Join us for the best two days of high school theatre in Arizona. The Arizona State Thespian Festival features numerous
productions presented by high schools from throughout the state. Plus, you'll be able to participate in a variety of
workshops led by theatre professionals from around the country.
And if that weren't enough, you also can perform or view individual performance and tech events, audition for
scholarships, talk to college representatives from around the country, shop with commercial vendors selling theatre
merchandise, and hang out with over 2300 other Arizona Thespians.
This handbook contains useful information to help you register for, plan for, and learn more about the 2014 Festival. It is
as complete and accurate as possible by the publication date. Remember, however, that your primary source of
information is the Arizona Thespian website: www.arizonathespians.org

If this is your first time registering yourself, please follow the steps below.
STEP 1: Go to FESTIVAL REGISTRATION LINK
STEP 2: Under the ‘Actions’ to the right, click on ‘Register’.
STEP 3: Choose ‘High School’ login.
STEP 4: Type in your Email, Password, Repeat Password, and Enter Code in the available spaces.
STEP 5: You will be emailed a confirmation number. Copy it and paste it to the link provided.
STEP 6: Once you have entered into the system. Fill in the information for your school and hit save.
Step 7: Please read the information on the dashboard.
*Registering Students
Step 1: if you haven’t logged in, do so.
Step 2: At the top of the Menu bar click “register” then “students”. From here you can register your
students. You will need their cell numbers and email addresses.
Step 3: Always hit “Save”
*Troupe directors

Step 3: Click on your name so it add it to your registration.

number.

I will change the account over to your name and email. Once the change is done, you will need to
change your password at that time by clicking the “lost password” on the log in screen. Using the

All judges must register via the online registration. Even if a troupe director/chaperone is
registered with a school, they must register as a judge as well. In this case you must use
a different email than one that has been used before.

• There is no cap on the number of students and/or adults a troupe can bring.
• You can highlight and print out your registration list in the online registration if you need a “Quote” of the price

When you go to “PROCEED WITH PAYMENT” in the online registration, the “PAY WITH CHECK” button means it
will generate an invoice. We know you will be submitting a PO and will need to send the invoice to your district to
actually get the payment (check made to Arizona Thespians)
Once you hit the “PAY WITH CHECK” button in the online registration you are entering into a contract with
Arizona Thespians so you may attend the Arizona Thespian Festival. A copy of a purchase order is required to
finalize your registration by October 10, 2014. (The registration deadline)

Every attendee (student, teacher, parent, and chaperone) must complete a Med Form.
You will need to bring THREE copies of each completed Agreement Form for everyone who will be attending with your
troupe – students and adults.
 You will keep one copy with you at all times during festival.
 You will submit one copy to Arizona Thespians at registration on November 21, 2014
 You will give one copy to your students to fold and place in their name badge. This is required as students will
be checked for medical forms when attending general sessions.
* If you do not comply with these requirements, you will be required to go to the local Kinko’s on First Ave and
make copies prior to receiving festival registration materials.

Hotels and Parking
Hotels: We have reserved limited number of rooms at the Renaissance Hotel. This is the official
hotel of the Arizona Thespian Festival.
A double room that can fit 4 people is $156.32. This includes hotel charges and tax.
A suite that can sleep 6 people is $212.63. This includes hotel charges and tax.

Parking

Regency Garage - 40 N. 2nd St. – This garage is located directly across Second Street from the West Building
between Washington and Adams streets.

East Garage - 601 E. Washington St. – This above ground parking structure is the largest in the area and is
located directly east of the South Building and southeast of the North Building. Entrances are available off of
Washington (one-way westbound) and Jefferson (one-way eastbound) streets.

Heritage Garage - 123 N. 5th St. – This garage is located next to Heritage Square and the Phoenix Museum
of History, just east of the North Building. Enter this garage from Fifth or Monroe streets.

West Garage - 185 N. 2nd St. – Enter the underground parking in the West Building of the Phoenix
Convention Center off of Second Street, just south of Monroe Street. It is directly across Second Street from the
Hyatt Regency Hotel.

North Garage - 475 E. Monroe St. – This garage is located below the North Building. Enter this garage from
Monroe Street, just west of Fifth Street.

East Garage is the bus parking and is closest to the South building. (That is where registration takes place).

Jefferson Street Garage- 333 E. Jefferson Street $5.00 parking- Right across the street from the South
Building.

Awards and Mainstage
Administrator’s Award - due by Oct. 10, 2014
Arizona Thespians present this award to outstanding school administrators who have demonstrated exemplary support for
educational theatre. Administrators from all schools or school districts affiliated with Arizona Thespians are eligible for the
Administrator’s Award. Troupe directors may submit nominations for individuals or administrative teams serving at the
department, building, or district level by filling out an application that is then reviewed by the awards coordinator of
Arizona Thespians. Previous award recipients may not apply.

Outstanding Theatre Educator – due by Oct. 10 2014
Arizona Thespians recognizes an individual who has dedicated himself or herself to the cause of theatre education and
the promotion of the fine arts in his or her community. Any member of EdTA (Troupe Director, Technical Director, or
Individual member) is eligible to be nominated for this award.
Any student wishing to nominate their director for consideration will be required to fill out an application and include a
letter of recommendation. The student who nominates the Outstanding Theatre Educator will help present the award at
conference. See website for forms.
Mainstage Performances
Arizona Thespians are looking for high caliber full-length productions to showcase at the 2013 Arizona Thespian Festival.
If you would like to share your show twice to an audience of at least 1000 Arizona Thespians, then we encourage you to
apply for a screening. Our goal is to provide festival attendees with as wide of a selection of genre, performance style,
theme, and scale as we can find. And this being Arizona, we know variety and quality are just waiting in the wings ready
to be discovered. Screening fees is: $150.00
When on the online registration please on the “Dashboard”

Education is key! Because we are an affiliate of the Education Theatre Association (EDTA), it is our goal to keep the
efforts of ongoing theatre education a central part of the screening process. Adjudicators will use an evaluation form that
has been adapted from the EDTA International Festival production screening form. This form is very detailed and provides
ample feedback to director, cast, and crew. And will be returned to the Troupe Director at the end of the selection
process.

Festival Events
Individual Events
Commonly called IE's, these events give theatre students from around the state opportunities to perform in solo, duet, or
group dramatic or musical scenes. Technical IE's allow tech students the opportunity to show what they know and
display the work they've done. The website has more information about securing performance rights; things to consider
when choosing, preparing, and performing the IE; and the rubrics for performance and technical IEs.

DEADLINES
Individual Events must be registered by October 10, 2014.
SPECIFIC TITLE OF PIECE

Title of piece(s) to be presented at conference must be on entry form and must be the piece(s) screened by the sponsor
prior to the deadline. The adjudicators will disqualify any act which is not the specific piece listed on their judging sheets
and does not meet the performance standards.
ENTRY FEE
There is a $5.00 entry fee for each IE entry and $20.00 for each GE entry (group events) in addition to registration. No
personal checks will be accepted.
RULES FOR EACH EVENT
Please read the AIA/AZ Thespian Handbook for each event that you have entered.
The information in the Handbook is specific to that category. NOT ADHERING TO ALL RULES WILL RESULT IN
DISQUALIFICATION. Arizona Rules are based on International Rules for IE Events.
INTRODUCTION OF PIECE(S)
Each act must be introduced (time begins after the introduction). The introduction must include the student’s name,
troupe number, title of selection(s), and the name of the playwright, composer, or lyricist.
TECHNICAL PROVISIONS
The IE rooms do not allow any special lighting (only the basic "on/off" General lighting). A CD player and chairs will be
available for your use. Participants using a CD must operate the player (or provide operator). Tapes must be already
cued. It is best that each participant bring their own player that they have tried and they know their CD will play in.
ARRIVAL AND PERFORMANCE TIME
An IE Act must arrive 15 minutes prior to appointed performance time.
CRITIC’S CHOICE/ARIZONA THESPIANS IE SHOWCASE Those acts selected from the Superiors by the adjudicators, as
"Critic’s Choice" will perform in the IE Showcase during the closing ceremonies on Saturday.
All acts in the IE Showcase must attend the dress/tech rehearsal on Saturday.
DRESS FOR IE’s
Students in performing IE’s must wear all black according to the AIA/AZ Thespian Handbook. Students in the IE Tech
events MUST be in best dress. T-shirts, jeans, cut-off, shorts are NOT best dress.
All State Tech Crew
This crew will be responsible for setting up exhibitors, getting the convention center ready for the Festival and helping the
mainstage schools with set up, assisting in Tech Challenge, various house manager tasks, and strike. They will also assist
with general sessions, the keynote speaker, and the IE showcase and award ceremony. We are looking for hard workers.
1. You have to be able to attend a mandatory meeting November 1, 2014 at Desert Ridge High School
2. You must be able to make the mandatory 7:00am call time on Friday Nov. 21st at the Phoenix Convention Center
South Ballroom.
3. You must register for Festival with your troupe, but you will miss a few Session opportunities. (We will try to get you
into some of them)
4. You have to have a strong technical theatre background.
5. You have to be able to take direction easily.
6. You must be willing to work with others, especially if they aren't from your school.
A Resume and a Troupe Director Recommendation letter must be submitted.

PlayWorks
Playworks is an opportunity for budding playwrights to work on an original script with a director, a
dramaturg and actors. The end result will be a staged reading on Saturday. Playwrights will be involved in the process of
casting and rehearsals, and may make revisions to their scripts as necessary. 3 scripts will be chosen for a staged
reading.

PLAYWRIGHTS: Interested playwrights should submit ONE typed, double-spaced copy of your script, no longer than six
pages in length. DO NOT submit your script by fax. Please MAIL it to the address below or email to Chris Hamby. It
should have no more than four (4) characters and should call for no special technical requirements. The script should not
have more than one setting; i.e. it should be one scene only. If your play is selected for participation, you will be notified
before the Festival about re-writes, and you should be prepared to attend a meeting during session 3, where you will
meet with your director and dramaturge and have a chance for rewrites. If selected you MUST bring a copy of your play
on a flash drive in a Word format.
ACTORS: Auditions for actors will be on Friday during the Session 4. Actors who are cast should be prepared to commit
to the Playworks event during all Session times on Saturday; therefore, it is suggested that students who have already
attended Festival at least once before would benefit the most from this event, although it is open to all Festival
attendees.
DEADLINE: All scripts should be postmarked by October 10, 2014. Please attach the form to the top of your

Tech Challenge
Calling all Technicians and Skills USA members!
This is the event for you. Tech Challenge is a team competition, made up of four people. The participant will be shown all
of the tech challenges before timing begins. The areas are: cabling and focusing a light, props change over, costume
quick change, and tying knots. Trophies will be awarded for individual and teams!

Lighting Hang and focus:
o The Source-4 is to be hung properly, and then focused within a shape on the wall. Your team will be
judged on hanging the light properly and the speed of the hang.
Props change over:
o A set of props will be placed on the “stage table” and need to be replaced by the props on the props
table “offstage.” All items must be placed properly and within the prop placement map.
Costume quick change:
o The object of this station is to help an actor do a quick change into a special costume, then back again.
Your team will be judged on how fast you are able to change the actor, change them back again, and
how fast you complete this job.
Knot Tying:
o The object of this station is to be able to tie both knots described on the knots page as fast as possible.

Freestyle
Back by popular demand! Freestyle Theatre is a performance venue that is open to anyone and anything. You can still
present one-acts, but we want to see so much more—stand-up comedians, magicians, dance routines, cabaret. Freestyle
is about performers sharing their talents with an audience, without worrying too much about categories or limitations.
Performance times may run up to ten minutes.
The Freestyle theatre is open to any member troupe or individual. Each performance slot has ten minutes to set &
perform and five minutes to strike
Scholarship Auditions
Scholarship auditions are held at the Arizona Thespian Festival each year. Seniors may audition for
representatives from colleges from many states in the nation, and may also be considered for two of the three Arizona
Thespian Scholarships given each year. The third scholarship is given out based on an essay submitted to the judges with
the school's registration packet.
The scholarships are awarded to students who demonstrate work and involvement within their Thespian Troupes as well
as talent and leadership. Students audition for these scholarships at the same time they are auditioning for colleges. 5
The Arizona Thespian Scholarship committee is composed of guest artists, college representatives, international
officers and guests, or out-of-state Thespian sponsors. Colleges and universities may post callback lists for students they
would like to interview more thoroughly. After auditions, a small number of students will be called back for Thespian
scholarship interviews by a select committee. From these interviews, auditions, and Troupe Involvement resumes, they
determine the Arizona Thespian Scholarship recipients using the following criteria provided in the Audition Resume:
Talent/Portfolio: 30%, Resume: 20%, Thespian/Troupe Involvement: 20%, Grades (GPA, SAT, ACT) 20%, Personal
Interview 10%

Audition Criteria
To audition, a student must:
• be an inducted Thespian active in his/her school's Thespian troupe.
• plan to attend a college or university beginning in the fall of 2015.
• plan to major or minor in theatre or a related area.
• Apply and pay the $30 audition fee through getaccepted.com. Arizona Thespians will not accept payment for
scholarships any longer.
• complete all areas of the audition forms and submit them by announced deadlines
• follow the established audition guidelines
• be registered and in attendance at the conference with his/her registered troupe
Note: A student may audition in technical and acting/ singing. That student will pay one $60.00 fee.
All Scholarship Audition forms must be post marked by October 10, 2014.
Each sponsor and student auditioning must attend an audition Session (see website for dates).

Theatre for Life Scholarship
This scholarship is not intended for a Theatre Major, but rather a student who will incorporate theatre arts in future jobs
or community service positions. The applicant must enroll in college to receive the award money. Only one applicant per
active Thespian troupe may apply.
The following criteria will be used to judge applications, strong sense of responsibility, dynamic school/community service,
clear career aspirations, and must be an active Thespian Troupe member
Applicant must have the Recommendation Application completed by the Troupe Director explaining the applicant’s depth
of involvement in the school’s Thespian troupe and his/her altruistic sense of service. Please be aware that you may not
compete for performance/technical scholarships if you are submitting for this scholarship. This scholarship is only offered
to a non-theatre major/minor.
Applicant must attach a TYPED essay to the back of the Recommendation Application answering the following prompt:
“In 500 words or less, explain how you plan to employ Theatre Arts in your future to the benefit of the
community.”

ONE ACT PLAY PRESENTATION AT 2014 AZ THESPIAN FESTIVAL
DIRECTORS: Please READ these directions carefully and completely.
After the registration date a schedule will be posted online. Please check the website for details regularly.
The following are about logistics and schedule info.

Space may be limited - First online registered, first served.
A one-act play has a one hour block of time. The Staging is in a workshop room style, with no hidden crossover, and
very basic lighting set-up. You must provide a light board operator and your own sound system; ALL FURNITURE
AND/OR SET PIECES MUST BE ABLE TO FIT THROUGH A STANDARD DOOR. All furniture/set pieces and props
can be stored in a provided room until it is time for your load-in.
The performance must be at least 20 minutes long. You must also register for this event online as well as submit an
application. The online registration doesn’t allow for length of time of the one act plays so we may have to go back and
reorganize the schedule to accommodate all the plays. We apologize for the inconvenience.
The schedule will be set e-mailed to the sponsor prior to the festival. Please adhere to this schedule - just as a common
courtesy to the shows before and after you, and to maintain our tight one-act play schedule. If there is a conflict between
any actor or techie in your one-act performance, and they are performing in an I.E. event, contact Steve Abaroa, I.E.
coordinator, sabaroa@yahoo.com. The same is true for any senior in the college audition session on Fri. If there is a
conflict here e-mail Becky Bell at becky.bell@dvusd.org , auditions coordinator, ASAP.
CANCELLATION POLICY: If you cancel your one-act AFTER NOV. 1st you will not be allowed to
bring a one-act to the 2015 Festival. Contact Steve Abaroa IMMEDIATELY if you need to cancel by
this date, or have any questions.

Workshops
During the annual conference, students have the opportunity to participate in dynamic and exciting workshops led by
theatre professionals in all areas of the theatre arts, including many types of dancing, movement, vocal, accents, the
audition process, improvisation, makeup, costuming, stage management, set design and construction, lighting and sound,
team building, and theatre games, just to name a few.
The Session schedule will be posted on the website as soon as possible before conference so that you and your troupe
members can plan their conference Session experience in advance.

Teachers need to contact me at gai.jones@sbcglobal.net prior to Nov. 14 to indicate that they want to register at
the conference. Teachers must pay with a check onsite at the conference.
Units from CA State University, East Bay
(no out of state tuition)
The units for the THEA classes are considered upper division units. The units are not "graduate" level. Courses
numbered 7000-7799 are usually applicable toward educational credits at CSUEB, State clear credential, salary
increments and some state supplementary authorizations. The Theater courses that Gai Jones teaches
award units of “academic credit”, as opposed to CEUs, which are non-academic units and referred to
as “Continuing Education Units”. CSU East Bay strongly advise students to check with your individual
districts, as this decision will be up to the districts, and not CSUEB’s decision.

Thespians supports this organization through troupe donations and a silent auction.

Safety and Security Guidelines
Thespians remain subject to the rules and guidelines of their respective schools while at the conference.
The troupe director and the troupe’s chaperones are responsible for their Thespians at all times.
NOTE: Security will be headquartered at the Phoenix Convention Center.
ALCOHOL/DRUGS: Students who consume or are under the influence of alcohol or illegal drugs at any
time during the conference will be returned home on the first violation. School principals will be notified
of any instances of drug or alcohol use.
SMOKING & TOBACCO PRODUCTS: Smoking and the use of any tobacco product are not allowed by
anyone at anytime during the conference. Students are prohibited from smoking during the entire time
they are at the conference—including at their hotels.
WEAPONS: The state laws concerning weapons on school properties will be strictly enforced. Students
with weapons of any kind—including toy weapons—will be given over to law enforcement officials.
CELL PHONES: Students will be allowed to have cell phones in their possession during conference hours
but MUST turn them OFF during all performances, workshops, and conference events. Violation of this
rule will result in the confiscation of said devices, which will be returned only to troupe directors nightly.
In the event of an emergency, parents will need to contact troupe directors or supervising adults from
their school.
BADGES: Identification badges must be worn above the waist at all times. People seen without badges
should be reported to security personnel immediately. Badges must remain visible and not obscured at all
times during the conference. The identification information on badges must not be covered by any
material. No stickers should be affixed to badges. No items that might cover the ID information may be
placed inside the badge window.
Under no circumstances should students switch badges with each other.
ATTENDANCE AT CONFERENCE EVENTS: Thespians are expected to attend all conference events.
Thespians should make every effort to attend workshops/performances at each opportunity and should
never find themselves locked out of a show due to tardiness. If a Session is full, Thespians should find
another event to attend.
HOTEL GUIDELINES:
• Mixed groups may not visit behind closed doors.
• All students are required to be in their assigned rooms by 12:30 AM.
• Students should travel in pairs or groups. Do not go out alone at any hotel.

• Students must be respectful of other hotel guests at all times by remaining quiet in their rooms and in
the hallways.
• Students may not accept deliveries at any time.
• Students may not have visitors who are not conference attendees.
• Students may not visit any occupied college dorm rooms.
• Students should keep their hotel room doors locked at all times.
• Conference attendees are responsible for any damage done to their hotel rooms.
• There will be no swimming in any hotel swimming pool. Hot tubs will not be used.
ARIZONA THESPIAN DRESS CODE:
• Students will wear appropriate, safe shoes.
• Bare midriffs, bare backs, see-through blouses, blouses with excessively low neck lines, halter tops and
halter
dresses, and tank tops are not permitted. Shirts must be buttoned.
• Hats and caps will not be worn in theaters/performance spaces.
• Clothing displaying obscene language, alcohol/drug promoting language or pictures, profanity, and
promiscuity
is not allowed.
• Chains or other objects that may be considered a safety hazard will not be worn.
• Thespians should consider that some clothing items send messages of threat and intimidation (black
trench
coats, paramilitary garb). These should not be worn at festival.
• Shoes with excessively high heels, wheels, or excessively thick soles and extremely baggy pants that
drag the
ground are unsafe. Further, students who wear these types of clothing items cannot effectively
participate in
most workshops. These items should not be worn.
• Festival attendees should remember that they are attending an official school event and are, therefore,
under
the dress guidelines of their respective schools.
• The Chapter Director reserves the right to modify and/or amend dress code regulations at any time
with or
without notice and to implement appropriate action to address any violations as deemed necessary.
PROHIBITED MATERIALS / ITEMS:
• Festival attendees are not allowed to possess fireworks, candles, incense, water pistols, toy guns, balls,
Frisbees, or other dangerous and distracting materials at the conference.
SAFETY:
Festival attendees will not place themselves or others in deliberately dangerous situations.
OFF-LIMITS AREAS:
Students should stay within the Convention Center facilities unless given permission from their Troupe
Director or chaperone.
DISTRIBUTION OF MATERIALS: Students are not allowed to distribute profane, obscene, or
threatening materials to fellow conference attendees. This would include obscene photos or drawings,
vulgar language, drug paraphernalia, material relating to weaponry and violence, gang related materials,
etc.
The City of Phoenix prohibits and fines citizens for Jaywalking. Please use crosswalks in the
downtown area.

THEATRE ETIQUETTE:
• Beverages, food, and chewing gum are not allowed inside theaters or lobby areas.
• Festival attendees must not run or push others in lobby or theater areas.
• When entering a theater, conference attendees should take their seats as quickly as possible and not
crowd the aisles or rows.
• Appropriate theater etiquette is expected of all conference attendees—Thespians, Troupe directors, and
chaperones. Inappropriate etiquette includes feet on seats, disruptive noise making, and distracting
conversation. Thespians should act like theatergoers, not sports enthusiasts.
• No one should step over seats to get to another row.
• Festival attendees should never leave a theater during a performance—except in emergency situations.
Those who do leave a theater during a performance will not be allowed to re-enter.
• Hats must not be worn in the theatres.
• Electronic devices must be set on OFF when in the theaters. Watches should be silenced.
• Cell phone must not be used in a theatre at any time.
• There should be no photography of any kind inside a theater - at any time.
• Persons who are nauseated or ill should not enter a theater.
SESSIONETIQUETTE:
Students and adults attending workshops are to be respectful and courteous to Session presenters at all
times. Those attending workshops are expected to be highly participatory and attentive. Session
conference attendees should never leave a Session before it has ended. If the Session presenter agrees,
students and adults may enter a Session late. All cell phones must be turned to OFF during workshops.
ILLNESS: Troupe Directors and chaperones are responsible for ill students. Students who get ill at
festival should be sent home. Paramedics will be called for ill students at the student’s expense and those
needing further attention will be sent to nearby hospitals at the student’s expense.
In case of EMERGENCY: DO NOT CALL 911 Seek first a Convention Center
Security employee or Arizona State Board/Alumni member. We will then
authorize a 911 Call.
VISITORS: Only registered festival attendees and festival workers are allowed to attend festival events.
Any parent or guest visiting the festival must check in at the registration command center.
NOTICE: The Arizona Thespian Chapter Director and Chapter Board reserve the right to amend and/or
institute at any time any necessary rules or regulations that may or may not be stipulated here in
providing for the safety and general welfare of the festival attendees.
VIOLATIONS OF RULES AND GUIDELINES
Any festival attendee who violates a rule or guideline will receive a written citation from the Arizona
Thespian State Board. A copy of this citation will be forwarded to his/her Troupe director and school
principal. Appropriate consequences will be discussed at the following State Board meeting and the
Troupe director and Student may be asked to attend to defend their citation. Possible actions may vary
based on the offense.
Troupe directors or chaperones are asked to take the badge of any student or adult who they witness
committing a rules violation. The badge should be turned in to security personnel immediately at the
registration command center. Festival attendees whose badges are taken must report immediately to the
command center. All festival attendees are expected to surrender their badges without question when
asked to do by a State Board/Alumni member, Troupe Director or chaperone.

The Chapter Director may send students home for violations deemed serious. Troupe directors will be
responsible for supervising these students, for securing transportation for these students, or for
contacting their parents to come and get them. Parents or guardians will be financially responsible for
any costs incurred by a student who is sent home.
All attendees will sign the Agreement Form indicating agreement with these guidelines.
