New Jersey Renaissance Faire at Liberty Lake May 23, 24, 30, 31 & June 6 & 7, 2015 School Days- May 28 & 29 2015 MERCHANT INFORMATION Greetings, Thank you for your interest in the 2015 New Jersey Renaissance Faire! All Artists and craftspeople are royally invited to display their finest medieval talents and wares in the bustling marketplace of the 6th Annual New Jersey Renaissance Faire. The most popular Renaissance-themed event in the State of NJ will be held at Liberty Lake in Bordentown, NJ and will enchant New Jersey for THREE consecutive weekends May 23, 24, 30, 31 and June and June 6 and 7 (10am-6pm) plus two school days on Thursday and Friday May 28 & 29 (9am-2pm). Our school days bring curious and energetic students who are eager to experience the Renaissance flavor. Merchants have commented that our students on School Day were one of the most pleasant crowds of children they have encountered. This highly anticipated event produced by fellow Renaissance Faire actors and merchants has gained a reputation as one of the best small Renaissance Faires in the area. The 2013 faire brought approximately 6,200 weekend visitors and 2800 students on our school days, and 2014 saw almost 10,500 visitors through the gates on our public days. New Jersey Renaissance Faire was recognized as the Best Renaissance Faire (under three years old) by the Renaissance Festival Podcast Awards for 2011. As a testament to how much our fans love our faire, they donated over $22,000 to our Kickstarter campaign to help us provide office space and infrastructure to help our faire continue to grow. This money will be used to build an office space for us on the grounds of Liberty Lake that will hopefully double as our ticket space and give us a central location for check in, writing and directing and to allow us to hire the staff we need to continue to help the faire grow. There are six (6) stages featuring continuous live revelry- a medley including dancing, music, juggling, and acting troupes. Crowds will cheer armoured knights as they joust on horseback, charging head on at a full gallop with only a lance and a shield to defend them. There will be a human chess match. Visitors will be challenged with medieval feats such as archery, ax throwing and other tests of strength and skill. Strolling villagers and minstrels add to the Renaissance atmosphere, as do face painters and fortunetellers. In 2014 we added an adult themed wine garden stage which was a huge success to our guests and allowed us greater control of alcohol consumption and enthusiastic patrons. The theme for the 2015 New Jersey Renaissance Faire will be announced shortly, to great fanfare! Skilled artisans will sell and demonstrate time-honored arts and crafts such as weaving, blacksmithing, leatherworking, pottery, woodcarving, jewelry, clothing, and even glassmaking. Education as well as entertainment is important to us, and we encourage merchants to demonstrate their skills and explain their Renaissance significance to Faire visitors. The aroma of mouth-watering turkey legs, fresh pastries and other delicious treats will fill the air. To ensure a fun filled trip back in time, participants follow STRICT faire guidelines: Dress in Renaissance garb, decorate booths in a Renaissance theme, and interact with visitors in an appropriate Renaissance period style, language and manner. The New Jersey Renaissance Faire’s marketing campaign incorporates sponsorship from local media as well as paid advertising throughout the area. We do our best to provide an enthusiastic audience that’s excited to buy your wares. In addition we limit the number of merchants in each category to maintain a proper ratio between the number of merchants and the patrons. We encourage participants to bring items with a broad price range to appeal to our varied visitors, which include adults, teenagers, and our specialty: families with young children! Once accepted, an exhibitor will be informed by Email. An information packet will be handed to participants on arrival. REQUIREMENTS: All crafts and wares should be consistent with the Renaissance theme as detailed on the Vendor Application form under “Terms and Conditions.” Participants must follow the faires guidelines by wearing Renaissance attire, decorating their booths in the Renaissance theme and interacting with visitors in the appropriate style. Furthermore, preference will be given to all works and products that are original, handcrafted pieces. FAIRE THEME: TBA CAMPING: Limited primitive camping and limited RV spaces (without hookups or power) are available for vendors at an additional fee of $50.00. In addition, there are many affordable hotels nearby. PETS: Pets are not allowed for patrons of the faire. Pets are allowed for camping vendors. However, all pets must be kept at the vendor’s camp and leashed at all times when outside. APPLICATION: Must Include: completed application form, all fees (checks payable to: NJ Renaissance Faire) photos, slides, or digital images of work to be sold and booth set up unless other arrangements have been made. All vendors including artisans, food vendors as well as games and rides must provide proof of insurance before the opening of the show. Works that are mass-produced, manufactured, or made from commercial molds might not be accepted. Imported items are strictly limited and will be accepted on an individual basis. We discourage imported or assembled items because this hurts the ability of the artisan to market their handmade products. The number and type of crafts and merchandise will be limited in fairness to all. Consideration will be given to past participants of excellent quality. A limited number of service providers (for example fortune telling and body art) will be accepted. Service providers will be juried as well. The faire committee reserves the right to prohibit the display of any work it deems unacceptable. Merchandise will be juried prior to acceptance of application. To be accepted products must be indicative of the Renaissance era in both medium and subject matter. Merchants may ONLY display merchandise or offer services (such as tarot reading) which were listed and/or shown on their application and approved via the acceptance letter. Items not listed cannot be sold without a written approval. Inspections: The faire committee will inspect shops at daily intervals to assure that all merchandise displayed or on sale was previously approved during the application process. Any merchant not adhering to these rules and regulations will be written up and their application may not be accepted for next year. Acceptance: If your vendor application is accepted at jury, you will receive an email confirmation or phone call. The faire committee will try its best to put you in the area you requested. Preference will be given to participants in good standing from the previous year’s faire. We do not guarantee fulfillment of location requests. Acceptance is a commitment to the show; your check will be deposited within 2 weeks after the application deadline at latest. There will be no refunds for cancellations by the vendor. Booth Spaces: Your booth must fit within the measurements you requested and paid for. The size of the assigned space will correspond with what you listed on your application. Merchants are responsible for setting up their own booths. All booths must have a Renaissance appearance, including decorations, signs, tables, etc. All modern metal (including aluminum tent poles) MUST be masked or securely covered utilizing period materials such as burlap, tapestry or some other period fabric. Plastic coolers and cases must be covered. Booths are expected to have visible period signage. A painted or carved wood sign or a fabric banner is recommended. Booths must be open and decorated appropriately at all times during Faire operating hours, rain or shine. Costume Requirements: It is required that all merchants must be dressed in appropriate costume of the Middle Ages or the Renaissance during Faire operating hours. Keep in mind that NJ Renaissance Faire is a familyoriented Faire: no overly revealing outfits will be permitted. It is also asked that appropriate period language be used when dealing with patrons. All participants must remain in character at all times while in view of patrons. Please avoid conversations about contemporary topics (such as modern sports and computers, etc.) Hours of Operation: The Faire will be open to the public on Saturday and Sundays from 10am until 6pm, and “Kids Days” from 9am until 2pm. All vehicles must be off-site one hour before show time each morning. All booths must remain open for business to the public during operating hours, no break down of booths until final cannon is sounded. All Vehicles will not be permitted on-site until 15 minutes after show closing, or until the public is cleared from the site. Set-up & Teardown: Merchants may begin setting up their booths on Monday, May 18. All booths must be completely set-up by 9am on Saturday, May 23rd. Teardown will occur on the final day of the Faire after the gates are closed. You will need to be out of the facility by Monday June 8th by 8 PM. Additional time can be arranged on a case-by-case basis. Parking: Merchants are required to park in the designated areas and no merchant may double park or block any access to the parking areas. Merchant Responsibilities: Merchants are responsible for keeping their area clean during and after the show. Keep all items of non-medieval appearance hidden from public view. Please provide your own trash barrel for use inside the booth. It is required that all merchant booths contain a fire extinguisher. The site is a No Smoking Site. With the exception of the use of square and other similar credit card devices cell phones, I pads, tablets etc. Must be kept out of sight. Security: During the weekdays the grounds are run as a campground with picnics being held regularly. The entrance to the site is closed at night but not locked. The Faire is not responsible for work left overnight in booths. A security guard will be on site patrolling the fairgrounds each night during the festival weekends. Camping: Merchants are allowed to camp on the grounds for the duration of the event in the designated camping areas for an additional fee of $75.00. Limited rough tent camping spaces and trailer/RV space (without water or electricity) is available on an as needed basis. Includes shower and bathroom facilities. Please check with the vendor coordinator for further details. Food Vendor Requirements: Food vendors must adhere to health/hygiene requirements set by the NJ State Department of Health and Human Services. An inspector will be present on Saturday morning, just before the show opens; to make sure that food vendors adhere to the guidelines. Also, a Fire Marshal will conduct a thorough inspection. Food vendors who cannot meet health/hygiene and fire safety requirements will have to leave the Faire. Food menus (including beverages) and prices must be submitted and approved with the vendor coordinator by May 1. These will be reviewed to prevent too much overlap and will be reviewed each year. These menus and pricing will be set at the start of the Faire and may not change without written consent of the festival. Prices must be posted at all times. Food storage units and trailers will not be permitted in the area; they will be located in a separate area. As previously mentioned, it is necessary that merchants are dressed in garb at all times and that booths and signs are medieval in theme and your area is kept clean. Absolutely No menu changes may be made without written approval from the Vendor Coordinator. Sales Tax: Collection and remittance of New Jersey sales tax (7%) is the responsibility of each merchant. The NJ Department of Revenue will be given a list of participating merchants following the event. All merchants are responsible for keeping track of their sales and paying NJ Sales Tax. Animals: No pets (other than those pre-approved as part of entertainment acts/rides) will be allowed on site during the Faire. However, they are permitted in the camping areas. All pets must be kept at the vendor’s camp and leashed at all times when outside. Insurance: Proof of insurance is mandatory for all vendors. All vendors shall provide the faire with proof of adequate General Liability coverage in the amount of $200,000 upon final execution of this application form. “New Jersey Renaissance Faire” must be named as an additional insured on the certificate of insurance. Failure to Comply: Failure to comply with rules will make merchants ineligible for awards and admission to future shows and may result in a merchant being asked to leave immediately. The Faire Committee reserves the right to make final interpretation of the rules. Please read carefully the indemnification/waiver of claims on the application. If you are accepted, we will deposit your space fee check immediately.
