POWER POINT/HANDOUT INFORMATION
ALL POWER POINT PRESENTATIONS MUST BE DEVELOPED USING THE TEMPLATE PROVIDED BY
CAHSAH. All speakers are required to follow this guideline. No other format will be accepted. If you
did not receive a template, please contact Richard Starks immediately at rstarks@cahsah.org or (916)
641-5795 ext. 117.
ALL POWER POINTS/HANDOUTS WILL BE POSTED ON-LINE. Power Points and or Handouts must be
submitted in an electronic (word, excel, or PowerPoint) format to Richard Starks using the template
provided – no other formats will be accepted. If you will be co-presenting with someone else, please
compile your handouts electronically and send them together at the same time. All Power Points and or
handout materials must be sent to Richard Starks via email to rstarks@cahsah.org no later than March
12, 2012. Faxed or hard copy material will not be accepted. We will be placing Power Points and or
handout materials online for registered attendees to download and bring with them to the conference. If
Power Points and or handout materials are not received by March 12, 2012, speaker will be responsible
for the reproduction and shipping cost of printed Power Points and or handouts. You will be solely
responsible for providing any materials to the participants that have not been submitted to CAHSAH by
the deadline date. You understand that CAHSAH will not be able to produce any handout copies on-site
during the conference or as follow-up after the conference. If you are unable to meet the specified
deadline date, please call in advance and make other arrangements with Richard Starks. To confirm your
consent to have your Power Points and or handouts available on-line for attendees to print out prior to the
conference, please sign and return the enclosed Permission to Record and Reproduce form by February
24, 2012.
Speaker(s) must refrain from selling any materials or products or otherwise engaging in any promotional
activity within the context of the lectures or sessions at which he/she is presenting. Speaker agrees that
the content of this program will be completely educational and will not be a selling session for the
speaker’s services, company organization or merchandise and will not place any logos on handouts.
For all Power Points and or handout materials we require uniformity:
 USE CAHSAH Conference power point template for presentation
 Use PC formats – Macintosh formats are not accepted
 Minimum font size and font to use is 28pt Times New Roman or Verdana font for
Power Point documents.
 If using PowerPoint (and sending in PDF format), handouts should be set to be printed
3 slides with notes per page
 Please limit your use of animation
 Do not number the pages of your handouts
It is very useful for attendees to have an outline of your presentation and copies of your slides or
overheads in advance so they can download from the CAHSAH website. This allows them to take
notes that expand on your information rather than try to copy it all down. We also recommend that your
handouts include a reference/resource page to help attendees locate the materials you refer to in your
presentation, or where to look for more information on your topic. Whatever material you display, please
have this also included in your electronic handout material.
Copyrighted Materials
CAHSAH speakers are solely responsible for the content of their oral, visual and written presentations. If
you will be using any copyrighted materials, you must obtain permission to use and reproduce these
materials. Copyrighted materials often include, but are not limited to: articles, books, newspapers,
manuscripts, micro-fiche, and research data. Please use the Permission to Reproduce Copyrighted
Materials form and send it to the copyright holder immediately. Send CAHSAH a photocopy of the form

Tips for Effective Power Point Presentations
1. Use the CAHSAH provided template. It is fine to vary the content presentation (i.e. bulleted
list, 2-column text, text & image), but be consistent with other elements such as font, and
colors.
2. Simplify and limit the number of words on each screen. Use key phrases and include only
essential information.
3. Limit punctuation and avoid putting words in all capital letters. Empty space on the slide will
enhance readability.
4. Use contrasting colors for text and background. Dark text on a light background is best.
Patterned backgrounds can reduce readability of text.
5. Avoid the use of flashy transitions such as text fly-ins. These features may seem impressive
at first, but are distracting and get old quickly.
6. Overuse of special effects such as animation and sounds may make your presentation
"cutesy" and could negatively impact your credibility.
7. Use good quality images that reinforce and complement your message. Ensure that your
images maintain their impact and resolution when projected on a larger screen.
8. If you use builds, have content appear on the screen in a consistent, simple manner; from the
top or left is best. Only "build" screens when necessary to make your point because they can
slow your presentation.
9. Limit the number of slides. Presenters who constantly "flip" to the next slide are likely to lose
their audience. A good rule of thumb is one slide per minute.
10. Learn to navigate your presentation in a non-linear fashion. PowerPoint allows the presenter
to jump ahead or back without having to page through all the interim slides.
11. Know how to and practice moving forward AND backward within your presentation.
Audiences often ask to see the previous screen again.
12. If possible, view your slides on the screen you'll be using for your presentation. Make sure
they are readable from the back row seats. Text and graphics should be large enough to
read, but not so large as to appear "loud."
13. Have a Plan B in the event of technical difficulties. Remember that transparencies and
handouts will not show animation or other special effects.
14. Practice with someone who has never seen your presentation. Ask them for honest feedback
about colors, content, and any effects or graphics you've included.
15. Do not read from your slides. The content of your slides is for the audience, not for the
presenter.
16. Do not speak to your slides. Many presenters face the direction of their presentation rather
than their audience.
17. Do not apologize for anything in your presentation. If you believe something will be hard to
read or understand, don't use it.
