KEY PURPOSE OF THE POSITION The Administrative Services Officer is accountable to the direct Supervisor for duties in a wide range of functions, including switchboard, reception, typing, correspondence, prisoner documentation, prisoner finance, prisoner canteen, prisoner property and other services, purchasing and stores, educational support and general administrative duties, which results in a comprehensive and cost effective service. 3. KEY STAKEHOLDER INTERACTION Reports to the Supervisor of the functional group, Yatala Labour Prison. Several Officers assist in providing these services and all perform related tasks as required, on a rotational basis. 4. BRANCH PROFILE The Administrative area is the Support Services for Operations, Intervention and Education also working closely with Prisoner Canteen, Main Store, Prisoner Property, Arunta Telephone system, Rosters, Prisoner mail, general correspondence and Prime Industries. 5. SPECIAL CONDITIONS Working in a high security environment. Face to face contact with prisoners. Duties may be performed in several different locations within the prison. Will be required to perform 0800 hours start on a rostered basis. 6. KEY AREAS OF ACCOUNTABILITY Contribute towards a comprehensive and cost effective service to the prison by performing any of the groups of services outlined below: Ensure proper documentation of prisoner records and prisoner movements within the corrective system, which includes admissions, transfers, discharges, prisoners’ property and court appearances by carrying out registration and recording procedures, in accordance with institutional priorities and schedules. Ensure that enquiries, which include internal and external, personal, or via the telephone receive, prompt attention by providing courteous and accurate advice, in accordance with guidelines established by Management. Contribute towards the provisions of services in the Supply Section by recording orders, requisitions and purchasing goods and services, providing statistical returns, stock taking and maintenance, material control, pricing, following up on orders, liaising with suppliers and determining material and equipment specifications in consultation with Workshop personnel. Ensure the documentation of financial services to prisoners relating to Prisoner Monies and prisoner Allowances by recording receipts, credits and debits, transferring funds and providing information on funds, status, balancing, accounts and providing statistical returns, in accordance with Departmental and Institutional priorities, schedules and procedures. Contribute towards the provision of services in the Prisoners Canteen by maintaining stock control ledger, compiling the weekly trading accounts, invoices, cartnotes, sales and stocktakes, providing advice on enquiries and procuring special goods. Ensure that reception, correspondence and general keyboarding services are provided, by attending the institution’s switchboard, attending callers and counter enquiries, receipting mail, typing memoranda, and maintaining correspondence, recording, filing and mail delivery services to the prison. Provide clerical support to the Manager, Education for offender education at Yatala Labour Prison. JOB & PERSON SPECIFICATION 3 8. QUALIFICATIONS 9. PERSON CRITERIA 9.1 Essential Criteria Ability to respond to enquiries in a courteous, helpful fashion under a variety of conditions, e.g. fluctuating work loads and aggressive clients, both in person and by telephone. Ability to accurately communicate information to enquirers. Possess interpersonal skills and the ability to relate well to a wide range of people. Ability to work in an environment of continual change. Ability to work independently, to demonstrate initiative and drive, and to work accurately with set time limits. Ability to exercise a basic knowledge of specific procedures, instructions, regulations or requirements relating to general administration. Competent keyboard skills. JOB & PERSON SPECIFICATION 4 JOB PROFILE – ADMINISTRATIVE SERVICES OFFICER ASO1 The following information has been prepared for potential applicants to the position of Administrative Services Officer ASO1, Yatala Labour Prison. DCS is part of the Justice Portfolio. DCS employs approximately 1500 – the majority of whom are employed in the prisons. This position exists within Yatala Labour Prison Support Services group and is initially based in the Prisoner Property area. The successful applicant may be called upon to provide a role across a number of service delivery areas within this group. These include such activities as reception duties, prisoner finance, correspondence, purchasing, prisoner canteen, prisoner education, prisoner mail, prisoner telephone and prisoner property. Prisoner contact on a face to face basis occurs. In addition successful applicants will be expected to participate in manual handling on a regular basis.
