EXECUTIVE BOARD REPORT
Committee: Arts& Letters
Submitted by: Joyce Edmonds and Nettie Lark
Date: 1-12-2014
Information for Executive Board and Chapter:
The Arts & Letters Committee last met on Monday, January 6, 2014. The following issues were
discussed:
Book Club: The Delta Book club will meet on Saturday, January 18, 2014. It will be new
beginnings for the book club. We will be meeting in our new location at the Hickory Grove
Library on Hickory Grove Road. Joyce Edmonds and Nettie Lark visited the Library on Monday
January 13, to make sure of the room assignment and to meet the Soror who is the new assistant
Librarian. We have been given a wonderful, spacious room attached to a kitchen.
The Library is glad to have us and we are glad to be there.
Movies, Munchies and Mocktails: The link to vote for the movie for this event will be in the
Delta News on Wednesday. The greatest number of votes will determine what movie will be
shown. A discussion will follow the movie lead by Tonya Revins, from channel 6 news.
Movies, Munchies and Mocktails will be held on March 29, 2014, as the culmination of
Sisterhood month. This event is Free and will be held at the Delta Center.
Art Contest: The date for the Art Contest has been changed from February 23 to April 12 and
13, 2014. The new dates for use of the Center have been requested and approved. New
packages have been prepared and will be sent out by the end of this week.

EXECUTIVE BOARD REPORT
Committee: Elections / Tellers
Submitted by: Melinda Butler / Terri Rivalte
Date: January 14, 2014
Information for Executive Board and Chapter:
The Elections/Tellers Committee met on Tuesday January 7, 2014 at 6:30 pm via conference call
(Conference Line: 605-475-4800, Access Code: 121425#)
Meeting Minutes:
I.
Greetings/Roll Call
II.
Elections/Tellers Roles and Responsibilities
The duties of the committee, as noted within the chapter’s P&P, were shared with the
committee again as several new members (6) have joined since the last meeting in September
2013.
III.
2013-2014 Committee Budget
The budget for 2013-2014, approved at $1,000.00, was shared with the committee, and it was
noted that the Finance Committee is currently accepting requests for modifications. The
Elections/Tellers committee will not seek a modification at this time.
IV.
2013-2014 Committee Objectives
1.
MIT vote
As the chapter voted not to consider MIT during the October2013 meeting, the committee
was not required to facilitate any voting/ tallying needs.
2.
Election of Chapter officers and Elected Positions
It was reiterated to the committee to be available for the upcoming election of chapter
officers which will take place on April 12, 2014. All hands on deck are required in order
to disseminate results in a timely manner.
In viewing alternatives for ballot capture and tallying, the committee re-considered the
possible use of the Board of Elections for the April elections. The total costs would be within
the committee’s current year budget estimated around $400. The biggest issue concerning
the use of the BOE electronic machines is space limitations. Current considerations are to
determine:
 the feasibility of using the conference room (maximum number of machines?)
 can the multi-purpose room be used prior to the start of the meeting (vote before
meeting or start meeting/delay),
Page 5
Printed on: January 29, 2014
CHARLOTTE ALUMNAE CHAPTER
DELTA SIGMA THETA SORORITY, INC.
EXECUTIVE BOARD REPORT

consider change to meeting location (ex. West Charlotte) to have two large, separate
spacing. For example – at West Charlotte HS, the auditorium could be used for the
meeting space and the Atrium could be used for voting machines/voting.
The co-chairs have contacted the BOE to discuss the available voting options. A site visit of
the Delta Center is needed to determine alternative options.
If the BOE option does not prove successful, the committee will revert to utilizing a paper
ballot for the April elections.
V.
Questions/Closing
None. Meeting adjourned at approximately 6:55 pm.
Action Items/Recommendations or Motions for vote by Executive Board and Chapter.
Please list each separately.
Action Item(s) / Recommendations or Motions
Determine a date/time suitable for the BOE site visit of the Delta Center.
Evaluate needs/desire for alternate meeting location for April meeting.

prepare them for academic and professional success.
ECONOMIC DEVELOPMENT:
The Financial Fortitude committee met on Tuesday, January 7, 2014 via conference call to discuss
upcoming events.
The Handshakes & Headshot event will be held on Thursday, April 10, 2014 at 6:30pm at Chima’s
Brazilian Steakhouse in uptown Charlotte. The committee has secured a guest speaker to come to
speak about personal branding; in return for no fees being charged, she will promote new book. Due
to the fact that Chima’s does not have a microphone, the Delta Center will also be considered to hold
the event. The committee is looking to partner with the Chamber of Commerce and Charlotte Works
and have reached out.
The committee is tasked with the following deliverables for “Handshakes & Headshots” event:
 Assess Chima’s location and determine if Delta Center is a better venue due to microphone –
due date prior to January 21st meeting
 Securing a photographer and associated costs – Reggie Tripp
 Follow up with Chamber of Commerce & Charlotte Works
 Draft program for the event – need background information on guest speaker
 Finalize logistics for the promotional flier – connect with Communications committee
afterwards
 Order appetizers and beverages
Upcoming Activities for the Committee:
The committee has decided to postpone the “Savvy Woman & Financial Values” session during
March due to limited capacity to put on two major events this spring. The committee will market the
Handshakes & Headshots as the signature event in the spring and will recommend the Savvy Woman
& Financial Values as the signature event in the fall for FY 14-15 committee.
The next “Free Yourself” financial tip entitled “Keep It Fresh, Jump Start Your Finances Now – Part
2” is scheduled for the next newsletter (end of January 2014).
We need volunteers and no financial experience is needed! If you’re interested in serving on this
committee, please contact program@charlottedst.org.
