When a Student Should be Registered for Both Summer School and GHSGT Remediation/Testing
In the event that there is a student who will be attending both face to face summer school
(Centennial, Johns Creek, Langston Hughes, Milton, or Westlake) and one of the GHSGT sites
(McClarin or Independence), please do the following:
1. Register the student in the face to face summer school (Centennial, Johns Creek, Langston
Hughes, Milton, or Westlake)
2. Add the course requests for the student
3. Email the following information to Pat Jones, in the summer school office
(JonesPR@fultonschools.org):

TEACHER
Summer school teachers must be identified by summer school building in order to have access to the
summer school environment. The Office of Student Information will give teachers the appropriate
access according to the teacher lists submitted. All initial summer school teacher lists must be
submitted to Doryiane Gunter in the Summer School Office no later than close of business Friday,
May 18.
SCHEDULING
All scheduling will be done with Macquelyn Brown during Summer School Scheduling and Grading
Training.

ATTENDANCE
Face to face middle, face to face high school, GHSGT sites will take Period attendance; ESY sites will
take Daily attendance; Virtual High School, attendance is not taken at all. All attendance is to be
taken during the first twenty minutes of each period. Teachers will mark attendance through TAC,
in the same manner as during the regular school year. There are, however, two differences in how
attendance is handled during summer school.
Due to analytical reasons, one difference is how students are marked on the first day of school.
Unlike the first day of school during any regular school year, students not in attendance will be
marked absent beginning with the first day of summer school. This is very important and all
summer school staff/teachers must understand.
Actual absence reason is the second difference in summer school attendance. There are only two
absence reasons utilized during summer school at the middle school level and three at the high
school level; none of which are excused. They are as follows:
Middle Schools:
U Unexcused – When a student is absent.
X Tardy – When a student is tardy.
High Schools:
U Unexcused – When a student is absent.
X tardy15min – When a student is less than 15 minutes tardy. (Any tardy greater than 15 minutes
is considered absent)
Z >15mintrdy – When a student is more than 15 minutes tardy. (Anything greater than 15 minutes
is considered absent; this code will calculate as an absence while indicating the student is in
attendance)

DETERMINE NOSHOW STUDENTS
Any student not in attendance by count day is to be withdrawn (inactivated).
Be certain the Leave Date is the same as count day, June 5, 2012 and the Leave Code is set to W.
All withdrawals must be completed by 4:00 p.m. on June 5, 2012.

SPECIAL EDUCATION STUDENTS
There are two categories of students with disabilities receiving summer services:
1. IRR students will be attending summer school (SALE) for recovery purposes; these are the
SALE students. These students have attendance data entered, eat breakfast and lunch, and
earn transportation in the same manner as general education students. These IRR students
should have registered for summer school in the same manner as the general education
SALE students.
2. Students receiving in-class extended school year services may not attend daily; programs for
ESY students are IEP- driven. These students have attendance taken by the individual
teachers, eat breakfast and lunch, and earn specialized Transportation.
Services for Exceptional Children will send summer school site Principals a list of the students
described in number 2. These students are not registered through the SALE process; they do,
however, need to be flagged as ESY students.
Any questions regarding students receiving Extended School Year services should be directed to
the appropriate Coordinator in the Services for Exceptional Children Department. There may be
exceptions to these categories that will be handled separately. In those cases, the appropriate
Coordinator will provide information directly to local school personnel and to Transportation.

MIDDLE SCHOOL – GRADE REPORTING
NOTE:
 Must be logged in to the summer school environment (watch for the sun to be visible in the
upper right hand corner next to the school year)
 Always filter on Active Students (Demographic, Summer Status = A)
STEP 1 – Search for Modeled Schedules
If there are any students who still have a modeled schedule, that student will not appear on the class
list. Run the following search and make certain to click “keep” for any applicable student. The
below search is for all active students in your school who have modeled schedules.
Student Center>Search>Advanced Search
If names are produced from this search, click on the student, KEEP the schedule. To verify “no
records found,” please re-run the search.
STEP 2 – Scheduling Synchronization
This procedure updates any schedule changes which were made to the student’s schedule and
creates and builds report card records in the Master Schedule. This process may be run more than
once; it will not delete grades.

STEP 3 – Comments
Up to 5 comments may be chosen by the teachers. All comments are accessible in TAC (Teacher
Access Center) via a drop down table and, if needed, teachers have the option to print a list of
Comments.
STEP 4 – Mark Entry by Teachers
Teachers perform “Load from Gradebook” in TAC which populates the R1 grade.
Teachers will log into Teacher Access Center and enter grades. The teachers should have a copy of
TAC – Grade book directions.

STEP 5 – Missing Grade Submission Reports
This report will list teachers who have not submitted grades through TAC (Teacher Access Center.
The report will include teacher and course information. It will only display teachers who have not
entered any information for the course-section.

HIGH SCHOOL – GRADE REPORTING
NOTE:
 Must be logged in to the summer school environment (watch for the sun to be visible in the
upper right hand corner next to the school year)
 Always filter on Active Students (Demographic, Summer Status = A)
STEP 1 – Search for Modeled Schedules
If there are any students who still have a modeled schedule, that student will not appear on the class
list. Run the following search and make certain to click “keep” for any applicable student. The
below search is for all active students in your school who have modeled schedules.
Student Center>Search>Advanced Search
If names are produced from this search, click on the student, KEEP the schedule. To verify “no
records found,” please re-run the search.
STEP 2 – Scheduling Synchronization
This procedure updates any schedule changes which were made to the student’s schedule and
creates and builds report card records in the Master Schedule. This process may be run more than
once; it will not delete grades.

STEP 3 – Comments
Up to 3 comments may be chosen by the teachers. All comments are accessible in TAC (Teacher
Access Center) via a drop down table and, if needed, teachers have the option to print a list of
Comments.
STEP 4 – Mark Entry by Teachers
Teachers perform “Load from Gradebook” in TAC which populates the R1 grade.
NOTE: Teachers should enter an “I” for any students in sections where the EOCT were administered
by paper and pencil and the scores have not been received. EOCT administered online will have
scores available immediately upon completion of the test and teachers are to enter those scores into
TAC before “loading from grade book”.
Teachers will log into Teacher Access Center and enter grades. The teachers should have a copy of
TAC – Grade book directions.

STEP 5 – Missing Grade Submission Reports
This report will list teachers who have not submitted grades through TAC (Teacher Access Center.
The report will include teacher and course information. It will only display teachers who have not
entered any information for the course-section.

HIGH SCHOOL SUMMER REPORT CARDS FOR STUDENTS WITH EOCT SCORES
All report cards for those students with complete grades in course history will be processed from the
summer school sites on June 25, 2012; students with complete grades are those students with
courses only consisting of final exam courses or EOCT administered online. (Electronic scores are
available immediately upon completion of the test).
All report cards for those students waiting on EOCT scores where the tests were administered using
paper and pencil will be generated at the district as soon as the test scores are received from the
state. The Office of Assessment and Evaluation will enter the EOCT scores; once entered, the Office
of Student Information will process the grades. The Summer School Office will send, through school
mail, two sets of report cards, mailing labels, and EOCT individual student reports to each home
school principal. Schools are to mail one copy of the report card and the EOCT report home to the
students and the other copies should be filed with each student’s permanent record.

SUMMER SCHOOL CLASSXP SPECIFICS FOR TEACHERS
TAKING ATTENDANCE
Most schools will take Period attendance; McClarin and Independence will take daily attendance
and Virtual High School will not take attendance at all. Attendance is to be marked during the first
15 minutes of each class. All teachers are to verify attendance daily using any of a variety of
methods. Teachers will mark attendance through his/her seating chart in ClassXP, just as during
the regular school year. There are, however, two differences in how attendance is handled during
summer school.
Due to analytical reasons, one difference is how students are marked the first day of school. Unlike
the first day of school during any regular school year, students not in attendance will be marked
absent beginning with the first day of summer school. This is very important and all summer school
staff/teachers must understand.
Actual absence reason is the second difference in summer school attendance. There are fewer
absence reasons utilized during summer school (two in middle and elementary and three in high
school), none of which are excused. They are as follows:
Middle and Elementary Schools:
U Unexcused – When a student is absent all day.
X Tardy – When a student is tardy for school.
High Schools:
U Unexcused – When a student is absent all day.
X tardy15min – When a student is less than 15 minutes tardy for school. (Any tardy greater than 15
minutes is considered absent for the day)
Z >15mintrdy – When a student is more than 15 minutes tardy for school. (Anything greater than
15 minutes is considered absent for the day, this code will calculate as an absence while indicating
the student is in attendance)
Teachers should refer to the TAC Companion Guide Chapter – all tasks and processes will be the
same as during the regular school year.
