Recognizing RDA Records
020 field - RDA prefers the price to be in this field ($c) but with the consortium set up this is
impractical
040 field includes “$e RDA” to describe the basic cataloging rules followed in this record
245 field
RDA allows listing only one author in the statement of responsibility in subfield C as long as
this note is added “[and ### other authors]” and they are included in the appropriate 7xx
fields (see below).
Eventually the GMD subfield $h will be eliminated and this information will be reformatted
in the 336/337/338 fields (see below). However, until Horizon is able to display that media
type content properly we will be continuing to use the GMD subfield $h and recommend
that the 336/337/338 fields be added for future reference.
260 field is replaced by 264 fields - 260 may still be used if only publisher information is available
otherwise the 264 field should be used and repeated as necessary using the following:
2nd position Indicators:
1- for publication
2- for distribution
3- for manufacture
4- for copyright notice (only needed if different than other dates)
Subfields remain the same
A - Place of publication/manufacture
B - Name of publisher/manufacturers
C - Date of publication/manufacture
Places of publication/manufacture should be spelled out completely as seen on the source
information.

If abbreviated on source “Chic.” Include a note in the 500 field: 500 Published in
Chicago, Illinois.
Abbreviations sl, sn, sd are NOT used, list probable information or include a note.
When location is not unknown try to make an educated guess or add a note:

[Minneapolis, Minnesota?] both guessed
[Place of publication not identified] note in place of city name
Names should be spelled out completely, including divisions of companies, as seen on the

Do not guess name of a publisher use [publisher not identified] or if there is a “probable”
publisher include a note in the 500 field. 500 Possibly published by G. Stanton Press
Dates should be expressed by numerals. Ranges or estimations of dates should be expressed:
[2011] – estimated date
[between 1910-1919]
[193-] for known decade
[18--] for known century
[ca. 1932] for approximate date
[200-?] for probable decade
[19--?] for probable century
[not before 1876] or [not after 1929]
[date of publication not identified]

Fewer abbreviations, spell out:

color, facsimile, editions, volume, unnumbered, pages of plates, born, died, century,
third revised edition
Use more descriptive words for illustrations: See RDA ToolKit 7.15.1.3
Charts, coats of arms, facsimiles, forms, genealogical tables, graphs, illuminations,
maps, music, photographs, plans, portraits, samples, some color, chiefly color
For example:

490 field - Series Statements are basically the same but follow the number, date, and name formats
as described above.
5XX fields for the following are considered “core” fields in RDA and should be added whenever
possible:
521 - Intended audience
500 – General notes (i.e. includes index, details about content)
504 – Bibliographical notes
506 – Restrictions on access
520 – Summarization of the content
540 – Restrictions on use
586 – Awards
100, 110, 111 and 700, 710, 711
Name to Resource Relationships - Between the people involved and the resource being
cataloged. – For more details see RDA chapters 18 – 22 and Index I. RDA recommends
spelling out the terms, not using abbreviations. For a list of relators see:

In the Personal & Corporate Name fields (100/110 and 700/710), this information is spelled
out in the “$e” subfield instead of using a code in the “$4” subfield.
