SCHOOL OF MUSIC DVDs
These are performances recorded by the School of Music. They may be performances by CSU
ensembles, faculty recitals, graduate student recitals, or guest recitals. As per the Music
Librarian, records from School of Music videorecordings are NOT input in OCLC because they
are not available to anyone outside CSU. We have also decided that these records should not be
processed by MARCIVE because there will be so many local, uncontrolled names. Create
records in Voyager only.
Log in to Voyager under the “Authority Corrections” location (so that these records are not
processed by MARCIVE).
Most SOM DVD recordings will be new and will not have a temporary record. You may wish to
use a template to apply much of the repetitive information to a new bib record.
Edit the record as follows. It is usually helpful to call up a fully cataloged SOM DVD and copy
as many fields as you can, making minor adjustments as necessary.

Insert the DVD into the DVD drive in your computer and look at the title screen (if present).
Enter the title as it appears on the title screen. 1st indicator is 0 and the 2nd indicator represents
the number of nonfiling characters. If there are no title screens or they are not informative, use
the title from the surface of the DVD in the 245.
246:
Enter any variant titles appearing on the surface of the DVD, insert, container, or anywhere else
as 246s. Do not add a period to the end of the 246. Do not include initial articles in a 246. If the
title begins with “CSU…” it’s a good idea to add a 246 spelling out “Columbus State University”
and then add the rest of the title. Also if the CD has “Columbus State University Schwob School
of Music presents” printed above the title add a 246 as follows:

Give subject headings for the type of ensemble, the instrumentation, medium of performance,
genre of music, as appropriate.
Examples (not from the same record!!):

7XXs: Added entries.
Give 700s for the individual performers and participants named in the 511. Checking the OCLC
authority file is generally not necessary, but DO search in Voyager to determine if the person
already appears in our catalog. If so, use the already established form of the name in order to
ensure consistency. If you find multiple forms of name for what might be the same person,
notify the Cataloger. Authority records are generally not necessary for these names. (It is usually
best to truncate the first name when searching in order to improve chances of retrieving other
possible forms of the name.)

Give 700:12: name/title entries for the composers and the pieces performed. Search the OCLC
authority file for an already established heading. Copy & paste it in if you find one. (You will
have to change the characters for the subfield symbols before Voyager will let you save it.
Delete the double dagger as copied from OCLC and hit F9. Be sure to remove any extraneous
spaces.) If you cannot easily find an established name/title heading, you can either copy the
composer’s heading and add a ‡t with the title as it appears on the item, or enter a 740
uncontrolled title entry for the name of the piece performed. (The first indicator of a 740 is the
number of nonfiling characters and the 2nd indicator should be a 2 indicating an analytical entry.)
Give a 710:2 : entry for the ensemble(s) performing, if applicable. Like personal names of
students, you are unlikely to find anything in the OCLC authority file, but check Voyager to see
if a name has already been established in Voyager for the ensemble.
Give a 710:2 : for the School of Music:
Columbus State University. ‡b Schwob School of Music.
Open the mfhd (or create one) and change the accession number and prefix, change the first
indicator of the 852 to 8, and make sure the location code is ML-dvd. The Music Librarian

wants SOM videorecordings in order by the date of performance, whenever possible. Consult
the Music Librarian in case of any confusion regarding accession numbers.
Example:

Create or update the item record, as needed. The item type is “Music Media.” Change the status
to “In Transit.”
Physical processing is the same as other Music Library DVDs, except that the accession number
prefix is “DVDM” rather than “DVD.” Accession numbers take the form of “DVDM 1,”
“DVDM 2,” etc. This prefix is placed in the mfhd and on the spine label.
