Position: Administrative Assistant Status: Part Time, 20 hrs/week Location: Education and Employment Center The Matthews House, celebrating its 10th anniversary in serving Fort Collins and neighboring communities, is seeking a part-time Administrative Assistant for our Education and Employment Center (EEC). If you are an outgoing, positive and detail-oriented individual who is interested in working with our well-recognized and high-impact nonprofit, this could be the job for you! Responsibilities include direct administrative support to our Education and Employment Center Director and varied duties focused on receiving and responding to community inquiries, registering students for classes, and coordinating schedules with instructors and community partner organizations. Key Responsibilities: Operations and Administration: • Greet, receive, provide hospitality to and direct visitors while demonstrating excellent customer service skills • Answer phones as front-line telephone intake person while demonstrating excellent customer services skills • Complete student registrations, collecting appropriate demographic information and verification • Compute scholarship eligibility • Develop payment plans for students in need and track payments as received • Create spreadsheets and prepare presentations • Prepare, send and receive correspondence • Store, organize and manage files, both electronic and hard copy formats • Order and maintain inventory of office equipment and office supplies • Send out and receive mail and packages • Provide support in preparing class schedules, website updates, promotional materials and outreach correspondence • Assist EEC Director in performing other administrative duties as assigned, including urgent and on-demand activities Qualifications: • At least two years of experience in office administration, with strong preference for nonprofit experience • Compassion for individuals from diverse socio-economic backgrounds • Comfortable with Microsoft Word, Excel, Powerpoint and Google Mail • Demonstrated ability to perform and prioritize multiple tasks with excellent attention to detail • Expert level written and verbal communication skills • Highly resourceful team-player, with the ability to also be effective independently • Proven ability to handle confidential information with discretion • Ability to achieve high performance goals, meet deadlines and maintain sense of humor and flexibility
