The Exchange 2003 email system in use now is obsolete and is hosted on older less-reliable equipment.
Exchange 2010 will allow us immediately to increase storage quota and expand even more later. Exchange
2010 is hosted on more servers, each more powerful and more reliable, which should improve performance
and reliability.
How long will my email be inaccessible while my mail is migrated? Will it also be inaccessible
on my handheld devices?
While we migrate your email, calendar, notes, and contacts, your mailbox will be totally inaccessible – from
your desktop, home, and devices. Depending on the amount of information you have stored in your mailbox,
the migration usually takes a few hours. In extreme cases, it can take a whole day. Contacts stored locally on
your phone or handheld devices will still be accessible.
Will my email and other info be brought over to Exchange 2010 intact?
YES! All of your email, folders, contacts, tasks, calendar entries get migrated 100%. Your email password and
ID will stay the same.
Do I have to do anything once the migration is done?
YES! You will have to enter your credentials differently in Outlook and Outlook Web Access (OWA).
Your handheld devices and phones may have to be adjusted (see reverse side). ITS staff are ready to work with
you to make those changes, but this document also explains how to make them yourself, if you prefer to do it on
your own. Make sure to print this document out NOW because once you’ve been migrated you may not be
able to get to your email to print it then.
What should I discuss with ITS before scheduling my email migration?
If you have given anyone else delegated email contacts, or calendar access to your account, OR if you have
access to someone else’s email, contacts, or calendar, let us know ASAP. ITS must migrate you all together.

How to Access Exchange 2010 After Migration
If you use Outlook web access:
OWA for Exchange 2010 is accessed at a new URL: https://mail.brooklyn.cuny.edu
If you use the MS Office Outlook client:
1. When you login, you must add the following before your username: brooklyncollege\
For example, if your user name is jdoe, enter it as: brooklyncollege\jdoe
Note that later versions of Outlook default to just your user name, which will not work.
Click on the “Use Another Account” icon and enter your new full username with the correct prefix.
2. Go to http://infotech.brooklyn.cuny.edu/netgroup/hostfile.vbs to update your host file.
If you access email from a handheld device or smartphone:
In your Settings, change the server name to mail.brooklyn.cuny.edu Note that in most devices there are
separate settings for email and calendar access, and both will need to be changed. If making this change
does not relink your access, try:
• Restarting your device
• Removing the email account and entering it again from scratch

If you are access email using a MAC:
Although many staff and faculty still use Entourage as an email client on campus or at home, it has been
replaced by MS Office/MAC, and is not natively supported as an Exchange 2010 client. There is a bridge
version called Entourage EWS, but the recommended client is the Outlook client within MS Office 2011/MAC.
ITS strongly recommends switching to MS Office 2011/MAC if your MAC computer is new enough to support it.
MS Office 2011/MAC is free to all faculty and staff for use on campus or at home, and ITS can supply the
software upon request for home use. Entourage support is being phased out at BC.
If you are using Entourage version13 or older at BC or at home, please contact ITS Network Support for guidance.
How to set up a new device or create a brand new outlook installation on a PC/MAC
Instructions are available online and ITS Network Support Staff are available to assist you on campus, and guide
