 The Philosophy department is part of the College of Letters & Science
within the Division of Social Science (DSS). The DSS is separated in to
administrative clusters, Philosophy is in the Yellow Cluster, managed by
Carmina Caselli. Other departments and programs within the Yellow
Cluster are: Psychology, Science & Technology Studies (STS), Center for
Mind & Brain (CMB), Center for Science & Innovation Studies (CSIS).
 The Philosophy department is located in the Social Science & Humanities
(SSH) building.
 The Main Office is located in office 1240 SSH, and is shared with STS and
CSIS. This is also Edie and Argelia’s office. The phone number is: 530752-0703

Office Key:
 Your key will open: your office (and the other faculty offices), Copy Room
(1243), Main Office (1240), Lounge (1238), Grad Computer Lab (1234),
Department Library (1231), Seminar Room (2275), the back door by the
stairwell, and the elevator (you would only need to use your key for the
elevator if you need to use it during the hours when the building is locked).
 The front, glass doors, are unlocked at about 7:30 am, and locked at
about 5:15 pm, M-F. The building remains locked on weekends and
holidays.
 The back door, at the stairwell, is unlocked by 7:30 am and also locked at
5:15 pm. You can go out of this door when the glass doors are locked in
the, and you can use your key to enter the building through this door when
the building is locked.
Mail and Mailboxes:
 Your mailbox is in the Main Office, 1240.
 The Main Office is generally open from 8-12 and 1-5, M-F. (Please make
students aware of this if you ask them to turn in papers to your mailbox)
Mailing:
 USPS mail is delivered to Central Mail Division on campus, and then mail
is delivered throughout campus. Our mail is picked up and delivered in the
mornings on M/W/F. Both of these processed contribute to mail being
delayed. (It will not be worth it to you to pay extra for faster delivery if the
service is through USPS) Mail delivered by private companies such as
Fed Ex or UPS will be delivered on time, but of course not after 5pm, on
Saturdays or campus holidays. The delivery people with these companies
are regulars and they are accustomed to the campus’ open hours, and to
the departments where they deliver.
 The outgoing mailbox is in the main office on the floor by the reception
counter.
 For off-campus mail place it in the canvas mail bag. If you are sending
something off-campus for business purposes use one of the return mailing
labels in the supply cabinet or write “1036” in the return address area of
the envelope. Campus mail will process the postage and charge it to the
department. Personal mail can be sent out from the little mailbox across
the street (on the wall of the UCD Off Campus Text Book Store), or from
the campus post office in the M.U.
 To send things on campus just drop it in the box in an intercampus
envelope, which are located in the Copy Room.

Fed Ex mailing: The department has a Fed Ex account with which we
receive an enormous discount. Please do not mail with Fed Ex or other
similar types of mailing services and pay out of your own pocket. Fed Ex
mailing supplies are in the Copy Room, and any staff can help you with
the mailing.
Address:
 The official address of UC Davis is “One Shields Avenue” but this address
alone will not help mail arrive to you quickly. When giving the address to
anyone to send you things please use the following:

Fax Machine:
 The fax machine is in the main office. The paper goes in up-side-down
and backwards. There are also instructions on the fax machine.

Copying:
 Copy Codes: You have two copy codes, one for teaching and one for
research
 Paper: Please use the paper labeled for copying, located in the Copy
Room. There are signs indicating paper for copying versus paper for
printing. Copy paper has the green cover. Using any other paper in the
copier can cause paper jams, malfunction of the copier and duplicate
charges to the department.
 How to enter your code:
o Enter your copy code on the number pad on the copier
o Press “ID”
o When you are done copying, exit by pressing “ID”
 Copying & Scanning:
o There are instructions on the wall above the copier about copying
and scanning. Please help preserve the copier by not making more
than 150 copies at one time.
o If you have large amounts of copying we can send it to
Reprographics (on campus) to copy for you. We usually need to
give them 2 days advanced notice to be safe. (Two days notice
means that we have received all the information needed to make
the copies before 4pm, 48 hours prior to your scheduled final.) To
do this, contact Edie.
o If the copier isn’t working you can see one of the staff and we can
copy in a neighboring department, or if no one is around you can
copy somewhere else and we will reimburse you.
Printing:
 There is a printer on the 2nd floor for Faculty to share, it is currently located
in the Emeriti Office, 2291. When you purchase your computer have DSS
IT set the machine to print to the Emeriti office.
 You can also print to the Grad Lab printer from your laptop. The printer is
located on the street level, room 1234 across from the Philosophy Library.

 In a printing emergency DSS IT can print for you, there are instructions
near the copier, or call IT (530-752-8800). If the copier isn’t working you
can see one of the staff and we can copy in a neighboring department, or
if no one is around you can copy somewhere else and we will reimburse
you.
 If you like you can purchase your own printer from your start-up or
research funds. To do so contact DSS IT and they will purchase for you
and charge to your account.
o Printer cartridges should be ordered through the department by
emailing Edie. In the email include the model of your printer and the
number of your printer cartridge.
 Paper: Please use the paper labeled for printing, located in the Copy
Room. There are signs indicating paper for printing versus paper for
copying. Printer paper has the brown cover. DO NOT use copier paper in
any printer.
Supplies:
 The majority of office supplies are in the Copy Room in the two gray
lateral cabinets.
 If we are low on supplies or there is something you need that we don’t
have, let Edie know. We can order things at discounted rates, which
usually arrive within a day or two. The department pays for most
general/shared supplies; if you want something just for yourself we can
charge to your UCD funds.
 If there is something from the UCD Bookstore you would like to buy, Edie
can purchase for you and it can be charged to your research funds or to
department funds (depending on the item). You can also purchase the
item and return the receipt for reimbursement but it is best to discuss with
us to make sure you can be reimbursed.
Shared Spaces:



Water: There is a water cooler in the Lounge (1238) and in the Seminar
Room (2275), which dispenses hot and cold water. Full and empty water
bottles are stored in the Copy Room.
Appliances: We currently have a very small fridge, toaster oven,
microwave and Keurig machine in the Lounge (1238).
Seminar Room & Library:
o Grad Seminars are held in the Seminar Room (2275).
o Use of the Seminar Room and Library must be scheduled with
Edie, Heidi or Nicole. Schedules for the rooms are posted on the
doors. The rooms may be used on a drop-in basis if you are willing
to leave for someone who has scheduled the room.
o Please clean up all trash from the rooms when you’re done, and put
the room back to it’s normal set-up. There should be cleaning
products in each room. Please throw away any leftover food/drinks
in outside trashes, room trashes are emptied by custodial about
once per week.
o Only use dry erase board cleaner on the dry erase boards, please
never use any other cleaner on the dry erase boards (white
boards). Using other cleaners will ruin the boards, and they are not
inexpensive.
Email Lists:
 UCDPhil@ucdavis.edu : This is an email list for the Philosophy
department which includes; faculty, grads, staff, emeriti, current visitors
and lecturers. Your UCD email address will be added to the list and you
can only email to the list using that email address.
 UCDPhiloGrad@ucdavis.edu : This is an email list for Philosophy Grad
students. Faculty are not added to this list unless they are the; Chair, Grad
Advisor or Placement officer. However faculty can be on the list just ask
staff.
 UCDPhilFaculty@ucdavis.edu : This is an email list for Philosophy Faculty
but also includes staff. Your UCD email address will be added to this list
and you can only email to the list using that email address.

Your Office:
 You may choose to have electrical appliances in your office such as a
small fridge or microwave. Please be aware that electrical circuits may
connect with other offices also using similar appliances and could blow a
circuit. Nicole can check with Facilities to see where best to place
appliances.




If you would like a heater for your office please contact Edie to have her
purchase for you. When using a heater please unplug it when you leave
your office.
Trashes are emptied by custodial services about once per week. They do
not clean floors. We have cleaning supplies (Swiffer sweeper, broom and
vacuum) you can use to clean the floor. Hard floors can be buffed and
waxed, and carpets cleaned, when scheduled, but it is not a free service
to the department.
You can choose to have your office painted, or to order furniture through
the department, but you will need to use your UCD funds. You can
purchase items for your office on your own and be reimbursed (such as
from Ikea or Amazon) if the cost is under $500. Small office supplies
generally shouldn’t be purchased on your own and reimbursed (such as
printer cartridges and other generally used supplies). UC receives huge
discounts on supplies, if there is something special you need, please ask
us to order for you. We can charge your UC funds directly, or charge the
department depending on the item.

Phones & Skype:
 Skype is used by our faculty to provide a phone line/number and voicemail
service. The department will fund a billing plan for U.S & Canada, the cost
of phone number and voicemail for up to $80 per year. Skype credit will be
funded as needed.
 There is a landline upstairs in the Emeriti office (2291) on the 2 nd floor in
Philosophy. This phone will be moved to the Seminar Room (2275). This
phone was kept mainly to dial out in case of an emergency. The phone

Reimbursements, Purchases & Payments:
 When a purchase is described as needing to “go through the department”
that means you need to email Nicole or Edie about what to do before
promising anything or paying anything out-of-pocket that you expect to be
reimbursed for from any UC funds.
Travel & Entertainment Reimbursements:
 Travel and Entertainment expenses can be paid or reimbursed with your
UCD funds but the process, documentation and types of expenses are
restricted by UC and Federal policies.
 Do not purchase packaged travel deals through services such as Expedia
and similar companies.









Do not pay for anyone else’s travel. If the traveler pays for themselves
(including guests) we can reimburse them, if you pay for someone else we
can’t reimburse you.
Generally any travel above coach/economy will not be reimbursed. This
includes rental cars. If you need to pay for an upgraded rental car, you will
need to give a reason as to why you needed that upgrade and it may or
may not be accepted by accounting.
When spending on behalf of the department, be sure you have approval
from the Chair or Account Manager, and that you are aware of the
budgetary restrictions.
When paying at a restaurant, check if tip has already been included, you
will not be reimbursed if you provide another 15%+ tip on top of the 18%
already charged by the restaurant due to the size of the group.
An attendee list is required for all entertainment reimbursements and
payments
Alcohol permits are required for any event on campus when alcohol is
served. Over two weeks notice must be given to obtain an alcohol permit.
Edie must be notified of the need of an alcohol permit.
Travel insurance:
o When you book travel through Connexxus travel insurance is
automatically included.
o If you have to book outside of Connexxus sign up for travel

o UC will not reimburse you for any travel insurance purchased

All of our travel and entertainment reimbursements are done through a
system called “MyTravel.”
Connexxus:
o Connexxus is a growing UC travel agency service that is building to
provide discounts on travel. You can access this service through
the MyTravel website. Airfare can be charged directly to your UCD
funds. Travel insurance, car rental insurance, and many UC
policies are automatically included through this site.
o The travel agencies and UC travel insurance within Connexxus can
help you book your trip, and/or can help you when there are
problems with your trips. This can be especially helpful when you
have a multi-segment trip with delays, or if you are traveling to
countries with political unrest. These are a few of the reasons why
UC highly stresses everyone traveling for UC business to use
Connexxus.
o UC will not reimburse extra rental car insurance such as LDW,
booking a rental car with Connexxus will include the insurance
needed and you won’t need to buy extra. Car rental agreements:

MyTravel:
o To start with MyTravel go to: https://mytravel.ucdavis.edu
o First, enter your information. Click on the file folder icon with a little
person in it, towards the upper right corner. This will bring you to
the ‘General Information’ tab. Be sure that your UCD email address
is entered. Your default department should be listed as Philosophy.
o Towards the top click on the ‘Expense Preferences’ tab, please
check ‘An expense report is submitted for approval,’ the rest are up
to you and you can change them at any time.
o The ‘Delegates’ tab is very important. This is so that we can
process and track your reimbursements. Edie processes the
reimbursements. Click on ‘Add Delegate’ and add: Edie Stasulat
and Nicole Kramer (you will have to do each separately).
o If you anticipate reporting mileage on a private car for business use
click on ‘Personal Vehicle’ and enter your vehicle information.
o You can view tutorials from the main MyTravel page, under ‘Help
Resources’
Receipts:
o Please keep all of your receipts from a trip. Itemized receipts are
always needed for lodging. Itinerary and proof of payment are
always required for airfare (even when directly charged to your
UCD funds)
o Do not use highlighters or tape on receipts (highlighter can show up
as blacked out when scanned which is how we submit receipts to
accounting, and tape on thermal receipts will cause the print to
disappear)
o Itemized receipts are needed for entertainment when the amount is
over $74. The proof of payment receipt is always required.
o Receipts must indicate that they are paid, in one of the various
ways: “paid”, “balance $0”, “paid by ___”.
o Airfare: many people give us airfare paperwork that shows their
confirmation but does not show their proof of payment, we can’t
reimburse based on just a confirmation page.
 UC will not reimburse for upgrades on airline seats (such as
“extra legroom”) without a doctor’s note, and will not
reimburse for seats other than coach/economy.
Other Reimbursements:




For other reimbursements such as books for research or small supplies for
your office, these reimbursements must be below $500. Above $500 and it
needs to be processed through the department, so email or come talk to
us.
UC Davis imposes this limit because they have agreements with many
vendors and receive lower rates because of UCD/UCD’s buying power.
UCD would like people to use these agreements when possible, and
exclusively when purchases are over $500.
Itemized receipts must be provided and proof of payment to indicate that
they are paid (as stated above under “Receipts”). Packing slips that state
the total but do not indicate “paid” are not accepted by our central
accounting department as proof of payment, and you will not be
reimbursed. However they are often used in addition to the receipt if the
receipt does not show a list of the items.
Amazon purchases: Many people purchase books through Amazon and
give us receipts to get reimbursed. Similar to the airfare confirmation that
an airline initially sends you, Amazon also initially sends a confirmation of
your order, but at this time you have not yet been charged. We can only
reimburse you from the receipt that shows you have been charged
(usually sent once your order has shipped).
Purchases & Payments:
 For certain items, the purchasing needs to go through certain departments
on campus. Any furniture for your office (over $500) should be purchased
through the department (see Edie), any computers and higher-priced IT

 Any services provided at any cost must go through the department
(common services are indexing or editing of books), do not pay out of your
pocket, you cannot be reimbursed.
 Payments for work, such as hiring a Grad Student or anyone else for any
reason, needs to go through the department and absolutely no work
should be done before the person has signed employment paperwork.

Classrooms:
 If you are locked out of your classroom please call Custodial Services at

 Classroom media support is different than our DSS IT support. For
problems with classroom media call 530-752-3333. Information should
also be labeled on any items in the classroom.
Extra time:
 If you or your TA/Readers need to schedule extra classroom time (such as
for a study group prior to finals), please contact Edie.
 Students who are allowed extra time for exams can take their exam in the
department. We use the Department Library, Seminar Room, and



sometimes Computer Lab. You must schedule the time with Edie, Heidi or
Nicole. TA’s, Readers or other Grad Students should be first to proctor
exams, then Faculty, and only if needed will Staff proctor exams, if
scheduled ahead.

Book Orders:
o Edie will email you about book orders for your classes. You and
your TAs will receive copies of the book. She will usually try to send
out an email 1 month before the coming quarter
Safety:
Elevator phone:
 In an emergency (other than a fire) the phone in the elevator can be used
to call the UCD Police. If this is accessible to you during an emergency
(other than a fire) this can be faster than using a landline or cell phone as
this is ensured to contact the UCD Police department.
Cell phones:
 The UCD Police tell us that now dialing 911 on a cell phone while on
campus, the call will be directed to the UCD Police department. However,
since the Philosophy department is located on the edge of campus, this
may not be a guarantee. The concern to not be directed to City of Davis
Police (and especially CHP) is because UCD Police will have a faster
response time.

dialed and left open if you are in a situation where you feel you can’t talk.
Warnme System:
 The Warnme system is to notify you of campus emergencies by text or

 Safety App by Rave Guardian. You can schedule Aggie Safe Rides
through the app, provides an icon to easily call UCD Police and other

Fire:
 Alarms:
o We do not have fire drills, if the alarms are sounding you must exit
the building safely and immediately.
o The best path from the faculty offices is down the hall towards the
stairwell, and out the back door from the stairwell. Another path is,
across the hall towards Sociology and down their stairwell, from
which you can exit to the small parking lot.
o Many people from the SSH building meet at the field (especially if
one is exiting from the Philosophy stairwell). Staff exit from the
double-glass doors and go across the street by the Off-Campus
UCD Bookstore, as do many others if they are on the street level or
lower level of the building.
 Extinguisher:
o There is a fire extinguisher on every level of the Philosophy
department
 Lower Level: on the wall immediately in front of you when
you exit from the stairwell
 Street Level: on the wall by the patio doors
 2nd Floor: between Elaine Landry (2286) and Cody Gilmore’s
(2288) offices
AED (automated external defibrillator):
 AEDs are to be used if someone seems to be having a heart attack, or if
their heart has stopped. There are AEDs all over campus. You can get the
machine out of its case and take it to the person in need. Our closest is on
the 2nd floor in Sociology. (Walk down the hall towards Sociology, turn
right, the machine is on the wall by the window.)
 No training is needed to operate this machine on its own. Once the
patches are placed the machine will determine whether a shock is needed
or not. If this machine is being used someone should also call 911.

Facilities emergencies:

If you are somewhere on campus, or in our building after hours or on the

 A facilities emergency may be a major plumbing leak, broken window, or
locks failing on external doors.
 For any non-emergency facilities issues (such as a leaky sink, or a lock
that is sticking) please email Edie and she will submit a work order to
Facilities.

Department Group & Event Info.:
 Colloquia Series:
o Generally we have 5-6 Colloquia speakers per year. Each speaker
receives; 2 nights lodging, travel expenses reimbursed, and a small
honorarium.
o For each speaker there is a post-talk wine & cheese reception, a
department lunch and dinner. Meals are limited and the sign-up
sheets are in the copy room in the teal Colloquia binder.
o A Grad Student is assigned to each speaker and act as the “PR”
(person of responsibility) the main contact for the speaker. The PR
is to make sure everything is set for the speaker and the talk. The
PR is the on usually setting up the post-talk reception, deciding on
restaurants, and coordinating rides or shuttle service to/from
airport.
o Colloquia, and other talks, are almost always on Fridays at 3:10pm
in the Philosophy Library (1231 SSH)
 Faculty Meetings:
o Usually once per quarter, or for special circumstances
o Held in the Seminar Room (2275 SSH) Friday at 3:10pm
 Grad Workshops:
