Dear Classmates,
I need your HELP! I have taken on the task of organizing our FIRST class reunion, however, before I
will fully commit to this task and before any contracts will be signed I need to collect from each of
you a $25 deposit non-refundable. We need at min. 100 checks by no later than December 15th or
the plans for the reunion will stop.
Why is the deposit non-refundable? Because this money will be used as deposit money for the
location, DJ, Photographer, and misc. supplies as explained below. Some locations now want as
much as $1500 a year in advance. If in the event the reunion had to be cancelled due to a low
interest, much and in some cases all of the deposit money will be lost. It seems a reasonable
request on my part to ask each of you to risk your deposit (which will be deducted from the ticket
prices when they are determined), rather than ask me to risk $2500 of my money to plan our
reunion.
For those of you who have never organized a large event you may ask why does a reunion cost so
much. The first thing to consider is that there are basic costs that we spread out over the number of
tickets we sell. Depending on the number of tickets we sell, that cost either goes down or up. That
cost includes things like: Min. 2 first class mailings (postage), paper costs for invitations, envelopes,
labels, reminder post cards, maps, printing etc. Reunion software to manage various databases.
Local and national advertising including Internet expenses, and setting up websites to locate
classmates. Searches for classmates, long distance phone calls and paid search engines. Cost of
name tags, putting together class directories, and memory books. Centerpieces, decorations, bank
expenses, set up cost and clean up costs of the reunion. What you do not pay for is the hundreds of
hours that your reunion committee puts into the planning and organizing your reunion. Professional
Reunion Organizers charge a flat fee of $30-$40 to provide all of the above, and they do not invest
the time to locate missing classmates, they will only send out one mailing to the last known
address, no phone calls are made. We are going to try to keep the costs for us all down as much as
possible, we are anticipating they be approximately $35 per person, and possibly cheaper by the
couple.

FORM A COMMITTEE - You will need to form a committee if you are expecting more than 100
people.[share the work, if U CAN].

FAMILY REUNION BINDER - To take minutes of the meetings, track tasks and review assignments.
DECIDE ON THE FOUR W'S-
WHO - All or part of the family tree
WHAT - Type of events

WHEN - Dates for the reunion
SET UP A WEBSITE
CREATE A DATABASE - To maintain a list of names, addresses, phone numbers and e-mail addresses.
MAIL OUT SURVEY - To gather opinions and ideas from family members. This is also a good opportunity
to advise them about the web site.
SET UP SUB-COMMITTEE'S - Tasks that can be divided by the sub-committee's are:
Communication - addressing mail and website responses
Memorabilia - collect and arrange for memorabillia to be displayed at the reunion.
Historical Information - this can be a family tree-geneolgy or historical write up that can be distributed
to quests.
Entertainment - To plan entertainment for children and adults
Food - Plan menu , research restaurants, banquet facilities and picnic locations.
Equipment - Tables, chairs, grills, clean up and other items required.
Welcome Table - Name tags, distribute Schedule of Events pamphlets, and other materials to be
distributed to guests.
Decorating -Responsible for purchasing decorations and decorating.
Site Committee - To arrange reunion site and check site to ensure it meets your needs.
Awards Committee - Organize awards, certificates, and prizes.
Photography - Arranging for a reunion photographer or photographers will ensure you get all those
important photographs taken. You can share these with persons who couldn't attend on your Reunion
website.
