INTEROFFICE MEMORANDUMS

Interoffice memorandums (memos) are written messages used by people within an organization to communicate to one another.

Memo margins . The top margin of the first page of a memo is 2” (inches). If the memo is more than one page, use the default top margin or a 1” top margin on the following pages. Use 1” margins for the left and right margins. The bottom margin should be at least 1”.

Memo headings . Memos have a heading that includes who the memo is being sent to (TO: ).

Who the memo is from (FROM: ) is listed next. The date the memo is being sent (DATE: ) and what the memo is about (SUBJECT: ) follow. All lines of the heading begin at the left margin.

The heading lines are double-spaced. Tab once or twice as needed to align the information following the heading words about 1” from the left margin.

Memo body . The paragraphs of the memo all begin at the left margin. The paragraphs are single spaced with a double space between paragraphs. Paragraph headings are optional.

When used, paragraph headings are indented from the left margin. Capitalize the first letter of the first word, underline or bold the heading, and follow the heading with a period.

Reference initials . A memo may include reference initials. Someone other than the person sending the memo may key it. The typist’s initials are keyed at the end of the memo. The initials are keyed in lowercase letters at the left margin. They are placed a double space below the last line of the body. This memo contains reference initials.

Copy notation . If a copy of a memo is being sent to someone other than the person to whom the memo is addressed, include a copy notation. Key a “c” followed by the name of the person(s) who is to receive a copy. The copy notation is keyed a double space below the last name of the body.
