Bridge City Friends Meeting Job Description RECORDING CLERK Rev January 2010 JOB SUMMARY The Recording Clerk is responsible for preparation of the minutes of the Meeting for Worship for Business. The Recording Clerk is appointed for a two-year term and is normally a member of the Society of Friends who is an active participant in the life of the Bridge City Meeting. JOB DESCRIPTION Articulation of the sense of the Business Meeting through sensitive and clear composition of the minutes Read drafts of minutes aloud during Meeting for Business when requested by the Clerk to make sure the language accurately captures the sense of the Meeting. Attends all Meetings for Business or in consultation with the clerk and M&O committee arranges for a substitute to take minutes. Types minutes, shares them with the Clerk for comments and as a check on accuracy, then arranges for the minutes to be circulated (via email, or other methods) among meeting members prior to the next business Meeting. Bridge City Friends Meeting Job Description TREASURER Rev January 2010 JOB SUMMARY The Treasurer is a member of Bridge City Meeting and is appointed for a two-year term to manage and track the financial affairs of the Meeting. The Treasurer receives and disburses funds as the Meeting directs, keeps the account books of the Meeting and reports monthly to Meeting for Business. The Finance Committee ensures that the accounts are audited at least once a year. The Treasurer is a member of the Finance and Property Committee and normally attends its monthly meetings. JOB DESCRIPTION Obtains updated information on the Meeting's liability insurance each year. Originals of insurance policies are normally retained in the BCFM lock box, with copies held by Treasurer or Finance Committee for reference. Pays Meeting bills Prepares and presents a monthly financial report to the Monthly Meeting for Business that shows the budget, disbursements, and receipts for the month and year to date. Maintains the Meeting's financial records. Handles occasional financial transactions such as sale of donated stock. The committee is responsible for the religious education of children in the Meeting. It creates and provides a program for these children during Meeting for Worship each First-day from September through mid-June. These may include classes and other activities. In addition, although religious education is not provided during the summer months, the Committee enlists the help of the Meeting community to help provide childcare for this group of children during the summer, which often involves taking the children to the park. The committee should meet regularly to review the program, consider religious education materials, and design ways of continuously involving the children in the life of the Meeting. JOB DESCRIPTION Committee members are responsible for providing a First Day program (planning and teaching or coordinating volunteer efforts) to children from preschool through the 8th grade. Teachers are responsible for arriving in time to set up the classroom before worship begins at 10:00 am, attend the first 15 minutes of worship, accompany the children to the classroom, and clean up the classroom afterwards. This position maintains a current BCFM directory of members and attenders, with direction from the Ministry and Oversight committee. The Directory Manager distributes an updated copy to the community via e-mail as needed. JOB DESCRIPTION The BCFM Directory includes two documents: a smaller document that includes only the member name, e-mail address and phone number, and a larger document that includes the member name, e-mail address, multiple phone numbers, address, names of family members, children's birthdates, committee positions and terms, and when the member's directory information was last changed. The Directory Manager checks the BCFM guest book and contacts signers to see if they would like to be added to the directory. BCFM members and attenders contact the Directory Manager with any changes in personal information. Bridge City Friends Meeting Job Description RISING CLERK Rev January 2010 JOB SUMMARY The Rising Clerk is appointed for one year at a time, and is an active member of Bridge City Friends Meeting. The person in this position is the nominee for presiding Clerk. Following the term as Rising Clerk, the person would serve as presiding Clerk of the meeting. During the term of Rising Clerk, the person would serve as a regular member of the Ministry and Oversight committee. JOB SUMMARY The Rising Clerk will be a regular member of the Ministry and Oversight committee. Other than participation on Ministry and Oversight, there are no specific tasks for this position. What is done depends on the individual in the position. The Rising Clerk shall work with and job shadow the presiding Clerk in order to allow for a smooth transition as one Clerk leaves and the other becomes the Clerk. As of January 26, 2008, we have 20 Monthly Meetings and 2 Preparative Meetings. There are 10 standing committees: Annual Session Planning, Discipline (Faith and Practice); Finance and Legal; Information Technology; Ministry and Oversight; Nominating; Outreach and Visitation; PeaceandSocialConcerns; Site; and Youth. Therefore, the Coordinating Committee would consist of 35 - 39 people. CHARGE: The Coordinating Committee supports and enriches the life of NPYM. It is the venue where Standing Committees and Monthly Meetings share about their work and inspiration. The committee identifies and links converging and emerging issues, and offers support to groups within NPYM. In addition, the committee provides support and oversight to NPYM Standing Committees. RESPONSIBILITIES: 1. Identify issues in the yearly meeting, paying particular attention to emerging and converging concerns. (Emerging issues are ones that may arise from a Monthly Meeting, Preparative Meeting, Worship Group, Isolated Friend, Quarterly Meeting, Annual Session or Standing Committee. Converging issues are ones that are being dealt with by more than one committee, Meeting, etc., particularly when Friends do not know that others are working on this and that there might be valuable connections.) 2. Facilitate networking and communication among Standing Committees, among Meetings and Worship Groups and between all groups. 3. Ensure ongoing contact with Isolated Friends and Worship Groups not under the care of a Meeting, recognizing that the Outreach and Visitation Committee will do much of this work. 3. The first job will be to determine if the decision should be referred elsewhere. Discernment will be necessary to identify which decisions can be handled at Coordinating Committee and which rightly belong at AS, in a Standing Committee, Monthly or Quarterly Meeting. 13.Ensure evaluation of NPYM structure. 14.Ask standing committees, including CC, to regularly self-evaluate, and follow up on any issues identified. CC WORKS PRIMARILY WITH: Meetings and worship groups and NPYM Standing Committees. MEMBERS: All members of the CC should be members of the Religious Society of Friends or long time attenders, well grounded in Quaker practice and experienced in Quaker discernment and decision-making. If a member cannot attend a meeting of CC, s/he should send regrets to the CC Clerk and discuss whether someone else should come in their place. A member may wear two hats at CC, e.g. as an NPYM officer and as a member appointed by his or her Monthly Meeting. A person considering this should use a careful discernment process to determine whether s/he can fulfill both roles effectively, not only in CC meetings but also in relation to being the communication link between CC and either a Standing Committee or Monthly Meeting. CC IS APPOINTED BY: MM appointed: Each MM in NPYM names one member of the Coordinating Committee Preparative Meeting appointed: PMs may name one member, after consultation with their overseeing Monthly Meeting and the CC Clerk. Standing Committee appointed: Standing Committee Clerks are on Coordinating committee by default; if a clerk wishes to have another committee member serve in his or her place on CC, s/he should consult with his or her committee to select a CC member. NPYM appointed: CC Clerk, CC Recording clerk, CC Associate Clerk, NPYM Presiding Clerk (The NPYM Officers), Treasurer Junior Friends appointed by Junior Friends in consultation with CC Clerk: Young Adult Friends appointed by Young Adult Friends in consultation with CC Clerk. NPYM Officers and committees: NPYM Annual Session TERMS BEGIN: October 1 (All terms begin at the same time, regardless of when a member is appointed. For example, if Meeting x appoints their new person June 1, that person would not start on CC until October. That person would serve until September 30 of the year in which her/his term ended, even thought their replacement had been approved in June.) TERM LENGTHS: Monthly and Preparative Meeting appointed members: 2 years, with a recommendation for no more than 2 consecutive terms (4 years total) Jr. and Young Friends appointed for one year. Standing Committee appointed members: 1 year, reappointment possible while on the committee. NPYM Officers: for duration of term of office MEETINGS OF CC: The committee will meet once in the fall and once in the spring and at least once at Annual Session. This allows for more time for business. More importantly this allows for networking and community building, and worship both within the CC and with Friends in the area.
