CHELMSFORD HIGH SCHOOL ALL SPORTS BOOSTER CLUB MINUTES OF MEETING OF MARCH 6, 2014 Jim Young called the March 6, 2014 Chelmsford High School All Sports Booster Club (“ASBC”) meeting to order at 7:10 p.m. at Chelmsford High School, 200 Richardson Road, North Chelmsford. Board members present were Chris Ashley (“CA”), Debra Belden (“DB”), Stephen DeAngelis (“SD”), Christine DeSilvio (“CD”), Peter Roy (“PR”) and Jim Young (“JY”). Nick DeSilvio (“ND”), liaison to the School Committee and Greg Piper (“GP”), Lions 5k Director/Coordinator attended the meeting. Kihm Lattimore (“KL”) was present at the meeting. JY welcomed those present to the meeting. President’s Report JY began the meeting by reviewing critical dates: Tonight was the Spring Parents Sports Night at the high school. KL distributed flyers advertising the Wine & Jazz Fest. Scott Moreau (“SM”) provided JY with an opportunity to speak about the need for volunteers for the Snack Shack, the Wine & Jazz Fest and the Lions 5k Road Race. The Wine & Jazz Fest is Saturday, March 8. Winter Sports Awards night is scheduled for March 12. The next meeting of the ASBC is scheduled for April 3. Lastly, the Lions 5k Road Race is scheduled for April 12. Sign up for Spring Snack Shack volunteers is taking place tonight. Fundraising Report Wine & Jazz Fest Event PR reviewed a list of assignments of responsibilities for the Wine & Jazz Fest Event. Set up for the event will begin at 4:00 p.m. Lions 5k Road Race GP provided an update on the status of the Lions 5k Road Race. A draft of the brochure has been forwarded to the team. Last week he reviewed it with the School Committee. Those present reviewed, discussed and revised the content of the brochure. GP will update the brochure and circulate for distribution. The next phase is marketing. GP will create a flyer, similar to the registration brochure, geared toward sponsorship to distribute to businesses. GP distributed a schedule detailing tasks for the Road Race. Those Page 1 of 3 present reviewed, discussed and assigned responsibilities. A follow up meeting with an agenda limited to discussion of the Road Race is scheduled for Thursday, March 20, 2014. Treasurer’s Report SD presented the Treasurer’s Report. He reported that the tax returns have been filed for last year. SD distributed copies of a document titled “Chelmsford High School All Sports Booster Club, Inc. – Annual Report – For the Year Ended June 28, 2013” as prepared by James L. Hickey, CPA PC for review by those present. Due to the high level of funds raised during the past year, ASBC was required to have a professional tax review and preparation of financial statements. SD reviewed the budget. Secretary’s Report ASBC minutes for the meeting held on February 6, 2014 were submitted for approval by DB. PR made a motion to accept and approve the minutes of the February 6, 2014 meeting, as drafted. ND seconded the motion. DB, CD, PR, ND and KL voted in favor of the motion. CA, SD and JY abstained from voting on the motion. The motion was approved. Athletic Director’s Report Scott Moreau (“SM”) was not able to attend tonight’s meeting. School Committee Liaison Report ND reported that Dr. Tiano will be presenting an update at spring town meeting of the work of the Synthetic Turf Fields Committee and the current status of the Turf Fields Project. ND indicated that there are two major organizations renting the turf fields and SM should be in good shape to make payments on the loans with usage fees collected. ND briefly reviewed the process for the naming rights of the fields. The Annual Report prepared by James Hickey will be included as part of the report. ND reported that the Chelmsford Open Space Stewards Organization will be working to re-cut the cross country trails. Old Business Volleyball SM had offered the ASBC the opportunity to sell snacks at basketball games in a corner of the gymnasium. It was not feasible for this season. However, ASBC would be interested at some point in the future. CD understood that the ASBC would be able to sell snacks at any game in the gym. ND indicated that Booster Clubs in other nearby towns sell snacks at games held in school gyms. Since the ASBC began, it has not been Page 2 of 3 involved in selling food and snacks at indoor games. Those present discussed the advantages and disadvantages of selling food and snacks at indoor games at length. The ASBC should not displace other groups currently selling. There was consensus among those present to investigate taking over sale of food and snacks at next year’s girls volleyball (fall) and boys and girls basketball (winter) games.
