This manual is an introductory document about computing at ASC. After selecting the computing option of your choice (see ASC Computing Options, page 4), you will need to configure your computer to the ASC network. Once you’ve successfully configured the software and utilities you need, you will be able to use your computer to access ASC’s extensive computing resources and the Internet from the residence halls and from off campus locations. Those of you who choose to take advantage of ASC's computer labs can skip to Chapter 4: General Use Computer Labs. This installation and user guide will lead you through installation, configuration, and troubleshooting, and provide you with information about how to get help if you need it. 3 Computing Options at ASC Option 1: Purchase a laptop and wireless network card. Take advantage of the wireless technology by purchasing a laptop and wireless network card from the bookstore. The College has taken the guesswork out of purchasing a laptop by partnering with Compaq Computer Corp. to bring you the most reliable and durable equipment available. The Compaq Armada laptops are guaranteed to work with the College’s network, including the wireless network access and come bundled with software, including Microsoft Windows and Microsoft Office. This option offers you the greatest flexibility in computing and network access. Wireless access is available throughout the campus, including residence halls, student lounges, libraries, student activities center, and most classrooms. Option 2: Bring your own computer or laptop. If you already own a computer or laptop, you may bring it to campus with you. You’ll need to purchase a wireless network card, a traditional 10 base T Ethernet card, or a modem for access to the campus network, including e-mail and the Internet. It is very important to purchase the correct network card. We recommend you purchase one from the ACES Campus Store. If you plan to connect to the campus network, your computer must meet or exceed the following minimum: Pentium II or Celeron class CPU, 64MB RAM, SVGA monitor, and 6GB hard drive. If you decide to use a modem rather than a network card, you’ll need one with at least a 28.8 baud rate. Modem network access will be limited to Internet and e-mail. Option 3: Alfred State College Lifestyle Program If you’re not ready to invest in a computer of your own, Alfred State will rent you one for a modest fee. The College has a limited number of computer lifestyle computers, which are made available on a first-come, first-served basis. You will be provided with access to all software and services on the campus network. Hardware maintenance is also included. Please specify this option when choosing a residence hall. Option 4: General Access Laboratories Alfred State maintains three proctored general access laboratories, open a wide range of hours. All software and services on the campus network are available in the general access laboratories. Alfred State College has made sure there’s a way for you to enjoy access to the campus network, including Internet, e-mail, and more. More importantly, Alfred State lets you decide how you want to be connected! 4 Getting Help For computer help, contact the ASC Help Desk. Double-click My Computer, then double-click Dial-up Networking. 2. Click Next. 7 3. If your modem has not been installed yet, this screen will appear. Click Next. Note: If you don't get this screen, skip to 7. 4. You should see something like this; the name of your modem may be different. That's fine, click Next. 5. Enter your area code in the center box. Click Next. 8 6. Your modem is set up; time to configure the connection. Click Finish. 7. Type the name of the connection in the top box. It can be anything. "Alfred State" will work just fine. Click Next. 8. Enter (607) 587-4701 as the phone number to call. Click Next. (Note: Wellsville callers will have a different number.) 9 9. Almost done. Click Finish. 10. Double-click My Computer again, then Double Click Dial-up Networking. Rightclick the Alfred State icon (or whatever you named it) and click Properties. 10 11. Click the Server Types tab. Make sure that the settings appear as they do here; the only boxes checked should be "Enable Software Compression" and "TCP/IP." Uncheck all other boxes. (Don't hit OK just yet.) 12. Click the TCP/IP Settings box; you should see a screen that looks like this. Make sure that the boxes are checked as shown; all information is serverassigned. You don't need to put any numbers or information in this section at all. Click OK. 11 13. You're finished; time to try it out. Double-click the Alfred State icon. 14. Put in your ASC username and password in the corresponding boxes. Check the Save Password box if you like. Click the Connect button and you should dial right in. If you have any trouble, call the Help Desk at 587-4357. 12 Configuring Windows 2000 a Dial In Connection Alfred: 587-4701 Wellsville:(585) 593-6993 1. Click the Start button, then Settings, then Network and Dial-up Connections. Double-click Make New Connection. 2. Click Next. 13 3. Select Dial up to the Internet. Click Next. 4. Choose Set up connection manually. Click Next. 5. Select Phone Line and Modem. Click Next. 14 6. Enter the phone number 607-587-4701 as shown here. (Note: Wellsville callers will have a different number.) Click Next. 7. Enter your ASC username and password. Click Next. 8. Enter a name for the new dial-up connection. ("Alfred State" works just fine.) Click Next. 15 9. Select No. Click Next. 10. You're finished. To try the connection, check the box as shown and click Finish. 16 11. Double-check your information and click Connect. You should dial in immediately. 12. To dial again, click Start, Settings, and Network and Dial-up Connections. Double click the new icon to dial in. To connect: Click on Start, Click on Connect to, Click on Alfred State or whatever you put in the ISP section. 23 27. Enter your username and password. If it asks for domain also insert ASC. Click Dial. 24 Frequently Asked Questions I have completed my setup, but when my computer attempts to dial the modem, nothing happens: Check and make sure the modem cable is plugged securely into a standard telephone jack. Make sure that your modem is installed properly on your system. From the taskbar click on START, SETTINGS, CONTROL PANEL, MODEMS. Click on the DIAGNOSTICS tab on top, and run the diagnostics check by clicking the MORE INFO button. The computer should return several responses from the modem port. If not, your modem may not be properly installed. Click CANCEL so that you return to the CONTROL PANEL. Select ADD NEW HARDWARE. Continue with the program to detect your modem and set it up properly. I connect to the Dial-In and log in, but for some reason I get disconnected at all different times: Check that your modem is properly installed. If the modem is set up correctly, what might be happening is that line noise or some outside problem is interfering with your connection. If you have call waiting, and incoming calls are dropping your connection, you can insert a *70 in front of the dialup number to disable call waiting during the time you are connected. Most of the time when you get disconnected, it is because the connection has gone bad due to line noise (static and crackling). This will happen during storms or high winds. If it seems to happen frequently, you can try a few things: first, check all connections and wires in your house to make sure everything is solid and nothing is loose. Second, plug a regular phone into the jack where your modem is plugged in; if you hear static and crackling all the time, the phone company may be able to determine that there is a problem with the outside wires, and may be able to fix it. If the problem doesn’t come from the outside and comes from in your home, you can purchase a line noise filter, which goes between your phone jack and the modem, to remove static noise and crackling. I’ve started either Internet Explorer or Netscape, but it will not connect to anything, or I receive a message like the server does not have a DNS entry: Make sure you have a connection to the Internet. Trying to run a web browser without first connecting to the Internet will not work. Next, return to the setup and make sure you have completed all the steps and that everything is set correctly. If all the settings are correct, you may have a problem with the TCP/IP protocol installed on your computer. Shut down all your applications and from the taskbar select START, SETTINGS, CONTROL PANEL, NETWORK. Make sure TCP/IP is NOT listed more than once as an installed network component (some AOL users may have to remove the AOL TCP/IP adapter to use ASC’s dial in). If it is, select one of them and click on REMOVE. Restart your computer, connect to ASC, and try to run one of the programs again. 25 26 Network Card Installation Your network card should come with instructions and a driver disk. Make sure that you have those handy, as well as your Windows media; the computer will ask for them at some point. Follow the instructions that are included with your network card. You'll probably be asked for the driver disks and need to reboot. For Wired Network Cards: You will need a standard Cat 5 Ethernet Cable to connect. You can purchase these cables in the bookstores if you do not have one already. After you have the network card installed and the drivers enabled, look at the back of the card - you should see a light. If the light is blinking quickly and randomly, your connection is working - that blinking is telling you that there's "traffic" there. If the light is solid, or not on at all, check your network card setup instructions again to make sure that you've done everything properly. If you make it through the entire setup procedure and there's still no blinking light and you can't connect to the network, there may be a physical problem with your network jack. Call the Help Desk for assistance; they'll request ACES Telephone company go to your room to check out the jack. For Laptops with Wireless Cards: You will not need a wire to connect to the network. Your computer connects to the network by searching for various access points throughout campus. The information is transmitted through a radio signal and will be a little faster than the traditional wired network. You will be able to access the network all over the campus. Note: These specific instructions will only work with the wireless cards sold in the bookstore and other Windows 2000/XP plug and play cards. Currently, the bookstore sells Enterasys Roam About cards. Any other brand will need to be installed with it’s own drivers and software. The wireless network name or SSID name is ASCNOWIRE. This is all caps. If you still have problems after inserting those values please come to the Help Desk for assistance. 27 Configuring your wireless card in Windows 98 1.Insert the Wireless card drivers into your cdrom drive. 2. Insert the wireless card in your laptops PCMCIA slot. 3.Click Next. 4. Make sure that search for the best driver for your device is selected. 5. Click Next. 6. Uncheck all boxes except Specify A Location. 8. Enter D:\drivers\Win98 in the location. 9. Click Next. 28 10. When it gets done installing the driver. You will get a box that pops up like this. 11.Click Edit Profile. 12. Enter ASCNOWIRE for the network name. 13. Click OK. 14. You will have to reboot your computer. That’s it! Your done. 29 Configuring your wireless card for Windows 2000 1. Insert card into PCMCIA slot. 2. The computer should find the card and install it. Note: This will only work on Windows 2000 plug and play cards. Other cards will need the drivers installed from the manufacture disk. 3. Click on Start, Settings, Network and Dial Up Connections. 30 4. Move your mouse over the Local Area Connections if you have more than one. A balloon should pop up for the wireless card. 5. Right click on the wireless card connection and click on properties. 31 6. Click on the Advanced tab. 6. Click on 2b. Wireless Network Name. 7. Enter ASCNOWIRE as the value. 8. Click OK. 32 Configuring Your Wireless Card for Windows XP Note: These instructions will only work for Windows XP plug and play cards. 1. Insert your wireless card into the PCMCIA slot. 2. Windows should pop up with a balloon on the bottom right corner of your screen that says new hardware found. 3. Click on Start. Click on Connect To. Click on Wireless Connection. 4. If ASCNOWIRE is not listed under available networks, go to step 5. Otherwise click Connect and you are all done! 5. Click on Advanced. 33 6. Click on Add. 7. Click on Network Name and enter ASCNOWIRE for the network name. 8. Click OK. 34 Configuring Windows 95/98 for Campus Access 1. Click the Start button, then Settings, then click Control Panel. A new window should appear; double-click the Network icon. 2. Another new window should appear; you should see something like this. If Client for Microsoft Networks is listed, go to 6. The name of your network adapter will most likely be different; that's fine. 35 3. Your display might look something like this. Click the Add button. Note: ONLY do this if Client for Microsoft Networks is NOT listed. 4. Click Client. Note: ONLY do this if Client for Microsoft Networks was NOT listed. 5. Click Microsoft, then click Client for Microsoft Networks. Click OK. Note: ONLY do this if Client for Microsoft Networks was NOT listed. 36 6. Click Client for Netware Networks. Click Remove. If "Client for Netware Networks" isn't there, go on to 7. 7. Click IPX/SPX Compatible Protocol. Click Remove. If IPX/SPX Compatible Protocol isn't there, go on to 8. 8. Click the Add button. 37 9. Click Protocol. Click the Add button. 10. Click Microsoft, then TCP/IP Click the Add button. 11. Click NetBEUI. Click the Remove button. if NetBEUI isn't there, go on to 12. 38 12. Look closely at your settings. At this point in the installation process, your screen should look like this. If it doesn't look like this, something may be wrong. Re-read the instructions and check to make sure that you didn't miss any step. 13. Click TCP/IP, then click the Properties button. 14. Click the tab labeled IP Address and make sure that Obtain IP Address Automatically is checked. 39 15. Click the tab labeled WINS Configuration and make sure that Use DHCP for WINS resolution is checked. 16. Click the tab labeled Gateway. Make sure there's nothing listed under "Installed Gateways." If there is a set of numbers there, click it and press the remove button. 17. Make sure that Disable DNS is checked. If there are any numbers or any text listed in any box here, click the number and press the remove button until they're all gone. 40 18. This box should look just like the one to the right. 19. Make sure that Set this protocol to be the default protocol is checked. If it's grayed out as shown here, that's fine. 41 21. Click the item labeled Client for Microsoft Networks and click the Properties button. 22. Click the box labeled Log on to Windows NT Domain. Type ASC in the box labeled Windows NT Domain. Make sure that Quick Logon is checked as well. 42 23. Click the Identification tab. In the box labeled Computer Name, use the following table to determine what that should be. ASC Computer Names are a two-letter building code followed by your room number. 24. Click the Access Control tab and make sure User-Level Access Control is checked. Type ASC in the box as shown. Click OK. 25. Almost finished. If Win95 tells you that you have to reboot, reboot. See Getting Started for information on logging into the network and connecting to the Internet. 43 Configuring Windows 2000 for Campus Access 1: Click Start Move mouse up to Settings. Click on Dial Up and Network Connection. 2: Right click on Local Area Network. Click on Properties. 44 3: Internet Protocol (TCP/IP) should be checked. You should see your network card listed at the top of the box. Click on Internet Protocol. Click on Properties. 4: Make sure your properties look like the diagram. 5: Click OK. That’s it. Just plug your Ethernet cable in the back of your computer and into the wall. You should be able to get on the Internet. If you have any questions please call the Help Desk. See Getting Started for information on logging into the network and connecting to the Internet. 45 Configuring Windows XP for Campus Access 4. Click on Start 46 5. Click on Control Panel 6. Click on Network and Internet Connections 4. Click on Network Connections. 47 5. Click on Local Area Connection. 6. Click on Change Settings for this connection. 48 7. Verify that Internet Protocol (TCP/IP) is listed in the white box. 8. Click on Internet Protocol (TCP/IP). 9. Click on Properties. 8. Verify that Obtain an IP address automatically is checked. 9. Verify that Obtain a DNS Server address is checked. 10. Click OK. That’s it. Just plug your Ethernet cable in the back of your computer and into the wall. You should be able to get on the Internet. If you have any questions please call the Help Desk. See Getting Started for information on logging into the network and connecting to the Internet. 49 Frequently Asked Questions Q: While I was going through the instructions, my computer asked me for a Windows CD, but I do not have one. A: Your machine probably had Windows pre-installed on it when you purchased it. Most companies who pre-install the operating system before shipping have either given the consumer a Windows CD or have placed it somewhere on the hard drive. If your computer asks for a CD but then gives you a location at the bottom of the box, click ok, and most of the time it will find the files. If that still doesn't work, you will need a Windows CD to continue. Q: I have finished the instructions, but when I log on, I am informed that there is no domain available. A: If you have a wired connection, this usually happens either when you have an error in the setup or your network cable or jack is bad. To check your network cable or jack, look on the back of your computer. The place where you hooked the network cable should have a little flashing light next to it. If the light is not blinking, that usually means that you are not getting any signal from the network. If you have no light, unhook the cable and take it to either a neighbor's room whose connection you know is working, or bring it to the Help Desk. If the cable works, you most likely have problems with the network jack. You can call the Help Desk at this point, and a phone office technician will be sent to fix the problem. If you have a green flashing light on your machine, you will need to go through your configuration again and make sure that you follow each step. 50 51 Open Labs and Machine Specifications All labs except Allied Health Room 107 are open 24 hours 7 days a week for use. You can get assistance to problems by calling the Help Desk at x4357. Open Monday thru Friday 8am to 10pm, Saturday and Sunday 12pm to 10pm. Your professors should tell you where they are located and the hours. 52 Computer Lab Rules a. Absolutely no food or drink is allowed in the computer labs. b. No disruptive activities will be tolerated. The use of the Computer labs is considered an academic activity. Please maintain an academic atmosphere. c. Do not use computers for recreational purposes (i.e., idle chatting, game playing, etc.) when the lab has few computers open for other students' course work. d. Do not print multiple copies on network printers. If you need multiple copies, make one good copy and use a photocopy machine for duplicates. e. The printing of non-academic materials is prohibited. f. As stated in the Campus Computing policy, viewing or printing of obscene materials in a computer lab is prohibited. 53 54 Getting Started Now that you have selected your campus computing option, you are ready to get connected to ASC! Your Campus Account No matter what computing option you choose, a campus network account will be created for you. Your campus account is your passport to computing resources on the Alfred State College network. Your campus account will provide access to e-mail, the Internet, your own personal web space, campus file share, and several curriculum-specific software programs. Your account is a privilege; please respect it as such. Without your campus account, you will be unable to use any computing resources on campus! Please remember: a. Accounts are given to individual users. b. You are responsible for your account. DO NOT give your password to other users. c. Any activity that occurs under your account is YOUR responsibility. d. Upon receiving your account you will be given a password consisting of the last four digits of your social security number. For security reasons you will be REQUIRED to change that password at your first login. Once your bill is paid and processed, Computing Services will automatically create an account for you. Your username will be a combination of your last name, first and middle initial. The username is the first six letters of your last name, your first initial and your middle initial. If you do not have six letters in your last name that part will consist of your whole name. Some examples would be: Student Name: Joe H. Smith Campus Account Username: SmithJH Student Name: Victoria A. Tompkins Campus Account Username: TompkiVA Please note: If you have a common last name such as Smith, there may be multiple persons on campus with the same initials. If you have any problems logging into the network, please contact the Help Desk. 55 Logging on to the Campus Network After completing the s to configure your computer to the campus network, you are ready to log in. Please note that if this is your first time logging in for the semester, you will need to change your password. Logging into the ASC Network for the First Time When you log into the Campus Network for the first time, you will need to do the following: Press CTRL+ALT+DEL Type in your username: (First 6 letters of your last name, first initial, middle initial) Type in your Password: (The last four digits of your SSN) Press Enter You will receive a message that your password has expired and you need to set up a new password. Type in your NEW password: (MUST be at least 6 letters and/or numbers) Confirm new password: (Type in the password that you just made up.) Press Enter Logging onto the ASC Network after the First Time Press CTRL+ALT+DEL Type in your username: (First 6 letters of your last name, first initial, middle initial) Type in your Password: (The last four digits of your SSN) Press Enter If you are logging in from your own computer, you will also have to do the following . Enter your username and password; make sure that the domain has ASC listed. If it asks you to enter your password again, enter it exactly as before. The passwords must match. Click OK. Accessing the Internet Double click on an Internet browser such as Netscape Navigator or Internet Explorer. If you are accessing the Internet in your dorm room you will have to log in with your username and password. 56 Checking your Campus Email 1. Open your web browser. Note: Webmail is best viewed with Internet Explorer 5 or higher. 2. Insert webmail.alfredstate.edu in the address bar. 3. Click Go or press Enter. 4. You will need to enter the following information: Username: ASC\Username Password: Your Password 5. Click OK. NOTE: This step can be avoided in the labs by simply entering mail2 in the address bar. 57 6. All your new mail will be listed in the Inbox. This will come up automatically when you enter webmail. Creating a new email message 7. To create a new email message click on New. Note: If you have installed MS Front Page or MS Office you may need to install some extras from the cd’s. 8. Click on To: -Enter their address in the To: field. 9. Insert information in the subject field. 10. Insert the message. 11. Click Send. 58 12. If you do not know the email address and the person is on campus you can search for their address. 13. Click on To: 14. Insert the person’s last name or first name. 15. Click on Find. 16. After it does the search you can click on the person you would like and add the recipient by clicking on the TO, CC, or BCC at the bottom of the screen. 17. Click close. 59 Reply The Reply button may be used from the Inbox screen, and will initiate a reply to the highlighted message. Alternately, the Reply button is available while viewing a message. Clicking the Reply button here will initiate a reply to the open message. A new message will be opened. Type your reply in the main field. Press send when finished. NOTE: The Subject line may be changed, and additional recipients added as in a New message. 60 Reply to All Similar to the Reply button, Reply to All initiates a reply message. In this case not only the sender of the message, but all recipients of the message will be automatically entered into the To: field. Forward As with Reply, Forward may be used by highlighting a message, or from within an open message. The Forward button allows you to send a message you have received to others. Enter the recipient(s) you desire into the To: field, and press Send. Check for New Messages After you have entered Webmail, it is possible for additional Email to arrive for you. Clicking the Check for New Messages button will instruct Webmail to update your Inbox, and display any additional items that have arrived since you logged in. 61 Search Search is a tool that is useful for locating a particular message if you have many accumulated in your account. Clicking the Search button will display a window with several fields. The folder that was selected when Search was activated will be listed in bold (In this case Inbox). You can search multiple ways: Subject LineBy default the Search will check only Subject lines for the keyword entered, to search message text as well check the Also Search Message Text box. SenderThis will search the From: field of messages. RecipientThis will search the To: field of messages. Move With the message(s) you wish to move selected, click the move icon. 62 A window will appear, select the folder you wish to place the messages in. Click OK, and the messages are moved. NOTE: The New… button can be used to create a new folder within whatever folder is currently selected. Delete Similar to the move command, selected items will be affected by Delete. However the Delete command will automatically move the selected items to the Deleted Items folder. Items will remain in the Deleted NOTE: Items folder for seven days, and then will be permanently erased. When an item in the Deleted Items folder is highlighted, and Delete is used a window will pop up. Selecting OK will permanently erase the item(s). 63 Preview Pane The Preview Pane has two states, by default it is off. If you are using Alfred State College's dial-in system, the maximum connect speed is about 30Kbps - expect Webmail to take approximately two minutes to load. If you find the load time using Alfred State College's dial-in excess, it is recommended you obtain Internet Services through one of the local providers who can provide 56kbps or higher connection speeds. Q: I can't seem to get Webmail to work. When I go to the Webmail web site and type in my username/password, my system stops responding. How can I get this to work? A: First, check to see if you have a personal or corporate firewall. Webmail uses Session cookies and DHTML; if a firewall does not allow these types of access, then Webmail will not work. If possible, disable the personal firewall and try Webmail again. If it is now functional, you will need to change the settings on the personal firewall software until it works with Webmail. Q: What can I do when the message "Error: Access is Denied" is displayed after I enter my Username and Password? A: First, check to make sure you entered the Domain name in the separate text box or before your username if no text box is present. Faculty/Staff announcements are sent once daily through email and student announcements are posted in a bulletin board fashion inside of webmail. Examples of announcements are club meetings and event notifications. 1. Open your web browser. Note: Webmail is best viewed with Internet Explorer 5 or higher. 2. Your Campus File Share The campus network share is a centrally located disk resource that is accessible from wherever you connect to our network. Whether you connect from the residence halls or from one of the many public computing areas, your campus network share is there for your use. Each student receives 350MB of space. When computing in one of the general access labs, your campus file share should be mapped automatically. However, when you are in your room, you will have to map this drive. A: All lab computers, Computer Lifestyle computers, and computers part of the alfredstate.edu domain can be used to change your password. You will need to know your username and old password in order to change your password. The easiest way to change your password is to press Ctrl-Alt-Del keys. A: If you have Internet Explorer 5.x or higher, or Netscape Navigator 6.x or higher you can utilize the "change password" utility in Webmail to alter your password. This utility requires a Secure Socket Layer 1024-bit channel in order to function properly. First you must log onto webmail by going to http://webmail.alfredstate.edu. Click on the Shortcuts button in the upper left. Next find the Options shortcut and click on it. Within the Options Page, there is a button called "Change Password". Click on the "Change Password" button to change your password. There are several text boxes to be filled in. The domain can be listed as asc or alfredstate.edu. You will need to fill in the old password, and type in a new password twice. Account is your username. Once all text boxes are filled in properly, click on OK. A screen will report back the change was successful. You can click on the back link to go back to webmail; however, you will probably need to re-supply your new password to gain access. Alternatively, you can go directly to the change password utility from this FAQ by clicking here. Q: How long will my password last? Is there a password expiration? A: Passwords last approximately 182 days. This means if you set a new password today, approximately six months from now it will expire. You will be reminded approximately fourteen days before your password expires to change passwords. Once your password has expired, you will need to immediately change your password upon your next successful logon. Until you change an expired password, you will not be able to access Alfred State College resources. Although password expiration is around 182 days, it is recommended you change your password at least once in the middle of each semester. If you suspect someone is using your account, change your password immediately. Keep in mind if you change your password on a regular basis, you will not have to worry about password expirations at all. Q: How long will my network account last at Alfred State College? A: As long as you are at least a part-time student, faculty or staff member of Alfred State College in good standing your account will be active. Employees of Alfred State College will have their accounts removed usually within two weeks of leaving State service unless other arrangements are made. Account removal is permanent and includes all account related resources. Q: Are there any restrictions on what I use for a password? A: Password security is an important part of Alfred State College's security. Passwords are always casesensitive, which means a lower-case "a" is different from an upper-case "A". The minimum password length is four characters. It is recommended you use passwords of at least eight characters or more. Also, it is recommended you use a mix of alphabetical and numeric characters for your password. When you change your password, you can not use the same password you used the previous three times. This is called the password history, and ensures users create new passwords more frequently instead of "bouncing" between two different passwords. Q: What is my email/webmail account and password? A: Your email/webmail account and password are the same as your network account and password. Q: I have tried several times to log on to a computer, but have not been successful. Now a message keeps coming up saying I need to contact my Network Administrator. Why? A: After five failed attempts to log on using the same account, the account becomes locked out. Computing Services staff routinely monitor usage data such as network connection times, CPU utilization, and disk utilization, security audit trails, and network loading. Faculty, staff, and students using the Alfred State College Network information systems and/or the Internet should realize that their communications are not necessarily protected from viewing by third parties. Unless encryption is used, staff should not send information over the Internet if they consider it to be private. If, at any time, a violation of campus computing policy is suspected, Alfred State College reserves the right to examine e-mail, personal file directories, and other information stored on computers connected to the Alfred State College network. This examination assures compliance with internal policies, supports the performance of internal or external investigations, and assists with the management of the College’s information systems. PASSWORD POLICY Revised: 7/17/02 It is the responsibility of all users of Alfred State College computing services to observe good security practices. User irresponsibility causes security breaches and allows College systems to become vulnerable to unauthorized access. It is mandatory that usernames are secured by keeping passwords secret and changing passwords often. Secure passwords and password policies play an important role in protecting the integrity and investment of campus resources. Without adequate passwords, unauthorized access to the Alfred State College infrastructure becomes a higher probability; compromised systems can result in denial of services, corruption of information, and even destruction of resources. All who use Alfred State College computer facilities have the responsibility to do so in a productive, efficient, ethical and legal manner. This privilege may be revoked or suspended at any time. Violations or circumvention of these policies will be considered a violation of the Faculty/Staff Policies and Procedures or the Student Conduct Code and may result in disciplinary action or legal prosecution. 1. User accounts are assigned to single individuals. Use of an account by an individual other than the one originally assigned the account is prohibited. This includes friends and family members. 2. Graduating student accounts will be terminated approximately four months after graduation. Deletion of accounts is permanent and includes all data associated with that account. Graduates are strongly encouraged to review and personally archive any data they wish to retain before leaving campus. 3. Faculty/Staff accounts of employees who are no longer employed by the campus will be disabled immediately after their last date of service. Approximately one month after the last date of service the account and all resources associated with it will be permanently deleted. Faculty/Staff leaving service are strongly encouraged to review and personally archive any data they wish to retain prior to their last day of State service. 4. Although Computing Services does not regularly monitor accounts and resources, it may become necessary to monitor account activity and/or resources if a possible policy or legal violation is suspected. 5. Student accounts are generally created within the first two weeks of the beginning of each semester. Before a student account is created, the student must have paid that semester’s bill and registered for at least one course. Students who require accounts outside of this time period should contact the Help Desk for assistance. 6. Faculty/Staff accounts are generally created within 24 hours of submitting a completed written request and information for an account. 7. NETWORK USAGE POLICY Updated: 7/31/02 The campus relies heavily on the local area network and the Internet to succeed in fulfilling its academic mission. These policies help ensure the best possible academic networking environment while protecting this vital campus resource. 79 Any violation or circumvention of these policies will be considered a violation of the Faculty/Staff Policies and Procedures or the Student Conduct Code and may result in disciplinary action or legal prosecution. Network access (meaning both LAN access and Internet access) is considered a privilege; not a right. This privilege may be revoked or suspended at any time. 1. Network resources should be used for academic use and to fulfill the campus mission. 2. Use of Alfred State College computing resources for personal purposes is permissible so long as the incremental cost of the usage is negligible, and so long as no campus-related activity is preempted by the personal use. 3. Use of the campus network for personal gain is prohibited. This includes: a. selling of products and/or services b. correspondence and/or communications involved in the selling of products and/or services c. unauthorized selling of products and/or services as outlined in the Student Handbook 4. Peer to peer networking, although not prohibited, is given low priority on the campus network. Peer to peer networking includes any and all internet file sharing applications including, but not limited to Napster, Morpheus, Audio Galaxy, Direct Connect, Edonkey, and Gnutella. 5. Unauthorized high bandwidth usage is prohibited. Bandwidth abuse erodes the effectiveness of the network, resulting in less efficient services or denial of services. 6. Computing Services or the College Administration can limit or deny network access at any time it is determined that there has been a violation of any campus policy or applicable laws. This includes but is not limited to copyright violations, harassment violations, student conduct violations, and business use violations. 7. Unauthorized port scanning of any campus equipment connected to the campus network is prohibited. 8. Any unauthorized process or device which may deny other network devices partial or full services to the campus network is prohibited. Such devices or processes may be suspended, disabled, or impounded without notice by Computing Services or as directed by Campus Administration. 9. Users shall not develop or use procedures to alter or avoid the accounting and monitoring of the use of computing facilities. For example, users may not utilize facilities anonymously or by means of an alias, and may not send messages, mail or print files, which do not show the correct username of the user performing the operation. 10. Users will not violate legal protection provided by copyrights and licenses. Users will not make copies of any licensed of copyrighted computer program found on the Alfred State College computer or storage device without the written consent of Computer Services. Also included, and not limited to, are open shares of copyrighted songs, movies, or other media files. Nonacademic files, such as MP3 files, are not to be stored on student's academic disk space (N: drive). Students will be expected to store nonacademic files on their own personal computer, floppy disks, LS-120 disks, or Zip disks. Please note that Computing Services will perform checks for these file types on student N: drives at least one time each week. 11. Practicing any form of dishonesty through use of computing facilities - for example, cheating, plagiarism, or fraud - is prohibited. Using computers or the network to harass, abuse or intimidate another person is prohibited. Users shall not develop or use programs that harass or break into another persons’ computer including but not limited to port scanners and viruses. 12. Obscene language or pictures/videos included in electronic mail messages, process names, file names, file data, and other publicly visible forms are prohibited on equipment connected to the college network. NETWORK FILE RESOURCES POLICY Updated: 7/17/02 All students, faculty, and staff have access to network file resources. Network file resources include but are not limited what is commonly referred to as “N: drive space” and “Web space.” Also, some faculty 80 and students have other network file resources, depending upon their academic needs. Since these are finite resources accessed over a finite amount of bandwidth, policies concerning network file resources ensure reliable and consistent access to all users. Any violation or circumvention of these policies will be considered a violation of the Faculty/Staff Policies and Procedures or the Student Conduct Code and may result in disciplinary action or legal prosecution. This restriction guarantees equitable space to all students that require it. 2. Network file resources are to be used for academic purposes. NETWORK FILE RESOURCESs may be monitored to ascertain compliance with campus policies. 7. Access to NETWORK FILE RESOURCESs may be denied, suspended, and the content impounded upon violation of campus policy or applicable laws at the discretion of Computing Services or the College Administration. 8. Access may be suspended on any World Wide Web accessible NETWORK FILE RESOURCES if the content of the web space is deemed against campus policy or applicable laws. The unauthorized storage of computer viruses, Trojans, self-replicating applications, or malicious code on NETWORK FILE RESOURCESs is prohibited. E-MAIL POLICY Updated: 7/17/02 E-mail has become widely used for business and academic communication. Since so much information flows through e-mail systems, the following policies are put in place to define how e-mail is to be used on campus. Alfred State College cannot guarantee that electronic communications will be private. Employees should be aware that electronic communications could, depending on the technology, be forwarded, intercepted, printed, and stored by others. An e-mail account is a privilege granted to an individual, not a right. This privilege may be revoked or suspended at any time. Any violations or circumvention of these policies will be considered a violation of the Faculty/Staff Policies and Procedures or the Student Conduct Code and may result in disciplinary action or legal prosecution. 1. All computers used to access the campus e-mail are required to have updated anti-virus software installed and running while accessing e-mail. Disseminating viruses, Trojans, or other possible malicious code through campus e-mail systems is prohibited. Violators of this policy may be subjected to temporary or permanent suspension of their accounts, campus discipline, and/or legal prosecution. Deleted e-mail items are retained for seven days. After seven days, deleted items are permanently removed (restoration will not be possible). Sent e-mail items are retained for thirty days. After thirty days sent items are permanently deleted. Inbox items are retained for one year. After one year, items in the Inbox folder are permanently deleted. E-mail users are strongly encouraged to manage and maintain older inbox items by personally archiving them. Sending messages over 100 MB in size are prohibited. BANNER WEB FOR STUDENTS POLICY Banner Web for Student is a secure information area containing educational records and student information. 1.
