AERIES MINUTES May 10, 2012 ESC Conference Room A 9:00 a.m. & 1:00 p.m. Facilitators: Mark Frazier/Ken Johnson/Loretta Hein 1. CPR - Mark/Ken Parent CPR Certified for Field Trips – Sites had asked about tagging parents in Aeries that are CPR certified. Mark said district policy is that a staff member needs to administer medical procedures for our students that are on field trips. A discussion was held as to where we could tag staff members in Aeries that are CPR certified. Ken said that sites may go into “Teacher Data” from the front screen and choose an unused user field and tag with a “C.” To query for CPR trained staff members using the U8 user field, run the following query: LIST STF IF U8 : C Some concern was brought up regarding the cost of getting CPR certified and if the district would be able to provide the training for staff members. Mark said he would check with Shereene Wilkerson to see if that is a possibility. 2. Multi Data Report – Ken/Loretta Sharing Across Sites – Ken and Loretta shared with sites how they can view and use multi data reports that have already been created by another site. Go to “View All Forms” and filter for “multi.” Select “Students Multi Data Profile.” Once there, check box at bottom “View/Import Profiles from other schools.” You will then see a list of multi data reports done by all of the schools in our district. You may reorganize the list by clicking on the headings at the top. 3. Summer Intervention/ESY – Ken Ken asked if anyone was in attendance that would be working at the Summer Intervention/ESY Program. Since the jobs were just posted no one had been hired yet. Ken said that when the people get hired for the front office positions, they need to contact him for documentation on ESY procedures. Some sites were asking when the 2012-13 Aeries data base will be up and running. Ken said that will happen sometime during late July or early August. D:\106758223.doc 4. End of Year Procedures – Loretta Loretta passed out handouts for the end of year procedures. Please refer to that list for detailed information. ABI Overhaul – Ken During the summer there will be some changes to ABI. Ken said that Eagle Software stopped supporting our current Aeries server and we need to go through this change in order to continue receiving support. Ken said that it will look more like Aeries.net. 6. Update on Electronic Report Cards – Mark/Ken The online standards-based (skills-based) report cards for elementary schools are still being developed for grades K-6. These report cards will all be completed by the end of this school year. It will be a 2-year process. Next year (2012-13) will be a pilot year with full implementation planned for the 2013-14 school year. 7. CALPADS – Loretta End of Year Procedures – see link below for information that Loretta passed out at meeting. http://vusddocs.vacavilleusd.org/techhelp/docs/aeries/10-CALPADS/ Discipline Data – CALPADS is requiring that we change the way we document discipline. The most severe offense needs to be on the top of the list. Loretta said that an incident ID should be assigned for each incident. If more than one student is involved (including witnesses and victims) that same incident ID should be assigned to each student’s record. For witnesses and victims go to “View All Forms” and filter for witness and enter incident ID there. A query can be done by incident ID. Loretta said that this issue will be discussed in greater detail next school year. 8. Transitional Kindergarten– Mark Mark said that at this time our district is proceeding with the implementation of Transitional Kindergarten (TK). He advised sites to take registrations for students that were born between November 2 and December 2, 2007 who are eligible for the TK program for this coming school year. 9.
