Pre-departure and Important Information
for Admitted Students
Congratulations on your admission to Akita International University! Please read the Pre-departure
information available at the following URL to prepare for your study abroad in Japan:

Please also check the following important DATES and the THINGS TO DO before and after your
arrival at AIU to start the Fall Semester 2013.
What do you need to do next?
Monday, May 20, 2013:
1. Submit “Offer Acceptance and Immigration Information Form” (online)
2. Submit “Room and Board Application Form” (online)
Monday, July 1, 2013:
3. Submit completed “Medical Information Form" (by post)
Saturday, August 10, 2013:
4. Submit the Fall 2013 payment by wire transfer
*Students will receive Fall 2013 invoice of Room and Board Fee, International Activity Fee,
Insurance Fee, Deposit, (Tuition Fee, and Admission Fee for fee-paying students only) by
Wednesday, July 10, 2013. (online)
5. Submit completed “Arrival Form” (online)
*Students are requested to arrive on AIU campus on Sunday, August 25, 2013.
Monday, August 26, 2013:
6. Participate in New Student Orientation (until Friday, August 30)
Wednesday, August 28 and Thursday, August 29, 2013:
7. Complete Course Registration
*Classes begin on Monday, September 2. The Add-Drop period will be from Monday,
September 2 to Friday, September 9.
1. Offer Acceptance and Immigration Information Form
Admitted students need to log in to the online application account and submit the “Offer Acceptance
and Immigration Information” form by Monday, May 20, 2013. Information on this form will be
submitted to the immigration office in Akita. Then, the immigration office will issue your Certificate of
Eligibility (CoE), one of the visa application documents, to AIU based on the information on this form.
It may take about 5–6 weeks for the immigration office to issue the CoE. As soon as AIU receives the
CoE from the immigration office, AIU will send it to your home institution.
2. Room and Board Application Form
Admitted students need to log in to the online application account and submit the “Room and Board
Application Form” by Monday, May 20, 2013. Before you submit the online Room and Board
Application Form, please make sure to read the important information on the following web pages:





AIU will consider students’ preferences and other information on the application form carefully,
however, please note that we cannot always meet students’ requests.
Housing Assignment
Sakura Village Apartments

AIU decides the housing assignment (except the room numbers) for the Sakura Village Apartments in
June. Room assignments (room number and roommate(s) information) will be notified to students
upon their arrival.
Global Village Apartments / Komachi Residence Hall

AIU is unable to notify students whether they are assigned to Global Village Apartments or Komachi
Residence Hall until their arrival on the AIU campus.
NOTE: As a general rule, AIU assigns international exchange/study abroad students to Sakura Village
Apartments, Global Village Apartments, or Komachi Residence Hall, however, some may be assigned to
another on-campus housing facility, University Village Apartments, to which AIU usually assigns
degree-seeking students.
3. Medical Information Form
Admitted students need to submit the completed “Medical Information Form” by Monday, July 1,
2013 by airmail. The form is available to download in each student’s online application account. If we
need additional information regarding student’s medical information or any information on the form
is not clear to read, Inbound Exchange Coordinator may contact the student.
Overseas Travel Insurance
International students are required to purchase overseas travel insurance before departure.

4. Payment
Admitted students will receive an invoice for their Room and Board Fee for Fall 2013, International
Activity Fee, Insurance Fee, Deposit, (Tuition Fee, and Admission Fee for fee-paying students only) by
Wednesday, July 10, 2013. Students will need to follow the payment instructions which AIU will
provide by July 10, 2013. Students will be requested to complete the payment by wire transfer no later
than Saturday, August 10, 2013. Detailed payment instruction will be provided with the invoice.
5.
Arrival Date and Form
AIU requests new students to arrive on AIU campus during the following check-in dates/times:


9:00-22:00, Sunday, August 25, 2013
9:00-16:00, Monday, August 26, 2013
We strongly recommend that students arrive on AIU campus on Sunday, August 25, 2013 to prepare
for the orientation sessions, starting from Monday, August 26.
AIU will provide pick-up service during the above check-in dates/times, however, the pick-up service
timetable will not be available until July 1, 2013 to ensure that the pick-up timetable is coordinated
with the most updated flight and train schedules. When the pick-up timetable is available on Monday,
July 1, 2013, we will ask students to submit the Arrival Form online.

New Student Orientation
All new students are required to attend the orientation sessions, which cover information on life in
Japan, academic information, registration at the local City Hall etc. Students called “Peer Supporters”
volunteer to help new students check in to the on-campus housing, fill out paperwork at the check-in
desk, conduct campus tours etc.
7.
Course Registration
All new students register for courses after arrival on AIU campus. Please note that the course list you
submitted on the online application form was for our selection committee member’s reference, NOT
for the course registration. International students are required to take 12 credits at minimum at AIU in
order to maintain the full-time student status, following the immigration law in Japan.
Students who plan to register for Japanese language courses must take a placement test during the
orientation sessions. Based on the Japanese placement test results, each student is assigned to an
appropriate level of Japanese language course.
