2014 Executive Committee Meeting Date: Monday, January 5, 2015 Place: Flying Star at 3416 Central Ave SE in Nob Hill Time: 7:00p.m. The Meeting of the SWAT 2015 Executive Committee was called to Order at 7:00 PM at the Flying Star on Central. Present for the Meeting: Christina Parlapiano, Margaret Coombs, Linda Kipp and Karen Green. MOTION: “To approve the Minutes of the November 2014 Executive Committee Meeting.” Moved, seconded and passed. Report of President: None Report of Corresponding Secretary : Email received from Donna concerning the AKC June and Sept Trials. (noted in Committee Reports) Report of Treasurer: Linda Kipp reported… Working Balance $16,762.56 Truck/Trailer Balance 14,178.80 Total Club Balance $30,941.36 Report of Vice-President Margaret Coombs reported… Email from Hokie Wiley concerning how Trial Closing Dates are decided. Linda stated that it is usually the decision of the Trial Secretary to make that decision based on the Secretary’s schedule. COMMITTEE REPORTS JANUARY AKC: Pam Smith reported less than 400 runs per day, but more than the 330 runs per day which would require a second Judge. It was discussed and agreed that no chalk mark-offs except for Trial Committee and key worker spots before 5 PM day of set-up and matting is to go only under crates. No spots may be reserved by chalking or laying mats out; locations will only be taken when actual crate equipment is set up. FEBRUARY USDAA: Linda Kipp, Trial Secretary, reported there are 15 dogs registered now, but interest is growing and she expects to see more registrations: possibly total of 30 dogs. Trial Judge is a change; it is now Kylie Bourke. Trial Chair is Terri Moyers. Vouchers are accepted for this Trial.. JUNE USDAA: Christy reported… Linda Smith is Trial Chair. Scott Chamberlain is Trial Judge and a CMJ. Christy P: Chief Ring Steward. Ellen Rowe: Course Builder Linda K: Secretary Needed is a Hospitality person. Trial/Test Schedule, site, date are ready; fees paid. JUNE AKC: Margaret reported… Jill Warren: Trial Chair. Lisa Frankland: Trial Secretary Work continuing on this Trial. UNFINISHED BUSINESS Get All Show Applications In For Early 2015 MAY NADAC: Karen reported receiving an informational checklist from Julie F. Karen emailed Becky Wolfe requesting Inez School grounds be booked for the May Trial. Becky needed SWAT insurance paperwork. Karen will contact Bob Kipp for insurance. Karen will contact Pam Smith after January’s AKC Trial to check on the Premium. Julie, through email, suggested sending Gloria Napper-Owen a copy of the newly revised SWAT Roles/Responsibilities document since we have changed the role of the Site Coordinator somewhat. It was determined that the Roles/Responsibilities document wasn’t complete and should not be sent out. It will go in Unfinished Business for the February Executive Committee Meeting. Karen asked about advertising this Trial. Suggestions were to put it on the NM DogAgility website, SWAT website (Christy), take flyers to training schools and have a mass emailing to SWAT membership. Also suggested was to take copies of the Premium along with the flyers. JUNE USDAA: Christy reported application was in. (Other information under Committee Reports.) JUNE AKC: Margaret reported Jill Warren is the Trial Chair and all is under control. (Other information under Committee Reports.) Lisa Frankland is Trial Secretary. SEPTEMBER AKC: (Topic added) Margaret reported Donna’s email stated that she was submitting the application: Dee Faulk, Trial Chairman and Pati Drom as Judge. NOVEMBER USDAA: Christy reported that the application was in and the fee was $50.00 less than the normal fee because of the early application. Judges are Evelyn Robertson and Kay Stimson SWAT COMPUTERS: It was reported that SWAT owns…. 3 working computers: 2 with Windows 7 (Linda K and Pam S have them.) and 1 with XP (Lisa F has.); Microsoft no longer supports the XP operating system. 2 working printers: 1 Brother (Linda K has.) and 1 HP (Pam S has.) Discussion concerning current Trial Secretary computer program, Trial Genie, with some glitches. Linda stated that Tim Verrelli’s “Agility Trial Secretary” program is currently used widely for both USDAA and AKC trials. SWAT currently uses it for USDAA tests, but we should consider using it for AKC trials since it can be uploaded to various members’ personal computers for more convenient access. Linda K. is willing to try it at one of SWAT’s AKC trials. Pam S. has also expressed a willingness to try it. SWAT already owns the Tim Verrelli Software (“Agility Trial Secretary”) and currently uses it for our USDAA tests. Lisa and Pam are currently using “Trial Genie” for all AKC trials. Currently, SWAT owns copies of both programs and also pays for updates and maintenance on both of them. If we use only Tim Verrelli’s program, we would only need to pay for updates and maintenance on one program. With concern for accountability of SWAT assets and the start of the new Executive Board term there was a … MOTION: “To have all computer/printer equipment be returned to Lou Brazee, SWAT Computer Coordinator, after each Trial so that updates and normal maintenance can be accomplished.” Moved, seconded and passed. Lou could bring equipment to the Trials. If someone needs equipment earlier, arrangements can be made, but Lou will be the custodian of this equipment. The purchase of a new computer, to replace the one with XP operating system, was discussed. We also need to replace some computer cables. There was a…. MOTION: “To have Christy ask Lou to price computers with the Windows 7 operating program and the needed cables.” Moved, seconded and passed. Christy will also ask Lou to research the value of the SWAT XP operating system computer with the Trial Genie should SWAT decide to sale it. TEETER STATUS: Linda has given Ellen the repair kit for the hole in the teeter. EXISTING JUMPS: Linda’s jumps for the February Trial are in compliance with the USDAA requirements. Christy will ask Ellen and Crystal to research and price new jumps. The cost for manufactured jumps is generally about $100-140. Jumps made from PVC would cost about $65 for unpainted jumps and about $75 each for painted jumps. SWAT could need about 50 replacement jumps. Summit Agility was mentioned for their light-weight equipment. NEW BUSINESS TRIAL SECRETARIES: Discussion concerning cultivating more involvement with new members perhaps in the Trial Secretary position. It was noted that a Trial Secretary should work at least one Trial a year just for the advantage of procedural recall. INTERNATIONAL SWEEPSTAKES CLASSES: Discussion concerning adding ISC (International Sweepstakes Classes) to an AKC Trial. Linda suggested putting it in the June and September AKC Trials. Margaret said she would contact Donna and that Jill Warren should also be consulted. It was agreed that ISC should be added to the SWAT AKC Trials when we could. TIRE BASES: Crystal McClernon submitted 3 vendor estimates for Tire Bases with low profile legs: Max 200 $315 plus $75 shipping Grayfoot Agility $ 85 (very heavy equipment) Summit Agility $225 plus $35 (removable frame; adjustable feet) $189 (standard) Most can be broken down into several smaller, packable pieces. Some can be configured in various ways. Crystal will be asked to contact John Welby, Grayfoot Agility, to see if he can build a Tire Frame similar to Summit’s in weight and low profile legs. At this point, Summit’s equipment looks the best for price and sturdiness. There is a concern that equipment be heavy enough not to be blown over in the wind. Linda stated that SWAT needs 2 new Tire Frames…not the tires. NEXT MEETING: Panera at the corner of Girard SE and Central, Feb 10th at 7PM.
