Monthly Activity Report (MAR)
Instructions for Completing the Report
Reporting Requirements
The Monthly Activity Report (MAR) is required from all Battering Intervention and Prevention
(BIP) accredited service providers, as is stated in Guideline 31 of the Accreditation Guidelines.
Accredited BIP service providers who fail to submit Monthly Activity Reports will not be in
compliance with BIPP Accreditation Guidelines.
The Texas Department of Criminal Justice-Community Justice Assistance Division (TDCJCJAD) and the Texas Council on Family Violence (TCFV), are required by §42.141, Code of
Criminal Procedure, to perform program evaluations and other research activities. In addition,
TCFV is required to prepare an annual report that is submitted to TDCJ-CJAD and the
legislature. The MAR provides data that will assist TDCJ-CJAD and TCFV in performing their
program evaluation, research, and annual report responsibilities.
BIP accredited service providers will submit their MARs to TDCJ-CJAD by the 10th of the
month following the reporting period. For example, the September MAR is due October 10th.
How to Submit the MAR to CJAD
When you have completed the MAR form, please email the completed MAR to Eduardo Montiel
at eduardo.montiel@tdcj.state.tx.us. All MARs are due to TDCJ-CJAD by the 10th of the month
following the reporting period.

TCFV is not involved in the collection of MAR data and cannot answer questions regarding the
MAR.

Instructions for the Monthly Activity Report
Formulas are loaded into the Total column. All totals will be calculated automatically. Formulas
are locked and protected so you cannot inadvertently change or delete them.
Participants who were referred by a pretrial services program, including pretrial diversion, need
to be reported under the Pretrial column.
Participants who were referred by judges, law enforcement, protective orders, CPS,
self/voluntarily, or any other source that is not probation, parole, or pretrial need to be reported
under the Other column.
Referrals
Total number of referrals during the month: Indicate the number of probationers, parolees,
pretrial participants, and other participants who were referred to the program during the month.
Once all numbers have been entered, the Total column should reflect the total number of referrals
to your program during the reporting month. If the number in the Total column is incorrect,
review the numbers entered in the Probation, Parole, Pretrial, and Other columns and make any
necessary changes.
Participant Caseload
Beginning Caseload: Indicate the number of probationers, parolees, pretrial participants, and
other participants who were in the program at the beginning of the month. The total will be
calculated automatically.
For example, the number of probationers on the participant caseload on September 1st would be
given under the Probationers column. The number of parolees on the participant caseload on
September 1st would be given under the Parolees column. The number of pretrial participants on
the participant caseload on September 1st would be given under the Pretrial column. Any
participant who was not referred by probation, parole, or a pretrial program would be included in
the Others column.
Total Number of Participants Added to Caseload (New & Readmitted): Indicate the number
of probationers, parolees, pretrial participants, and other participants who were placed in the
program during the month. The total will be calculated automatically. This count should only
include those participants who were placed in the program. Do not include intakes that were
evaluated as inappropriate and did not enter the program. This number also includes participants
who had been in the program previously and were readmitted into the program during the month
with or without a new intake.

Exits due to: Indicate the number of probationers, parolees, pretrial participants, and other
participants who exited the program, by each exit type, during the month. The total will be
calculated automatically.
1) Completion of program: Indicate the number of probationers, parolees, pretrial
participants, and other participants who exited the program after satisfactorily completing
orientation, intake/assessment, attended the required number of sessions, paid fees in full,
and complied with program requirements.
2) Failed to complete requirements: Indicate the number of probationers, parolees,
pretrial participants, and other participants who exited the program prior to completing all
program requirements.
For example, when a participant fails to complete the required number of group sessions,
a participant fails to pay all their program fees or a participant fails to complete an exit
session.
3) Terminated from program: Indicate the number of probationers, parolees, pretrial
participants, and other participants who were terminated from the program.
For example, a participant who was terminated from the program because of excessive
absences or a participant who was not permitted to continue participating in the program
because they were disruptive during group sessions
4) Death: Indicate the number of probationers, parolees, pretrial participants, and other
participants who passed away during the reporting month.
5) Moved: Indicate the number of probationers, parolees, pretrial participants, and other
participants who stopped attending your program, because they moved out of your service
area.
6) Program length exceeds supervision length: Indicate the number of probationers,
parolees, pretrial participants, and other participants who stopped participating in the
program because they were no longer under the jurisdiction of the referral source.
For example, a parolee begins the program, but stops attending after a month because
they have been discharged from parole and the Texas Board of Pardons and Parole no
longer has jurisdiction over them.
7) Other: Indicate the number of probationers, parolees, pretrial participants, and other
participants who exited the program for a reason that does not fit the definition of any of
the other categories above. This category should only be used as a last option.
Total Number of Exits: This line will be automatically calculated by formulas that have been
pre-loaded. No numbers need to be given on this line. The total will be calculated automatically.
The calculation should match your records. If the numbers do not match, please check the
numbers you submitted and/or your records for errors and make any necessary corrections.

Total Number Served: This line represents the number of participants served during the
reporting month. This line will be automatically calculated by formulas that have been preloaded. No numbers need to be given on this line. The calculation should match your records. If
the numbers do not match, please check the numbers you submitted and/or your records for
errors and make any necessary corrections. The Total Number Served is calculated by adding the
Number of Participants Added to Caseload (New & Readmitted) for each referral type to the
Beginning Caseload number for each referral type.
Remaining Caseload: This line represents the number of participants in the program on the last
day of the month. This line will be calculated automatically using formulas that have been preloaded into the line. No numbers need to be given on this line. The calculation should match
your records. If the numbers do not match, please check the numbers you submitted and/or your
records for errors and make any necessary corrections. This is done by taking the Total Number
Served and subtracting the Total Number of Exits for each referral type.
Breakdown of New Participants Admitted with Intake (Only include new participants in
this section)
Please indicate the number of participants, by referral type, whose ages at the time of referral are
17-21, 22-25, 26-29, 30-39, 40-49, and 50+. The total will be calculated automatically.
Also, indicate the number of participants, by referral source categories, who are AfricanAmerican, Caucasian, and Hispanic. If the racial/ethnic categories above do not apply to a
participant, or more than one category is applicable to a participant, please count the participant
in the Other category. The total will be calculated automatically. Please do not change the
formulas loaded in the Total column.
Intervention Sessions
This can refer to any general form of group or individual intervention session that is offered.
1) Total number of participant hours spent in intake sessions: Indicate the total number
of hours all participants (new and readmitted) spent in intake sessions during the month.
This includes the total number of hours spent on appropriate (participants who were
admitted into the program) and inappropriate (participants who were not admitted into the
program) intakes.

2) Total number of participant hours spent in orientation sessions: Indicate the total
number of hours all participants spent in orientation sessions during the month.

3) Total number of participant hours spent in group sessions: Indicate the total number of
hours all participants spent in group counseling during the month.

4) Total number of participant hours spent in individual sessions: Indicate the total
number of hours all participants spent in individual counseling during the month.
For example, an exit session that was conducted with the individual offender rather than
with the entire group

Victim Contacts
This section refers to communications with the victim, which may include letters, phone calls, or
meetings in person.
1) Total number of victims contacted: Indicate the total number of victims contacted
whose batterer was a program participant. Each victim should only be counted once as
individual victims are being counted here.
2) Total number of contacts made: Indicate the total number of contacts made with
victims whose batterer was a program participant. Contacts are being counted here (mail,
phone, etc.). This number should only include successfully made contacts, not attempts.
Mailing a letter would be considered a successful contact unless the letter is returned.
Phone calls are considered successful contacts when the victim is spoken to. Leaving a
phone message is not a successful contact.
For example, if you mailed a letter to a victim and then spoke to her on the phone, that
would be 2 contacts. You would count the victim once under total number of victims
contacted and would count both contacts under Total number of contacts made.
Training for Criminal Justice System
Number of Trainings: indicate the total number of trainings performed during the month.
Hours of Training Presented: indicate the total number of hours spent training during the
month.
Persons Receiving Training: indicate the total number of people from each listed entity
who attended training during the month. The Total column will be calculated
automatically.

Other Community Education/Training
For each non-criminal justice entity who received training during the month, please list the
organization’s name, the number of participants who attended the training, and the number of
hours of training presented to each organization.
