Draft: Invitation Letter to Design and Operational Strategy Committee (from Vicki) Dear Thank you for considering Dr. Grossman’s request to serve on the Campus Transformation Design and Operational Strategy Team (DOST). The primary task of this team is to establish the guidelines for the North Clinical Campus, encompassing both the Kimmel Pavilion and Tisch Hospital. It is essential that the end product of this planning effort results in one integrated facility. Progress to Date The Campus Transformation Steering Committee has been working for the last 10 months on the master plan and a long term strategic plan for the NYU Langone Medical Center that will make us a world class integrated, patient centered, academic medical center. The Committee has ratified a set of Guiding Principles for the campus transformation work that we have attached for your reference. DOST will focus on the functional components identified by the Committee. Each of these components becomes a functional committee comprised of DOST members (some members may be on multiple committees). They are: Patient experience continuum (patient centered care) In-patient beds Procedure suites (operating rooms and interventional) Ancillary services Non-inpatient beds The Campus Transformation Steering Committee continues its work determining the functional areas that will be included in the New Kimmel Pavilion. Project Definition: Role of the Design and Operational Strategy Team We are now ready to embark on the next phase of the project – defining how the Kimmel Pavilion and the North Clinical Campus will operate to achieve the vision embodied in the Guiding Principles. In a series of work sessions facilitated by the consultant team, DOST will: Review benchmarks and trends from other top medical centers and discuss their application to our own Consider what best practices and operational changes are most appropriate Set goals for performance outcomes Establish design and operational guidelines for the major functional areas Set underlying assumptions regarding space use as a basis for further work Determine user group participation Meeting Schedule As the work of the Design and Operational Strategy Committee is critical to the success of the campus transformation, we are asking you to make a significant commitment of time and focus to this effort. Every other week there will be a series of six 2-hour user group meetings over a 2-3 day period, one for each of the functional committees and a full committee meeting to review progress to date. These are the weeks in which the meetings will take place: Week of April 27 Week of May 11 Week of June 1 Week of June 15 A detailed schedule of meetings will be issued shortly. A kick-off meeting for all DOST members with the Campus Transformation Steering Committee is currently being scheduled. Programming Phase: User Groups Upon completion of DOST’S Design and Operational work, the Programming work will begin. A larger set of User Groups with broader staff participation will work with DOST and the consultants to draft the space program. DOST will continue to participate in this phase as guardians of the operational and design guidelines, and will keep the work focused and ontrack. These User Groups will provide an “on the ground” perspective to inform the drafting of a Space Program that will translate the Design and Operational Guidelines for each department into a room-by-room space program for the Kimmel Pavilion. DOST will deliver the Space Program to the North Clinical Campus Committee. The North Clinical Campus Committee will, in turn, review the recommended Space Program and submit a final Space Program to the Campus Transformation Steering Committee. We anticipate that the User Groups will meet in three to four rounds of work sessions (every three weeks) during the following weeks: July 6 July 27 August 17 During these weeks, each User Group will meet for two hours. The Design and Operational Strategy Team will meet once to review the progress. These wrap up sessions will provide the opportunity to present and discuss the week’s progress, address conflicting ideas, and determine which issues need further consideration by the Campus Transformation North Clinical Campus Committee. We recognize the magnitude of this commitment and the impact it will have on your schedule for the coming months. We will make every effort to make the meetings productive. We will send detailed agendas outlining particular issues to be discussed with background information in advance. We expect you to bring colleagues with the expertise to address each issue, and/or conduct off-line discussions in preparation for the meetings. Decisions and discussions will be structured to move the work expeditiously forward. Your participation is critical to the success of this project.
