Minutes Southeast Raleigh High School Band Boosters Meeting Tuesday, November 3, 2009 Welcome Meeting was called to order by President Vernon Ratliff at 6:10pm. Approximately 49 adult booster members were in attendance. Last meeting’s minutes were approved with no changes as posted on the band website. Treasurer’s Report Pat Clanton presented the treasurer’s report. Hard copy is attached to these minutes in the secretary’s notebook. I. Old Business Fundraiser Reports Band Bash – Penny Morrow thanked everyone for their hard work for Band Bash VII despite the less than ideal conditions. Only five bands attended – two cancelled due to the weather forecast. Penny recommended that the Board of Directors, next year’s Band Bash chairs and Mr. Scott consider making some changes to Band Bash in order to make it the profitable fundraiser that it needs to be. These changes could include changing the date, expanding to a dual competition, etc. All ideas need to be considered as the band is very dependent on Band Bash funds for uniform and instrument purchases. Pat Clanton presented the very preliminary financial report for Bash VII. More expenses are still being turned in. Too early for “bottom line” reports. Pat’s report is included with these minutes in the secretary’s notebook. Zap A Snack – Velina Baker reported that all is over with this fundraiser. All funds are in and all prizes have been distributed. Fruit Sales – Vernon Ratliff reported that sales kicked off September 22. Collections seem to be slow. Get out and sell. II. Committee Reports Staff One – Malik Sullivan reported that slots are still available for the Duke and state games. Fair Share Accounts – Christine Gunter reported that at this time all Fair share accounts have been updated. Past due accounts = $31,000 and includes past years’ accounts Uniforms – Christine Gunter reported that the new parent shirts are in. Marching season is winding down after playoffs and parades. Concert season is beginning. Men are required to wear tuxes and ladies are to wear “Contessa” dresses. Christine will fit new students only unless an upperclassmen request a fitting. The State Fair Flea Market and the formal wear outlet in Hillsborough are good sources for men’s wear. Contessa dresses are $70 new. A few are available on consignment for $35. Hospitality – Linda Hewitt reported there is still a need for bottled Gatorade and snacks to carry the band through parade season. Lee Hernan encouraged the membership to thank Linda Brown and Linda Hewitt for all they did to take care of our students during band camp and the competition season. RBC – Kim Campbell and Stephanie Coleman discussed the importance of wearing the appropriate uniform – black pants (no jeans), blue parent shirt and band hat. They reported that short staffing has been a problem. If you must cancel , you must let Kim or Stephanie know well in advance. You should also try to get your own replacement and let Kim and Stephanie know who that is ASAP. Events are being added. Eight members are needed per event. Pit Crew – John Hernan thanked all for their work during the competition season. He reminded all that help is still needed for parade season. III. New Business Nominating Committee – The 2009 nominating committee will be Chair Sandra Harrison, Velina Baker and Penny Morrow. Sandra reported that the candidate form will be sent to the everybody list soon. Members may nominate others for the positions of President, Vice-President, Treasurer and Secretary. Members may also self nominate. The Nominating Committee will present their recommended slate of officers at the December meeting. The election will take place at the December meeting. Positions for the Executive Committee are for a one year term and are seated at the January meeting. The existing board opens the January meeting and then turns the meeting over to the new board. Discussion included Board of Directors term ( existing Board serves to the end of school in May and new Board should be in place for the June meeting). Voting rights of Student Band President ( Student President votes with Executive Committee if need and is a member of the Board of Directors)-note- students have not participated in recent years. Discussion of having them participate if the issue calls for it as they are already over involved. Standard meeting time for Board f Directors (question was put forth as to when the BoD meets. The BoDconsists of the Executive Board and all committee chairs. Vernon stated that the Board has had irregular meetings this Fall due to email, etc.) Raffle Tickets – Margie Caughlan reported that Boosters have 2 donated Carolina Hurricanes tickets for a choice of 2 games. The band boosters will raffle two tickets for a Hurricane home game at the RBC Center for 1 or 2 dollars. One dollar if we can have two nights for raffling and two dollars if we only have one night. The Boosters plan is to have a one dollar night on our first play-off football game, Friday November 13 and a second night on Monday November 16 at a basketball game. Mr. Scott will need to get approval for the basketball game first. If approval is not granted, we will have one two dollar night at the football game. This is all subject to change pending approval by AD. Sports Cups Fundraiser – James Clanton kicked off the Sports Cups fundraiser, Braxx Ltd. Set of 4 cups = $12 with $4.00 going to band and of that $3.50 to students’ Fair Share account. Fundraiser will run through November. Delivery will be mid- December. Christmas Party – Vernon reported that the Board of Directors’ had voted not to include the annual adult only Booster Christmas party in the budget this year. It is felt that a party is expected and supports the Boosters. Reservations have been made for Dec 11 at the Heather Hills Club House. Holiday Committee will consist of Tim Morgan (chair), Linda Brown, Allison Shackelford, Lee and John Hernan. This committee will report regarding requests from the membership for help with this event. IV. Mr. Scott’s Comments 2009 Field Show – Mr. Scott thanked all involved with this year’s marching season. The People’s Choice Award at the Union Pines competition was very special – “the people have spoken”. Security – added security a SRHS due to recent break-ins – mostly computer related. Spring Trip – St. Patrick’s Parade in Savannah, GA then to Tampa, FLA Approximate price $500. Still in negotiations. Parades – Raleigh – Nov 21 Garner/Knightdale – Dec 5 Wake Forest – Dec 12 Winter Concert – December 13 Comments – Concert/ Symphonic chair auditions now Jazz beginning rehearsals All District Band Auditions upcoming Thanks for all the support during Marching Season V. Closing Business Trip Deposit – Fair Share accounts must be current and in good standing before funds will be applied to trip expenses. Future commitments to RBC,etc will be considered. 2008 Taxes –finalized. Meeting adjourned at 7:50pm. Next meeting December 1 at 6pm.
