UNIVERSITY OF YORK STUDENTS’ UNION JOB DESCRIPTION Part-Time Marketing Assistant (1) BACKGROUND INFORMATION The University of York Students’ Union (YUSU) is a democratic organisation representing the interests of all the students at the University. It is run by student elected officers working with a permanent staff team to provide numerous services including representation, development opportunities, entertainments and welfare support. It funds many societies and clubs, together with York Sport, Student Action projects, RAG and the Junior Common Room Committees (JCRCs). YUSU promotes, encourages and co-ordinates a sense of community amongst students both on and off campus as a means of enriching the student experience and helping students develop all their abilities, skills, talents, personalities, interests and potential whist at University. We also support a series of active and award winning student media groups. (2) OVERALL PURPOSE OF THE JOB Working within the Marketing team, the post-holder will assist in the implementation of the communication strategy of YUSU. The post-holder will build new relationships with University communication teams, University Conference Office, External Suppliers and Venues and act as a link for all areas of marketing and advertising. YUSU runs a number of events ranging from commercial entertainment through to democratic and charitable functions which require marketing support. (3) LINE MANAGEMENT Your immediate Line Manager is the Marketing and Events Manager. (4) REGULAR LIAISON WITH Communicating with all YUSU departments such as Membership Services, Finance and Bar Management, University communication teams, University Conference Office, External Suppliers and Venues, Sabbatical and part-time Officers, student representatives, individual volunteer and projects reps. (5) TRAINING YUSU recognises its staff as a valuable resource and aims to provide training and development for Union staff as far as possible. You will be required to attend any training sessions deemed necessary for you to carry out your particular duties. 1 (6) TASKS (7) General administration support, providing information and responding to emails and telephone calls. Working with the YUSU finance team to ensure up to date and accurate files are kept on all internal and external contacts. Actively seeking advertising and promotional contracts. Developing and maintaining new and existing external client relationships. Leading a team of casual staff whilst organising specific campaigns. Providing support prior to and during major events. Managing and maintaining the distribution of advertising including digital and hard copies. Monitoring the advertising on campus to ensure the University and Students’ Union’s policies are being adhered to. Developing and assisting with updating of the website through regular content reviews. Developing a creative and sustainable approach towards YUSU’s social media outlets. Gathering content and distributing electronic newsletters. Other duties related to Marketing and Events as requested. PERSON SPECIFICATION Skills Good organisational and planning skills. Excellent written and verbal communication skills. Good attention to detail and accuracy. Ability to work under pressure and to tight deadlines. Strong IT skills. Personal Self motivated and able to use initiative in making decisions. Works well as part of a team. Understands the importance of Club, Societies and volunteering. Knowledge GCSE’s Math and English A Level or equivalent in Media / Marketing studies Knowledge of marketing techniques Good understanding of Students’ Unions and Higher Education sector Experience Experience within a sales role. Experience of dealing with commercial organisations.
