JOB PROFILE Role: Fundraising Executive Name: Date profile last reviewed: 4 January 2016 Reports to: Direct Marketing Fundraiser Main Summary Of Role: The Relationship Marketing Team is set to raise £10M in 2016 from gifts in wills, donations from individuals and charitable trusts. The Fundraising Executive will work alongside the Fundraisers in the Relationship Marketing team and he or she will play an important role to ensure the smooth running of the team’s fundraising activities. The role offers the opportunity to make a significant contribution to the direct marketing programme and the administration of pecuniary legacies. Main Responsibilities: Direct Marketing: Support the Direct Marketing Fundraiser with all aspects of supporter development and recruitment Work closely with the Communications and Welfare teams to identify case studies that are suitable for direct marketing Set up direct debits on CARE, send the Advanced Notice Letter to the supporter and send details to the fulfilment house, Rapidata Twice a month download the direct debit reports from the Rapidata secure website and check the codes and details are in place for the finance team to import Using the reports from the fulfilment house keep direct debit payment plans on CARE up to date Receive the white mail from the response handlers following an appeal and reply to supporter enquiries Provide a high standard of customer care to supporters, including writing acknowledgment letters, complaint handling, telephone donations and enquiries Provide regular reporting on the recruitment and development programmes Collate market intelligence from a range of sources and produce a regular report to share with colleagues and external parties Update the CARE database with returned mail; gone away, deceased individuals, change of address Legacy Administration: Under supervision from the Legacy Administration Manager take responsibility for the administration of pecuniary legacies; Create new legacy records in CARE, write appropriate correspondence to both personal executors and solicitors. Review existing pecuniary legacy files, and some residuary files under Legacy Administration Manager’s supervision Support the Legacy Administration Manager in creating and running reports in CARE Occasional filing of legacy documentation Write thank you letters when payments are received. Ensure legacy files are archived when the file is closed Other: On a monthly basis download the file of donations received through the RAFBF website. Identify which supporters are on the CARE database and enter the appropriate product and source code in liaison with other members of the team When required support the Trust Fundraiser with research and keeping her trust records on CARE up to date Help the Legacy and In Memory Fundraiser with specific campaigns and as required When required provide administrative support to team members in consultation with the Head of Relationship Marketing Provide cover as appropriate when team members are out of the office Developmental Objectives: Become familiar with the different areas of fundraising and be able to respond to telephone enquiries Build up knowledge of legacy administration and direct marketing Person Specification COMPETENCIES REQUIRED FOR THE ROLE Working with people Planning and organising - managing time effectively, meeting deadlines and prioritising workload Delivering results and meeting customer expectations Adapting and responding to change - demonstrating flexibility in adapting to changing circumstances, accepting new ideas Achieving personal work goals and objectives - accepting and tackling goals with enthusiasm and demonstrating a strong work ethic Following instructions and procedures QUALIFICATION(S), KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED FOR THE ROLE Academic/Professional Qualification(s) or equivalent: Essential Good standard of education Knowledge/ Experience: Desirable Essential Use of computerised database and experience of maintaining supporters contacts on a database Institute of Fundraising certificate Desirable Knowledge of methods of fundraising Use of the CARE database Knowledge of the Royal Air Force Experience of working in a busy fundraising team Able to set deadlines and work to them Experience of working in a team Knowledge of Microsoft Office packages Other Requirements: Travel to other Fund and UK locations (as appropriate).
