Volunteers 12-Month Period Ending 12/31/14 Without dedicated volunteers, it would be impossible for Beacon of Hope to provide its programs to the community and throughout the service area. None of these are paid positions. Only workers who are filled with compassion and concern for the less fortunate in the community contribute their time and effort. During the prior 12 month period a total of 9,134 volunteer hours were provided by 41 Volunteers for program services. The total number of people served was 12,993. The total number of hours of operation of the Distribution Center for 2014 was 653.5. Hours of operation are from 9 a.m. – 4:30 p.m. Monday 9 a.m. – 3 p.m. Wednesday. 9 a.m. - 1 p.m. Saturday Beacon of Hope Services, Inc. Source of Labor and Supplies 12 –Month Period Ending 12/31/14 Volunteer Personnel currently perform the daily routine for Beacon of Hope Services, Inc. Through small grants and donations, the Beacon of Hope Services, Inc. has a goal of a full-time member to provide these daily routines. Currently, some of the services provided by volunteers are as follows: Getting the mail. Paying bills. This consists of sorting and filing invoices, writing the checks. Addressing, stuffing, and posting envelopes. Copying invoices and correspondence Answering and following up on inquires on the telephone Using the fax machine, copying faxes, and replacing paper rolls. Recording all data on the computer. This includes income, invoices, check numbers, and payee data. Filing and recording back-up data for all mail and telephone inquires, then determining methods of disposition of the inquiry. Collection/Distributing Clothing & Food Preparing applications for grants, posting the applications, calling for follow up, and then filling out forms for implementation. Driving/Servicing the Van. Handling Correspondence & Acknowledgements. Source of Labor and Supplies (continued) Food Receiving and Distribution – Includes pickup, loading, delivery, unfolding, stocking of shelves; preparing food boxes into individual vehicles; pickup of bread and milk twice monthly; loading, loading, delivery, unloading, sorting of bread, stocking bread rack; pickup of juice monthly; loading, delivery, unloading; pickup foods from Food Lion weekly; loading, delivery, and unloading; sweeping, mopping, taking cardboard and trash to the dump twice monthly, and general cleanup of the area. Pickup, loading, delivery and unloading of donated items such as furniture, appliances, house wares, and clothing. Repairs and maintenance to the facility. Screening of all applicants for the emergency assistance program including crisis intervention, fuel fund, rent and utilities, and taking information and calling a place of business to do services. Receiving and sorting of clothing, washing and drying soiled clothing, placing clothing on racks in the distribution center, sorting of shoes and household items, sweeping and mopping the receiving area and general cleanup. Distribution Center – Keeping clothes straightened on hangers in the distribution center, assisting recipients in crisis situations on an individual basis to get what they need. Desk duties and paper work with checking out all outgoing items. Cleaning of the distribution center (sweeping, mopping, taking out trash, and general cleanup). Decorating the distribution center to the appropriate holiday is also appropriate. Volunteer Break Room – Keeping break room clean, washing of all dirty dishes, and taking out the trash. Source of Labor and Supplies (continued) Front Desk – Screening of all applicants, completion of food application (Government Commodity Foods), keeping a list of all recipients in the month, maintaining and updating of computer database of all recipients. Answering the phone, and making copies of food applications and distribution of food slips. Director – Overseeing of all the operations in the Beacon of Hope recruiting and orientation process for all volunteers. Overseeing volunteers with adequate coverage for the different areas. Making sure necessary supplies, and equipment are in operating condition. Updating and maintaining of all guidelines/policies/volunteer applications, and necessary forms and procedures as well as current work processes. Ordering of all Government Foods and State Nutritional Assistance Foods. Submitting monthly reports, quarterly reports, and yearly reports to Manna and Second Harvest Food Organization. Submitting yearly reports to Beacon of Hope Board. Fund raising events, acquiring grants for the Organization, collaborating with other organizations in the community. Maintaining barrel ministry by placing barrels in local businesses, monthly pickup and receipt of donations acquired through these.
