TO THE EXAM PROCTORS
PLEASE READ THIS BEFORE YOU GO INTO THE EXAM HALL
The Morning Session comprises the Listening and Reading Comprehension parts of the exam.
Go to your staffroom no later than 9:15 to collect your exam packs and flash discs.
DO NOT OPEN THE EXAM PACK BEFORE ENTERING THE EXAM HALL.
Please check that your CD player and flash disc are working properly before going to your exam hall.
CONTENTS OF THE FLASH DISC
Track 1: Introduction: This track has been included to make sure all test takers can hear the recorded material
clearly. (The exam recording starts from Track 2).
Track 2: Statements
Track 3: Dialogues
Track 4: Mini-Talks
Track 5: Interview
Track 6: Lecture
(Tracks 7 & 8 : Note-Taking – To be played during the Afternoon Session. The Floor Monitors will collect the
flash discs after the doors are opened so that the discs can be sorted for use in the afternoon.)
IN A NUT SHELL…
You will, first, distribute the question booklets, then, make the test takers listen to the recording,
lastly, when the listening finishes, give out the answer sheets.

Please, follow the checklist one by one and put a tick next to the item you are over with.
CHECKLIST
1. Go to your exam hall at 9:30. Take the test takers into the exam hall one by one according to
the list order and have them sit accordingly. If there is anyone whose name is not on the list or
who does not have an official ID with a photo, refer him/her to the floor monitor.
2. Do not allow any bags or electronic devices into the exam halls. If test takers come in with
bags or any electronic devices, make sure you take them and put them in a place you find
appropriate in that particular exam hall. If you see a test taker using any such device, inform
the floor monitor.
3. Open the exam pack and have the booklets ready for distribution. (Don't distribute the
answer sheets yet, but MAKE SURE YOU SEPARATE THE INDIVIDUAL ANSWER SHEETS
BEFORE THE EXAM STARTS.)
4. Have the CD player ready (It works on electric power supply). In case of a power cut,
disconnect the end of the cable plugged into the player, or else the batteries will not function.
5. Close the door of the exam hall.
6. Play Track 1. Once this track is over, PRESS THE PAUSE BUTTON and ask if there are any test
takers who cannot hear the recording well.
In the event that a test taker makes such a claim, try the following and make sure you
indicate what you have done in the exam report:
a. Move the CD player to a more appropriate place.
b. Transfer the test taker to another seat or spot in the exam room.
c. If the exam hall setting is not physically suitable for such solutions, or if after all these,
the test taker(s) still seem(s) dissatisfied, tell them that THERE IS NOTHING ELSE YOU
CAN DO AND THEY HAVE TO TAKE THE EXAM UNDER THESE CONDITIONS.
SCRIPT : “This is to make sure that you all hear the recording clearly. If you have any problems hearing this
recording, inform the proctor after you hear the “beep” sound. You are about to take Session 1 Part A of the
English Proficiency Exam prepared and administered by the School of Foreign Languages. This part of the exam
consists of 5 sections: Section I: Statements, Section II: Dialogues, Section III: Mini Talks, Section IV: Interview
and Section V: Lecture “beep”. So, do you have any problems hearing the recording?”
7. Distribute the booklets. (For faulty booklets, contact your floor monitor.)
8. Read out the following instructions for the listening section.
INSTRUCTIONS FOR THE LISTENING SECTION
a. The Morning Session of the exam consists of 2 parts, Listening and Reading, and a total of 60
multiple choice questions.
b. You will do the Listening Part first. No break will be given between the 2 parts.
c. There are 19 pages and 60 questions in the booklet. Check if there are any missing pages or
questions.
d. If there are any missing pages, ask your instructor to give you another booklet. Check the new one
as well. No exchanges will be made after the exam starts. If you realize that there is a missing
page after the exam starts, you will not be given a new copy of the booklet.
e. The instructions for the listening comprehension section are on the recording. Follow those
instructions carefully.
f. Mark your answers in the question booklet during the Listening Part. You will be given time to
transfer your answers to the answer sheet which will be provided by the proctor after the
recording ends.
g. Now follow the instructions on the question booklet carefully; rewrite in ink the statement given
in quotation marks on the lines provided and write your name and put your signature underneath.
PART A: LISTENING COMPREHENSION
(WHEN THE BELL RINGS) AT 10:00
9. Start playing Track 2 and play the recording until the end of the final instruction (end of
Track 6 / Approx. 46 mins.)

When you hear the final instruction, stop the CD player.
11.
Distribute the answer sheets.
12.
Read out loud the following instructions for transferring answers to the Answer Sheet.
INSTRUCTIONS FOR TRANSFERRING ANSWERS TO THE ANSWER SHEET
a. Check whether the information on the answer sheet is correct and darken the marked circles
under the student ID number in pencil without going outside the borderlines.
b. Now, do 3 things on your answer sheet:
1. In the BOOKLET CODE section, fill out the circle A or B according to your question booklet
type.
2. In the TEST TYPE section, fill out the number 1.
3. In the booklet SERIAL NUMBER section, write the serial number which is in the box at the
top of your question booklet.
c. You have 5 minutes to transfer your answers.
d. While transferring your answers, make sure that you do not skip any numbers. Mark your answers
on the answer sheet in soft pencil. If you change an answer, erase the wrong answer completely.
Any question with more than one answer will be counted wrong.
e. Wrong answers will not have any effect on the number of right answers in this exam.
f. When you have completed transferring your answers, wait until the proctor reads out the
instructions for the reading comprehension part of the exam before continuing.
13. Allot 5 minutes for the test takers to transfer their answers to the answer sheet.
14. Go around writing each test taker’s question booklet type (A or B) and serial number on the
class list attached to the envelope and make sure the candidate has marked the booklet type
(A or B) on the answer sheet correctly.
15. When the 5 minutes are up, open the door. If the floor monitor refers to you any latecomers,
admit them into the exam hall. Make sure you write the names of those test takers on the
exam report. No test takers will be allowed into the exam hall afterwards.
IMPORTANT: Warn the latecomers that if they fill out answers for questions 1-30, their exam will be
cancelled.
PART B: READING COMPREHENSION (60 mins.)
16. DO NOT LET THE TEST TAKERS READ ANY OF THE QUESTIONS UNTIL YOU ANNOUNCE THAT
THE EXAM HAS STARTED.
17. Read out loud the following instructions for the reading section.
INSTRUCTIONS FOR THE READING SECTION
a. You are about to take the Reading Comprehension Section of the exam.
b. Mark all the answers on the answer sheet and not on the question booklet. You will not be
given extra time to transfer answers.
c. While answering each question, make sure that you do not skip any numbers. If you change
an answer, erase the wrong answer completely. Any question with two answers will be
counted wrong.
d. Wrong answers will not have any effect on the number of right answers in this exam.
e. You have 60 minutes to answer the questions. The time given will not be extended.
f. You will not be allowed to leave the exam hall during the last 15 minutes of the exam.
g. After you finish the exam, give your question booklet and answer sheet to the proctor. No
one will be allowed to leave until the proctor has collected all the booklets. If a test taker fails
to return his or her booklet or returns it with a page missing, his or her exam score will be
cancelled.
h. Stay in your seats until the proctor has finished counting the question booklets and answer
sheets.

Please be reminded that the Afternoon Session of the Exam will start at 2 p.m. You are
expected to be here at 1:30 p.m.

The Reading Comprehension questions start on page 10 of the Question Booklet and are
numbered from 31 to 60.
k. Do not read any questions in the Question Booklet until you are told to do so.
18. START THE EXAM (Test-takers have 60 mins. starting from now)
19. Write the starting and ending times on the board. Do not let any test takers leave the exam
hall during the last 15 minutes of the exam.
20. When the time is up, collect and count the question booklets and the answer sheets.
21. After the test-takers leave the exam hall, mark the number 1 in the test type section and the
letter A in the booklet code section and darken the marked circles under the student ID
numbers on the answer sheets of test takers who have not taken the exam.
22. Put the answer sheets in order according to your class list. Then put both question booklets
in order according to the serial number, A and B copies separately.
23. Return your exam packs to the Testing Office.

TO THE BUILDING MONITORS (DBE)
1.
Please be on duty in your building at 9:10 to direct the test takers.
2.
The floor monitors will inform the administration (Hale Bingöl: 3996 or Naz Dino:2162)
immediately if there is a test taker who does not have an official ID card or whose name does not
appear on the list.
3.
It has been announced to the test takers that no electronic devices (digital watches, cellular
phones, cameras, recorders, MP3 players, etc.) and no bags (handbags, backpacks, etc.) will be
allowed into the exam halls. Still, if you spot any test takers who have these with them, tell them to
leave them out of the building (with a friend, in their cars, etc.). If that is not possible, remind them
to hand these over to their proctors before the exam starts.
4.
There will be CD players available at the ground Floor Staffrooms of each building in case a floor
monitor asks you for a new one.
5.
If there are any test takers who arrive in the building after the exam starts, please tell them that
they cannot take the Listening Comprehension section. However, if they ask to take the Reading
Comprehension section of the exam, tell them to be present in the building at 11:00, in time for the
Reading Comprehension section. Test takers who arrive later than 11:00 will NOT be allowed to
take the exam.
6.
The Reading Comprehension section starts at around 11:15. 20 minutes after this section has
started, go to the floor monitors and collect the Flash discs/CDs, the envelopes with the extra
material and the name lists used for distributing the exam packs. Bring them to the testing office
and return to your building.
7.
Make sure that NO test takers in your building are allowed to leave during the last 15 minutes of
the exam. Remind the floor monitors of this rule if necessary.
8.
It is your responsibility to ensure that the exam runs smoothly in your building. Do not leave your
building unattended until the exam is finished. Make sure you are within easy reach and keep in
constant contact with the floor monitors of your building. In the event of an emergency or a need
for replacement of a proctor, please inform the administration.
9.
After the exam, go to the Testing Office and sign out.

Go to your floor and make sure all the proctors on your floor are present in the staffroom.
Distribute the flash discs/CDs and exam packs in the staffroom by having the proctors sign
the ‘received’ columns on the name list. Remind the proctors to open the packs in the
presence of the test takers. The test takers will be responsible for checking their question
booklets for any faulty or missing pages. In case of an emergency call the administration
(Hale Bingöl: 3996 or Naz Dino: 2162).
If a proctor brings you a faulty question booklet, exchange it with a spare copy with the same
letter (A or B). Make sure that you write the numbers of the exchanged booklets correctly on
the sheet provided. Also remind the proctor to write these numbers on his / her class envelope
and the proficiency exam report. (Please do not open your pack unless necessary.)
Send any test taker who does not have an official ID card or whose name does not appear on
the list to the administration (Hale Bingöl: 3996 or Naz Dino: 2162).
The exam starts when the bell rings. This session of the exam takes around 120 minutes.
If the Building Monitor refers to you any latecomers, please tell them that they will have to
wait outside the exam hall until the door is opened when the Reading Comprehension section
of the exam starts.
Collect the Flash discs/CDs from the proctors (by having them sign the ‘flash discs returned’
column on the name list) when the doors are opened for the Reading Comprehension section
of the exam.
The Flash discs/CDs and the envelopes with the spare material given to you will be collected
from you 20 minutes after the Reading Comprehension section has started.
Make sure that NO test takers on your floor are allowed to leave during the last 15 minutes of
the exam.
Please visit the exam halls on your floor and remind the proctors to darken in pencil the
marked circles under the student ID number, to mark the number 1 in the test type section
and the letter A in the booklet code section on the answer sheets of test takers who have not
taken the exam, and to complete their exam report.
It is your responsibility to ensure that the exam runs smoothly on your floor. Do not leave
your floor unattended until the exam is finished. Make sure you are within easy reach. In the
event that an emergency occurs or you need to replace a proctor, inform the building monitor.

that can be used to copy, share or transfer information is strictly forbidden. (This has already

they see a test taker using them. If a proctor informs you of any such violation, do the
following:
a) If the test taker is actually using such devices to copy, share or transfer information, tell
the proctor to get the test taker to leave the room quietly and refer him to you. Tell the test
taker that this will be reported in the exam report and send him out. (Make sure you sign the
exam report filled in by the proctor). In the event of a likely quarrel, refer the test taker to the
administration (Hale Bingöl: 3996 or Naz Dino:2162).
b) If, despite all the announcements and warnings made, the test taker is reported to have
such a device but is not actually using it, ask the proctor to take this device but let the test
taker continue. Remind the proctor to report the case in the exam report. Make sure you sign
the report as well.
After the exam, go to the Testing Office and sign out.

f. Make sure you carefully follow the instructions for each section of the exam.
g. You will not be allowed to leave the exam hall during the last 15 minutes of the exam.
h. After you finish the exam, give the question booklets and the note-taking sheet to the proctor. No
one will be allowed to leave until the proctor has collected all the booklets. If a test taker fails to
return his or her booklet or returns it with a page missing, his or her exam score will be cancelled.
i. Stay in your seats until the proctor has finished counting the booklets.
j. The exam results will be announced on Tuesday, September 29th as of 16:00 at the SFL Web
address on the board.

13. Hand out the Question Booklets. In the event that there is a faulty booklet, contact your floor

batteries will not function. Next, select the
relevant track (7 or 8), and depending on
where the CD player stopped, replay the
whole track or forward (by keeping the
forward button pressed) to the relevant part.
