SCHEDULING PROCEDURES 1. Schedule opponents at our competitive level when possible. 2. The priority in planning the schedule should be: a. Conference opponents b. Contractual obligations c. Major opponents d. Rivals e. Combining more than one contest on overnight road trips f. Balance of home and away contests 3. Avoid scheduling home competitions in more than one sport in the same day when possible. Multiple same-day events stretch both personnel and facility resources to the limit. 4. Contests cannot be scheduled during finals week without the prior approval of the Athletics Committee. 5. Observe Athletics Committee guidelines concerning missed school days. The present policy states that students may miss no more than 10 days of class per semester. The entire policy can be viewed in The Guide to Rules Compliance. 6. Try to schedule a balance of home and away games. Every attempt should be made to enter into agreements with opponents for “home and away” contests in multiple years. If such an agreement is made, make sure this is reflected on the game contract. 7. Stay within the NCAA minimum and maximum allowable contests. 8. ALL SCHEDULING IS TO BE DONE WITHIN BUDGET. 9. Once the schedule is finalized, it must be submitted to the Compliance Coordinator and Athletics Committee for approval. Submit the schedule to the Compliance Coordinator on the “IUPUI Schedule Approval Form.” Schedules must be submitted to the Compliance Coordinator by the following dates: Fall schedules – July 15 Spring schedules – November 15 The Compliance Coordinator will review the schedule for NCAA minimum/maximum requirements and missed class time. After reviewing and approving the schedule, the Compliance Coordinator will submit the schedule to the Director of Athletics. The schedule will be reviewed by the Athletics Business Manager and the Director of Athletics (or designee) for missed class time, cost and transportation. After reviewing and approving the schedule, the Director of Athletics will submit the schedule to the chair of the Athletics Committee. 10. Once the schedule has been approved by the Athletics Committee it is considered final. Any and all revisions to a final schedule must be submitted to the Director of Athletics via the Schedule Change Form. Changes to a final schedule cannot be communicated in any other manner. 11. Coaches should not distribute copies of schedules to anyone outside the athletics department. Once the schedule is approved by the Athletics Committee, the official schedule is distributed by the Sports Information Office. Coaches should not distribute any other versions or copies of the schedule to anyone. 12. The following should occur once a tentative agreement for a home contest has been reached with an opponent and the entire schedule has been approved by the Athletics Committee: a. Submit the tentative schedule and a “Request for Game Contract” form for each home event to the Assistant Director of Athletics with all the pertinent information including date and time, number of complimentary tickets, assignment of officials, return date (if applicable), and any other information which needs to be included in the game contract. b. The Assistant Director of Athletics will prepare a game contract for each home event. The head coach will review the contract prior to mailing. c. All arrangements are tentative until the contract has been signed. Game times may be changed by the administration subject to the visiting institution’s approval. 13. The following should occur once a tentative agreement for an away contest has been reached with an opponent and the entire schedule has been approved by the Athletics Committee: a. The home institution will issue the contract. b. Once received, the head coach will review the contract for accuracy. If all information is correct, the head coach will initial the contract and forward it to the Assistant Director of Athletics. c. The Assistant Director of Athletics or the Director of Athletics will sign the contract and return it to the institution.
