribution rates with effect from 01.04.13 are as follows:

Annual Leave
Contributions are subject to tax relief and reduced National
Insurance contributions. NHS Tayside also makes a substantial
contribution towards scheme benefits – currently around 14% of
basic pay.
On appointment = 27 days (pro rata for part-time Staff) or 5.4
weeks per year.
After 5 years aggregated service = 29 days (pro rata for part-time
staff) or 5.8 weeks per year
After 10 years aggregated service = 33 days (pro rata for parttime staff) or 6.6 weeks per year
