Communication plan for the Facebook Page for the Department of Human Geography and the
Human Ecology Division
Background Information
Department of Human Geography and Human Ecology Division have around 45 employees and 1,200 students.
The department offers one international programme at the Bachelor's level and three international Master’s
programmes. Official information from the Department is published on the Department's home page, and information from third parties (e.g. announcement of internship placements, useful links etc.) is communicated
via the student portal Live@Lund. Study advisor for the international Bachelor’s programme gets assistance
from student representatives when it comes to spreading information from Live@Lund to various Facebook
student groups because "everyone is already on Facebook and students use Live@Lund just for course activities
and not to get extra information”. Facebook is a popular social medium that offers free services for publishing
information and for marketing of various types of organisations and private actors. Six departments at the Faculty of Social Sciences are using Facebook Pages nowadays in order to promote their activities. Well-developed
department's Facebook Page can contribute to raising interest for the Department's educational programmes.
Purpose and Goal
Marketing channel to reach out to students, researchers and other interested parties and spread information
about the Department’s activities, increasing the Department's visibility and strengthening the networking with
other actors.
Target Audience
Current and prospective students, alumni, staff, interested public, researchers from other universities and departments, as well as experts from related fields.
Responsibility and Terms of Service
The Department is responsible for the information that is published on the Facebook Page and for the submitted comments. Web editor is responsible for deleting of inappropriate content. The Head of Department is responsible for deciding whether and when the Facebook Page should be deleted.

Web editor keeps track of any updates to these terms and conditions.
Allocation of time and resources
The Department needs at least one person who coordinates the Facebook Page every day, and one substitute.
Administration of Facebook Page takes around 2-5% of full-time, depending on how much other employees
contribute. The content should be updated on a daily basis.
Requirements for functionality, technology, information, and security
The Department's Facebook page is updated continuously. All employees should contribute with relevant texts,
images and other types of content. The publisher of the content on the Facebook Page must use security
measures to prevent hacking. The publisher of the content should present information in a personalized way,
but without revealing any private data.
If comments would contain defamatory information, sedition, incitement to racial hatred, child pornography,
illegal depictions of violence or copyright infringement, or infringement of other rights, they should be archived
and deleted from public view. On the Facebook Page there should be clear information on the Department's
description, the purpose of using the medium, and contact information for Facebook Page administrator.
Main language of the Department’s Facebook Page is English so that larger audience can access the content.
Employees and their private Facebook accounts
If employees want to interact with the Department's Facebook Page through their private Facebook accounts, it
is recommended that they divide their private and work/public information flows on Facebook.
Guidelines

All inquiries that need official response as well as those that concern individual cases should not be handled via
Facebook, and must be referred to other communication channels (email, first and foremost, telephone and
individual visits, as the alternative). General inquiries that do not require any official response can be handled
via Facebook. The Department must not publish content that may be perceived as official public authority’s
recommendation or explanation.
Direct questions to the Department should be handled within 24 hours of working days. Name and position
should be stated clearly so that the recipient knows where the information comes from. If an answer can be
linked to relevant information on LU's website, such a link should be provided. If comments are removed, the
Department is obligated to archive them before deletion.

“Lund University” should be used in the Facebook Page title. Lund University's visual identity should be followed. It should be clear who the publisher of the content is. Images may be used only if the persons in the photographs you take are aware that the images will be posted on Facebook.
Archive and Registration
All posts in social media are archived and stored in Department’s shared folders (after the publication). Information of value is registered and archived.
