We are happy you have chosen to live on-campus next year. This booklet contains all the information you need to reserve a room for the 2016-2017 academic year. Just like last year, all on-campus housing (Apartments, Greiner Hall & Residence Halls) for current/returning UB students will be self-selected through the online Room Selection Process. Along with this booklet, you have received a Housing Reservation Number which will be used to determine your Housing Selection Window. Students who wish to select a room with roommates will use the lowest Housing Reservation Number of the group to determine which Housing Selection Window they should use to reserve housing for the group. Since apartments and group spaces are limited, we strongly encourage students to have multiple room & roommate options prior to your housing selection window. Koziej Sr. Associate Director Campus Living 3 Fall 2016 Housing Selection Timeline January 14th Begin accepting Housing Deposits for all on-campus housing This deposit is a pre-payment toward your fall housing charges. It guarantees you the opportunity to select fall 2016 on-campus housing. Students in eligible locations will also be able to renew their current space when making a deposit. February 5th Housing Deposit Deadline for all on-campus housing All students who submit a deposit by this date will be able to select the type of on-campus housing for which they are eligible. RESIDENCE HALLS: All students are eligible for our residence halls. APARTMENTS: Students who have graduated from high school (or equivalent) in 2014 or earlier are eligible for on-campus apartments. GREINER HALL: Only students who graduated from high school (or equivalent) in June 2015 are eligible for Greiner Hall. FLICKINGER COURT/CREEKSIDE VILLAGE: Students who graduated from high school (or equivalent) in June 2012 or earlier are also eligible for graduate/non-traditional housing at Flickinger Court and Creekside Village apartments. February 22 – March 3 Housing Selection (Online) February 22: 9am - 12pm Apartment selection - 1 Bedroom & Studios Available rooms are located in South Lake & Flint non-Law area 2pm – 5pm Apartment selection – Flickinger Court & Creekside Village Rooms are available for Graduate and non-traditional students (those interested in family housing/whole units must contact Amy Wlosinski at ald5@buffalo.edu or 716-645-2171) February 23: 9am - 8pm Apartment General Room Selection - Day 1 Remaining rooms in South Lake, Hadley & Flint non-Law area will be available. On Day 1, students will be required to fill the whole unit (individuals, groups of 2, 3 or 4). February 24: 9am - 12pm Apartment General Room Selection – Day 2 Remaining rooms in South Lake, Hadley & Flint non-Law area will be available. On Day 2, students may select individual spaces and are NOT required to fill all spaces in a unit February 25: 9am - 5pm Greiner Hall – Day 1 Greiner Hall Selection (Groups of 4 only) February 26: 9am - 2pm Greiner Hall – Day 2 Greiner Hall Selection (any combination of groups or individuals) February 29: 9am - 5pm Residence Hall Single Rooms Select singles in ELLICOTT are available during this time March 2: 9am - 6pm Residence Hall General Room Selection – Day 1 All available Residence Hall Spaces March 3: 9am - 6pm Residence Hall General Room Selection – Day 2 All available Residence Hall Spaces . 4 Housing Reservation Number Your Housing Reservation Number is what allows you to participate in Room Reservation. It determines what day/time you can select your room. The lower your Housing Reservation number, the earlier you can select a space. Reservation numbers are e-mailed to your "buffalo.edu" address during the week of February 15th. Please refer to the Reservation/Selection Windows within each process to see your timeslot. Your Housing Reservation Number was generated using the following method: Residency in UB Residence Halls and/or Apartments for one semester is equal to a value of 1. (The current spring semester is included, but summers are not counted.) For example: Two semesters of residency = value of 2 Three semesters of residency = value of 3 Students with higher totals will have the lowest (best) Housing Reservation Numbers. Reserving a room with friends: Groups of students who wish to room together must select their rooms at the same time. Housing Reservation Numbers are not averaged. Instead, the student with the lowest Housing Reservation Number will select a room and pull in requested roommates. Reservation Window Your Reservation Window is the timeframe where you will be able to log into http://housing.buffalo.edu/renew and select your Apartment or Room for next year. Your Reservation Window will tell you at what is the earliest time that you may begin to select your housing. You may select your housing any time AFTER your Reservation Window begins, until the end of the entire Selection process (March 3rd at 6pm). Housing Charges Residence Hall Agreements are for 2 terms (fall and spring). Housing charges are billed directly to student accounts twice a year (once in fall, and once in spring). The $300 housing deposit that you submitted will be applied to the balance of your residence hall charges. There are two types of Apartment Agreements: Academic Year Agreements that run from 8/20/16-5/22/17 and Full Year Agreements that run from 8/20/16-7/31/17. Apartment residents whose current contract ends on 7/31/16 that renew their same unit may begin their new Agreement on 8/1/16. All housing charges, regardless of Agreement length, are billed directly to student accounts twice a year (half in fall and half in spring). The $300 housing deposit is collected as part of the new application or renewal process. This deposit is an advanced payment and is applied to the fall balance of your housing charges. 5 Cancellation Policy If your plans change for next year and you no longer need on-campus housing, you may cancel your Housing Agreement without penalty until May 1, 2016. After May 1, 2016, only students who are no longer attending UB may cancel their housing agreement. Students who are registered for fall 2016 cannot cancel their on-campus Housing Agreement after May 1. Assignment Change Requests It is strongly encouraged that you prepare at least four (4) different room choices and room types in the event that your first choice is not available. Even if you are not happy with the available rooms, you should still pick a room and then submit an Assignment Change Form. We will begin to process room changes immediately after the Room Selection process and continue throughout the summer. Each year we process several hundred returning student assignment change requests prior to the start of the fall semester, in both the Residence Halls and the Apartments. We understand that you may not initially get the apartment or residence hall space that you prefer. Please keep in mind that you can change your assignment from a res hall to an apartment or an apartment to a res hall via this process. Gender Inclusive Housing Gender Inclusive housing is an inclusive environment where students can live in the same room with any other student regardless of sex, gender, gender identity/expression, or sexual orientation. Gender inclusive housing serves students who identify as transgender and transsexual, those students who are trying to discover their gender/sexual identity, lesbian, gay and bisexual students, and any individual who would feel more comfortable living with someone based on lifestyle compatibility rather than gender. Gender Inclusive Housing is not a part of the online Housing Selection process. If you are interested in being assigned to Gender Inclusive Housing, you must submit a request on-line using the information sent to you in your Housing Reservation Number email (sent during the week of February 15th). The deadlines to submit an application is February 18th: Applicants assigned to Gender Inclusive spaces will be notified before the selection process starts on February 22nd. Students assigned to Gender Inclusive Housing will not be eligible to go through any other housing selection process. Step 4 - Welcome Page At the Welcome page, click on Self Assignment. Then click on 1 Bedroom and Studio Apartment Selection. The drop-down menus allow you to narrow your search by selecting a specific complex and/or Room Type. From the Building menu, click on the down arrow to choose your preferred apartment complex (Flint Village or South Lake Village.). From the Room Type menu, choose the type of room you want. If you want to see all available rooms, select “No pref” from the dropdown menu. Click on Continue to see the list of available units. If multiple pages are available, click on “Next” or “Last” links to navigate pages. Once you find a room, click on Go in the “Lock it?” column to select that room. Step 8 - Lock Room Page Notice the Time Remaining clock. You may lock (hold) a room for 5 minutes. Check the I Want box to select your space. Then click on Continue. Step 9 - Confirm Page Carefully review the apartment selection you have made, as this will be your only opportunity to go back and choose a different room. If you do not want the unit you have chosen, click Cancel. If you are satisfied with the room you have chosen, click on Continue. Step 10 - Receipt Page Print the Receipt page and keep it for your records. To review your apartment information, hit the 'Back to Main' button and select the 'Room Assignments' link. You may then log out of the system. If you would like to review your information after logging out, sign back into the system (follow steps 1-3). At the welcome page, choose the 'Room Assignments' link. Click on Log Out to complete the process. Step 11 You will receive an e-mail confirmation at your “buffalo.edu” account shortly after you complete the room selection process. We recommend you print this e-mail and keep it for your records. An announcement will also be posted on the Campus Living website (housing.buffalo.edu). 8 Flickinger Court and Creekside Apartment Selection Monday, February 22 2pm - 5pm FLICKINGER AND CREEKSIDE APARTMENT SELECTION INFORMATION: This is the process in which Flickinger and Creekside apartment spaces are available to graduate and professional students –those that graduated high school 2012 or earlier. Students may select any available space, with or without roommate(s). HOUSING SELECTION INFORMATION: If you plan to live with a friend(s) who is also participating in the Creekside and Flickinger Selection, you can go through the process at the same time by having the person with the lowest housing reservation number log-in and complete the process for the group. In order to complete the process as a group, the person who logs-in must have the Login ID and Password for all intended roommates. All participants must have already submitted a $300 Housing Deposit. All group members must be eligible. It is strongly encouraged that you prepare at least four (4) different unit choices in the event that your first choice is not available. If the roommate(s) you selected is not eligible, you will see “Invalid” in the Status column. Delete the login and password to remove the error message. Click on Continue, Add Roommates Step 9 –Arrange Bed space Page Click the drop-down menu to select space in the room for your chosen roommate(s). Click the Check box to add roommate(s). Your chosen roommates will not be pulled-in unless this box is checked. Click on Yes, We want this room. Step 10 - Confirm Page Carefully review the unit and/or roommate(s) selection you have made, as this will be your only opportunity to go back and change your selections. On February 23, all available spaces in an apartment must be filled in order to for the unit to be selected. For example, if three spaces in a four bedroom apartment are open, only a group of three will be able to select the unit. A single person would need to looks for a unit with only 1 vacancy and a group of two would need to look for a unit with only two vacancies. On February 24, students may select any remaining individual spaces. For example, if three spaces in a four bedroom apartment are still open, an individual student will be allowed to select one of the available spaces. Likewise, a group of 2 students may select 2 of the remaining spaces or a group of 3 students will still be allowed to select all 3 remaining spaces. If all spaces were selected during day one, this process will be cancelled and we will put up a notification on the selection website. If you want to see all available rooms, select “No pref” from the dropdown menu. From the Room Type menu, choose the type of room you want. If you want to see all available rooms, select “No pref” from the dropdown menu. IMPORTANT: From the Gender menu, choose “U” only if you want to secure an entire unit (you and 3 friends want a 4 bedroom unit, or you and 1 friend want a 2 bedroom unit, or if you want a 1 bedroom unit or studio unit. For all other spaces, choose “M” or “F” (this is if you are looking for spaces where another person is already in the apartment, and you and your friends want to fill the remainder of the apartment). Click on Continue to see the list of available units. If multiple pages are available, click on “Next” or “Last” links to navigate pages. On this page, you MUST view the Available Spaces. On February 23, you MUST fill the whole apartment, therefore you can only pick an apartment with the same number of people in your group (i.e. – if, including yourself, you are a group of 3 – look for 3 available spaces). On February 24, you may pick any available space. Once you find a room, click on Go in the “Lock it?” column to select that room. Step 8 - Lock Room Page Notice the Time Remaining clock. Students can select full units (groups of 4) on Day 1 of Greiner Hall Selections. On Day 2, students can select individual bed spaces or as a group, whatever spaces allows. All available spaces will be selected during this process. All students must be Greiner Hall eligible to go through the process. If you plan to live with a friend(s) who is also participating in Greiner Hall Selection, you can go through the process at the same time by having the person with the lowest reservation number log-in and complete the process for the group. Day 1 will be only for groups of 4. Day two will be for groups of 4, 3, 2, or individual bed spaces. In order to complete the process as a group, the person who logs-in must have the Login ID and Password for all intended roommates. All participants must have already completed a Residence Hall Agreement and submitted a $300 Housing Deposit. All participants must have already completed a Residence Hall Agreement and submitted a $300 Housing Deposit. If you would like to live with a new incoming student, you must submit both a 'Roommate Pull-in Request' form (located under the Room Reservation Forms tab) and submit them to the Housing Operations Office, 106 Red Jacket Quad by February 12th. If the new student has completed the housing application you would then select a room during room selection for yourself and the new student.
