Accessing PeopleSoft
The official page for NOVA is the conduit to My NOVA. This area contains access to Blackboard, SIS, SAILS, and much
more. This area is used for Academic Advising in accessing the Advising Center. This is the most often used area for
academic advising.
After clicking My NOVA on the official NOVA website, a new page will open to reveal the next access point. Click LOGIN
to My NOVA.

After clicking the Login button for My NOVA a username and password request appears. This is not the same username
and password as those used to access NOVA faculty e-mail accounts. The username and password is a combination of
letters and numerals. For example, the username could be abc123. If you do not know your username or password for
this area then please contact the IT Help Desk at 703.426.4141 or http://www.nvcc.edu/about-nova/directories-offices/administrative-offices/ithd/index.html.
Once the username and password is entered the new page allows for access to VCCS SIS: Student Information System.

Next, access the Advisor Center to view list of assigned advisees or to search for walk-in students by Student ID number
or last and first name.
Click My Advisees. Other areas including Advisee Transfer Credit, Advisee Student Center, Advisee General Info, and
Advisee Academics are all limited access for faculty advisors.

The list of assigned advisees will include advisees listed primarily in alphabetical order. ID Numbers are also included.
Click View Student Details to access student information.
NOTE: If you do not have any assigned advisees at this point, you will not have any advisees listed in this area.
If the student has not been assigned as your advisee, you can still access the student’s information by scrolling to the
bottom of the page. Click View Data For Other Students to access the student’s information.

After clicking View Data For Other Students a student can be searched by various information. Type student’s official
NOVA Student ID to search by ID number.
Another option would be to search by student’s last name and first name, but it can have its difficulties.

Viewing the advisee home page offers many areas of information.

The Academic Advising Report contains all of the information for the student’s progress toward graduation. This is the
area that will be most often used to evaluate the student’s needs for registration and course retakes, if needed.
It is best to click Expand All to view all areas to be certain that the student has complete the requirements and is not
currently enrolled in the course.

Be sure to look at the incomplete areas for list of approved courses.
The list of appropriate courses corresponds with the Academic Advising Sheet.

The next pages contains the list approved General Education Electives for the 2013-2014 catalog. See pages 13 – 17 in
this manual for the list of approved General Education Electives.
The areas for GPA and Unused Courses can be handy for advising for transfer questions and course substitutions.

Return to the student homepage to access student transcript. This can be the NOVA transcript and submitted transfer
transcripts. Transcript reports can be useful for double checking any credit evaluations from former institutions.

The What-If Report is useful when the advisee wants to view the possible impact of selecting a different program or
adding an additional program.
To enter the information for the What-If Report be sure to check the appropriate areas. Once entered, scroll to the
bottom of the page and click Submit Request. The new hypothetical program will be temporarily added to the bottom
of the Academic Advising Report.

General Education Electives
General education is that portion of the collegiate experience that addresses the knowledge, skills, attitudes, and values
characteristic of educated persons. It is unbounded by disciplines and honors the connections among bodies of
knowledge. NOVA degree graduates will demonstrate competency in the following general education areas:
communication, critical thinking, cultural and social understanding, information literacy, personal development,
quantitative reasoning, and scientific reasoning.
Consequently, the College, in accord with the general education guidelines of the Virginia Community College System,
has determined the following list of General Education Electives.
It is highly recommended that students consult with their academic advisor or counselor in order to select the most
appropriate course for their curriculum and/or transferability to another college.

Course Substitutions
Advisees sometimes request course substitutions. This is one area that can be difficult because there are many levels of
approval that occur beyond the academic advisor. An academic advisor can request a course substitution approval, but
if in doubt you should contact your campus registrar. See Campus Resources on page of this manual.
Go to the NOVA official webpage to access College Forms. Click Faculty & Staff to access the area for college forms.
Select College Forms to access the form for course substitutions.

Sort the College Forms by either name or number.
The Course Substitution Request Online Form is one of six forms that can be completed online. There are only two that
are used for academic advising (Course Substitutions and Update Plan/Program Placement Form). The Course
Substitution Request Online Form is numbered 125-032. A popup box opens requesting username and password. This
is the same username/password as your email access.

The completing of the Course Substitution form may require use of the Academic Advising Report and College Catalog.

Updating Program/Change of Program
The Update Plan/Program Placement Form is one of six forms that can be completed online. There are only two that
are used for academic advising (Course Substitutions and Update Plan/Program Placement Form). The Update
Plan/Program Placement Form is numbered 125-008. A popup box opens requesting username and password. This is
the same username/password as your email access.

Transfer Questions
Transfer questions can be complicated, but there are tools for viewing transfer information. This information shows
advisors and students transfer agreements with four-year institutions, transfer course tools, and other transfer
information. Faculty Advisors should know the institutions in which NOVA has agreements and corresponding GPA
requirement for Guaranteed Admission Agreements. Other transfer questions may require referring the advisee to the
