Position Descriptions
Below are descriptions of each position that will be a part of the 2013-2014 Relay For Life
Executive Board. Adjacent to the position name is the name and email of the current Chair in
that position. Please feel free to contact these people if you have any questions or concerns
about the position in which you are interested.
Athletic Recruitment Chair (Laura Guest, lguest09@gmail.com)


Recruit athletes to form teams and participate in Relay for Life and various events
throughout the year (i.e. Date Auction) by attending SAAC meetings and contacting
coaches
Act as liaisons for the athletes and community
o Be available for questions
o Provide motivation and encouragement throughout the year
o Come up with ideas to get student athletes and the Athletic Association more
involved in UGA Relay
Campus Relations Chair (Cydney Adams, adams.cydney@gmail.com)

Assist any individuals who want to start a team or participate with the registration
process
 Maintain Excel spreadsheet with team name, type of team, team captain name, and
contact information
 Take attendance at Team Meetings and other major events (Relay Rally, Date Auction,
etc.)
 Be able to pull reports from the website and provide any information needed by other
Executive Board members regarding their positions
 Make all reservations for Relay events, meetings and promotions that take place oncampus and manage all fundraising requests for these events
 Prepare and manage sign-ups for all activites and promotions for the Executive Board
through GoogleDocs
Colleges Against Cancer Chair (Laura Perez, lap4133@gmail.com)





Increase awareness about cancer on the UGA campus. Make students aware of the ways
to prevent cancer through early detection, healthy living habits and more through
monthly on-campus events
o Great American Smokeout in November for Lung Cancer Awareness
o Boob Cookies in October for Breast Cancer Awareness
Organize weekly Mission Moments for the Executive Board and ensure that the Executive
Board is constantly reminded of why we Relay
Provide cancer facts and mission reminders at all UGA Relay For Life fundraisers and
events
Communicate effectively between the Relay for Life Executive Board and the Colleges
Against Cancer organization
Advocacy- make students aware of the legislation affecting cancer
Corporate Sponsorship Chair (Jack McDermott, jackmcdermott5@gmail.com)







Solicit donations (both monetary and in-kind) from both local businesses/organizations
and national/international businesses
Update Staff Partner weekly on Sponsorship Status
Gather logos for event t-shirt and event program
Create a Corporate Sponsorship packet to present to businesses
Ensure companies receive appropriate coverage and marketing
Serve as host for business representatives the night of Relay
Solicit donations to be used as incentives or prizes for various events throughout the
year
Entertainment Chair (Monica Flamini, monica.flamini@gmail.com)





Book all bands and other entertainers for the night of Relay
Plan all ceremonies for the night of Relay
Plan all games for the night of Relay
Work with the Spirit Co-Chairs to encourage participants to stay at the event all night
long
Coordinate and plan out the entire 12-hour schedule for the night of Relay
Finance Chair (Erin Kemp, erinakemp@gmail.com)





Count and audit donations at all Team Meetings, Special Events, Bank Night, and
throughout the night at Relay
Prepare money for deposit after counting and auditing
Enter donations on the Convio website
Ensure the Executive Board is educated on the correct means by which to take donations
from teams at the office
Be prepared to help out with a myriad of behind-the-scenes tasks leading up to the
semester of Relay
Fundraising Chair (Abby Leonard, abbyl@uga.edu)





Coordinate the letter writing campaign for the Executive Board, Team Captains, and
participants
Manage the check-in and check-out of canning
Register for Stegeman Concession Stand fundraising nights through Aramark and
Basketball % Nights through John Bateman
Be available as a resource and motivator for team captains with fundraising ideas
Work to ensure the Executive Board and Relay as a whole is reaching our fundraising
goals
Greek Recruitment Chair (Ben Means and Katie Brown, benmeans14@gmail.com and
katdobrown@gmail.com)



Recruit Greek organizations to form teams and participate in Relay for Life by visiting
Greek Houses and work to increase the number of Greek participants
Organize meetings for Exec members to go to different houses during chapter times to
promote events
Act as liaisons for the Greek teams and community by answering questions and
providing fundraising ideas



Thank the Greek Organizations that have their own fundraisers for Relay For Life
Ensure that each Greek Team participates in all Special Events
Plan a Greek Week in the Spring
Logistics Chair (Kelsey Chason, klchason@gmail.com)






Secure all physical materials necessary for Relay event (dumpsters, tables, tents, stage,
etc.), follow up with companies and other donors, and coordinate delivery of equipment
and supplies
Secure staffing and UGA Police security of the front gate, information tent, and
accounting location
Register the event with Athens-Clarke County and the University
Oversee luminary sales, assembly, and placement at Relay
Oversee and assign team campsites and enforce the rules of the event for Team
Captains
Coordinate set-up and morning clean-up of the event with other Executive Board
positions the day of the event
Media Co-Chairs (Erin Corbett and Josh Buce, erin.k.corbett@gmail.com and
joshuabuce@gmail.com)








Create unique graphics for Facebook, website, flyers, banners, signage, etc. to promote
UGA Relay's events, recruitment, and fundraising
Design templates for all UGA Relay t-shirts to be sent to screen printer (Illustrator
preferable)
Design the UGA Relay For Life program for the night of the event
Help paint banners and street for promotions when needed (can delegate to committee)
Photograph all Relay events, preferably with a DSLR camera, and upload to Facebook
Obtain video footage of Relay events, trips to the Hope Lodge, or other notable
occasions
Create frequent, unique and exciting videos for promotions for events, challenges, or
other general needs
Be able to work quickly on all graphics and videos and have rapid turnaround

Promote/advertise all meetings, special events, fundraisers, Relay For Life and any other
Relay related occasions that arise
Have knowledge of Facebook, Twitter, and Blogs and be able to manage thes marketing
fronts by posting as necessary
Work with the Media Chairs to create flyers that can be distributed around campus
Monitor the local media (The Red & Black, Athens Magazine, etc.) for Relay related
articles and observe campus attitudes
Responsible for getting UGA Relay's name out in the community and on campus
Keep online calander up to date with all events
Work with local newspapers and radio stations to get coverage for Relay For Life in April
Be able to think outside the box- How can you get students and the Athens community
even more excited about Relay events?
Restaurant Relations Chair (New Position, contact kplumblee@gmail.com)



Obtain donations from businesses for food that we can sell the night of Relay and at
other events
o Coordinate with other positions on the Executive Board to determine when food
donations may be necessary
o Create schedule of food delivered and sold the night of Relay
Manage all percentage nights at restaurants for Relay For Life, Greek Week, and other
events and coordinate these percentage nights with teams to help their fundraising
efforts
Maintain positive relationships with restaurant owners in order to benefit future UGA
Relay events and fundraisers
Special Events Chair (Danielle Armour, daniellearmour24@gmail.com)

Organize large events that both promote and raise money for Relay
o Halloween Party in October
o Date Auction in February
o Annual 5K in Spring
Be creative and think of new and exciting events that UGA Relay For Life could host or
ways that we could make existing events different and exciting
Set up dates, locations, and times for these events early in the year (summer)
Talk with businesses about donating food and other items to every event in exchange for
marketing on the back of t-shirts or promoting them
Coordinate the selling of Relay swag and luminaries at every event
Work with Media Chairs, PR Chair, and Campus Relations Chair to ensure the successful
marketing of events on and off campus
Manage the responsibilities of every member of the Executive Board at each event for
set-up, clean-up, and duration of event
Must be detail-oriented, planning the even the smallest aspects of each event

Be the heart and soul of Relay
Host all RFL events, including the night of Relay, and make sure they are exciting and
fun
Plan and organize Relay Kickoff in the Fall
Create and advertise Spirit Awards for the night of Relay
Create excitement and awareness of Relay on campus (eg: Spirit Runs, Purpling out
campus)
Basically be the entertainment at Exec Meetings, Team Captain Meetings, Letter
Stuffing…motivate people and keep them excited!!
Student Recruitment Co-Chairs (Ally Geronimo and Tori Tidwell, ally.geronimo@gmail.com
and vtsoccer@uga.edu)

Seek out and recruit new student organizations, academic schools, off-campus
apartment complexes and businesses, and residence halls to participate in Relay for Life
by forming teams
o Post flyers and information in all of the dorms, academic buildings, dining halls,
and targeted businesses
o Attend class periods and student organization meetings to spread the word about
UGA Relay For Life




Plan events for residence and dining halls, including move-in day and valentine's grams
Reach out to past team captains under your jurisdiction and help them to reform teams
through emails and listserv announcements
Provide assistance to team captains by keeping them up to date with all important
information and acting as their Exec liaison
Stay in contact with UGA alumni to gain their support and donations
Survivorship Chair (Sarah Smith, sarahscoggansmith@gmail.com)






Recruit/increase the number of survivors participating in Relay
Run Monthly Survivor Reports to keep track of registered survivors
Serve as the liason to the Hope Lodge and plan semester visits for the Executive Board
and committees
Plan the Survivorship banquet activities for the night of Relay
Maintain correspondance with registered survivors including weekly emails, monthly
newsletter, etc.
Improve the quality of the Relay For Life experience for survivors and caregivers
Team Relations Chair (Jenna Barnett, jennab0542@gmail.com)





Oversee the communication with the teams
Make sure that all team captains are up to date with the most current information about
events, fundraisers, and challenges
Serve as the liaison between the teams and the executive board
Organize the agenda and moderate the team captain’s meetings
Consistently contact the team captains to encourage them and motivate them to
continue fundraising and getting their team together
Download
