TOPIC: Timekeeping for Changes in VCU’s Work Schedule Due to Inclement Weather
To Timekeepers:
The following is information to help you process timekeeping for the change in VCU’s operating status due to
inclement weather. Please continue to check the VCU Alert web page at http://alert.vcu.edu/ for any updates to
VCU’s operating status.



VCU will close at 4 p.m. on Monday, Feb. 16, and remain closed through Tuesday, Feb. 17.
The VCU Medical Center and its clinics remain open and will continue to operate on a regular schedule.
VCU Dental Clinics will close at 4 p.m. on Monday, Feb. 16
For non-designated employees...
 Record Office Closing (OFC) leave for non-designated employees who do not work during the authorized
closing that starts at 4 p.m. on Monday, Feb. 16, until VCU resumes normal operating status.
 NOTE the following correction inserted from the follow-up Instant HR of February 19, 2015:
o Non-exempt non-designated employees will be paid for all hours worked during the authorized closing but
do not accrue Inclement Weather Leave (ILA) for hours worked during the authorized closing.
o Exempt non-designated employees should not accrue Inclement Weather Leave (ILA) for hours worked
during the authorized closing.
 Non-designated employees who had previously requested and were approved for time off during the
authorized closing should not have their own leave charged starting at the time of the authorized closing
at 4 p.m. on Monday, Feb. 16, until VCU resumes normal operating status.
For designated employees...
 Charge accrued leave or leave without pay for designated employees who do not report to work as
scheduled.
 Record Inclement Weather Leave (ILA) for the hours that designated employees work after the 4 p.m.
authorized closing on Monday, Feb. 16, until VCU resumes normal operating status.
 Designated employees who had previously requested and were approved for time off during the authorized
closing should not have their own leave charged starting at the time of the authorized closing at 4 p.m. on
Monday, Feb. 16, until VCU resumes normal operating status.
Please note...
 Hourly employees are paid only for hours actually worked.
 Nine-month faculty do not accrue Inclement Weather Leave (ILA) for the closing.
