Support meeting planning and web registration for multiple geographically disbursed meetings, conferences and other events for 10 to 6000 attendees. Build websites and maintain databases for each event. Travel support for GCFA and other general agencies in regards to meetings.
Essential Job Function
1 Travel & Meeting Planner for GCFA and other general agency events. Responsibilities include: communicating to arrangers, researching venues, summiting RFP’s, arranging meeting logistics, building websites, onsite assistance, post event billing review.
2 Building websites and maintaining databases for events. Duties include work with general agencies on branding and customizing websites. Customizing reports and supporting database needs for the customer.
3 Assist Travel and Meeting Planning Manager with RFP’s and bidding projects with Travel and Meeting Vendors.
Keep up with industry trends and work with Travel and Meeting Planning Manager on improving and streamlining the process.
4 Work collaboratively and backup the International Meeting Planner. May occasionally support other departmental functions.
5 Assist in brainstorming of content and designing for travel and meeting marketing collateral and proposals. Look for new prospects and development opportunities. Collaborate with Shared Services.
6 Other duties and special projects as assigned.
1 Provide meeting planning assistance to general agencies, General Conference and Caucuses. Work as the meeting planner for events assigned. Manage venue selection, logistics, on-site and post event duties.
2 Accountable to the Travel and Meeting Manager to ensure that attendees and customers are taken care of from start to finish. Advise the Travel and Meeting Manager of any escalated concerns or issues that need attention.
3 Communicate with Travel and Meeting Manager any issues with websites, online registration software and credit card merchant.
4 Provide Travel and Meeting Manager weekly updates on events, projects, issues and concerns.
Education
What is the minimum level of formal education required?
Bachelor’s Degree required. Certified Meeting Planner (CMP) required.
Other Specialized Knowledge
What other training and/or certification are necessary?
Computer proficiency in Microsoft office suite. Web registration and meeting planning, systems, HTML coding, and/or website design.
Concur. Experience with etouches a plus. Bilingual preferred.

How long would it take a new employee to learn the job?
3 to 4 years of related work experience in Meeting Planning with Web
Registration and database knowledge. International Experience a plus.
One year to achieve 90% of the UMC structure, meeting cycle, and understand the mission and goals of GCFA and UMC total organization as related to this position. Four years to complete the quadrennial cycle and experience a General Conference.
