Azzuolo POLICIES AND PROCEDURES OF ROSEMOUNT BIBLE CHURCH POLICY: RBC-20 TITLE: Projectionist Guidelines & Procedures RESOURCES: Sound & Projection Ministry 1.0 May 9, 2007 AUTHOR: Nick Azzuolo POLICY OBJECTIVES 1.1 2.0 DATE: To describe the Projectionist preparation process and responsibilities for a regular Sunday morning service during RBC’s Family Bible Hour (FBH) service. PREPARATION: SONG FILE & ROLLING ANNOUNCEMENTS 2.1 It is the duty of the worship leader to provide songs to the projectionist no later than Friday afternoon at 5 pm, allowing almost 48 hrs before the Sunday morning FBH service for preparation. 2.2 The worship leader should send the song file to the projectionist in a single Word document which should then be converted into PowerPoint slides by the projectionist according to set standards and procedures in Section 5. 2.3 The Rolling Announcements are prepared by the coordinator and are sent by e-mail on Friday to the projectionist on duty. The projectionist must then download the file onto the computer hard drive or memory key for projection before and after the FBH service. 2.4 Projectionist should print out a hard copy of the song slides to be capable of navigating through slides effectively should a sudden change in the program occur. (Tip: From PP you can print the slides in Handout format, with 6 slides to a page.) 2.5 Projectionist should include a Welcome Slide, a Blank Slide between each song, and a Benediction Slide within the song file. 533579266 Page 2 of 6 2.6 3.0 4.0 Sunday morning FBH services may involve projection of other content which normally requires advanced notification. PREPARATION: OTHER CONTENT 3.1 Requests to project content other than the Rolling Announcements and the song file (see Section 2 for more details) require approval by the Service Coordinator. 3.2 Once approved by the coordinator, the coordinator must give advance notice of 48 hours to the Projectionist on duty. (Note: The coordinator should also take the opportunity to share broad guidelines such as quality recording, font sizes etc. for the party in question to consider.) 3.3 The person making the request must test the material with the Projectionist (and the Sound operator, if applicable) no less than 1 hour before the service starts. (Note: In the unlikely event where the quality is not deemed acceptable, the Projectionist may refuse the request to show the content, in order to maintain the integrity of the service.) SUNDAY MORNING SETUP 4.1 Projectionist should arrive at church to begin set-up no later than 1 hour before the FBH service begins. 4.2 Laptop should be connected to RGB outlet at the bottom right hand side of the Soundboard unit. 4.3 Verify signal on the left hand corner of the Soundboard to ensure it is set on the BACK button. 4.4 All PowerPoint applications should be opened up and scrolled through for verification. Scroll through ALT-Tab key to ensure easy transition between opened programs. 4.5 Using the remote, turn on the projection unit immediately after the communion service and make sure the signal is set on the RGB setting. 4.6 It is extremely important to do a run through with the worship leader prior to the service to double check the order of songs, verses, and choruses. Twenty to thirty minutes before the service starts is a good time to do that. 4.7 Put on Rolling Announcements until the worship team is ready to begin singing. Once the worship team is ready Alt-Tab to Song Slideshow and follow along with hard copy. 4.8 The Projectionist should stay at the Soundboard throughout the entire service unless there is no need after the worship time is completed. The Projectionist should return to the Soundboard at the end to project the Benediction Slide and then to run the Rolling Announcements. 533579266 Page 3 of 6 5.0 4.9 It is the projectionist’s responsibility to turn off all equipment related to the projection after the service. 4.10 The projectionist should report any problems that occurred during the service to the Ministry Leader of the Sound & Projection ministry as a preventive way to minimize future risk and maintain highest standards of operation in service to God. The RBC CCLI license number is 1240557. 5.2 Slide layout design essentials: 5.2.1 There are four PowerPoint Slide Masters (View – Master – Slide Master): Welcome1, SongTitle2, SongLyrics3, Blank4. (Tip: Any change that you make on a Master slide will affect all slides that are created from that Master.) Note: The “star” that appears underneath the “1” and “4” indicates Fade Through Black Slide Transition. Slides 2 and 3 have no transition. 5.2.2 Minimum font size: Title: 40 pt, ideal is 44 pt; Lyrics: 28 pt, ideal is 32 pt 5.2.3 Recommended font type: Arial black, Arial. Don’t use “handwritingstyle” fonts. 533579266 Page 4 of 6 5.2.4 Animation: Don’t add Custom Animation to the song file (ex. Fly In, Boomerang). 5.2.5 Contrast: Dark on light or vice versa (ex, black background with white/cream text; white background with navy text) 5.3 Other design elements: 5.3.1 Background: Either plain or “nature scenes”. Do not use “iconic” graphics. If you wish to use a background image that may be considered questionable, seek approval from the ministry leader first. (Tip: As a projectionist, you have access to a secure location on the RBC web site to access background graphics and images. These have already been approved by the ministry leader.) Password: ................................... 5.3.2 Punctuation: If you use it, be consistent and use it everywhere or not at all 5.3.3 Spelling: Use the spell check feature. Given that it will only pick up spelling errors, also read over the songs to make sure there are no misuses of words (ex. pride vs bride) 5.4 Programming songs: 5.4.1 Copy & paste song text from the Word document given to you by the Worship leader. 5.4.2 Once the song file is complete, print a hard copy and use it to navigate through the worship set. 5.5 Completed song file should contain: 5.5.1 5.5.2 5.5.3 5.5.4 5.5.5 5.6 A Welcome slide with the correct date. All songs ordered as they will be sung. A blank slide between each song. A benediction slide. Optionally, other slides such as announcements/events, testimonies, intro to the speaker with message series and title, etc. Testing & Tools: 5.6.1 What you see on the screen when programming songs at home doesn’t necessarily reflect what you see on the screen in the Sanctuary or Fellowship Hall. Test the results and adjust the Slide Masters as necessary. (Format – AutoShape – Colors and Lines – Fill Color / Transparency). 5.6.2 Online Bible to help you create the Benediction slide.
