FORTY-SEVENTH ANNUAL CONVOCATION INFORMATION FOR CANDIDATES The Fifth Session of Convocation will be held at the St. Clair College Capitol Theatre – Chatham, 238 King Street West, Chatham ON N7M 1E7, on Saturday, June 21, 2014 at 10:30 a.m. The following are instructions for candidates graduating from Thames Campus programs. Please check the website for further updates: www.stclaircollege.ca/convocation/ GENERAL INFORMATION GUEST SEATING Tickets (no charge) are required for guests attending graduation. You must reserve your guest tickets. As long as students put in their ticket request before the deadline of June 4, they will receive a minimum of two tickets. Requests for additional tickets (up to four extra tickets) will be awarded on a first come first served basis. To reserve guest tickets: students must log into their self-service account between April 14 and June 4 and fill out an online request. Every student that puts in a ticket request is guaranteed a minimum of two guest tickets (graduates do not require a ticket for themselves). If you would like extra tickets, make sure to get your request in early. If you have requested more than two tickets, you will be notified by email by June 9, confirming the number of tickets you will receive. Wheelchair accessible seating can also be booked online. Tickets may be picked up at the St. Clair College Capitol Theatre, West entrance, from June 17-20 from 3 p.m. - 6 p.m. Please ask your guests to be seated in the Capitol Theatre no later than 30 minutes prior to the commencement of the Convocation ceremony. PHOTOGRAPHS A special area will be provided for family and guests to take photographs during the ceremony. Studio Nostalgia (www.studionostalgia.ca) will be on site before and after Convocation to take Graduation Portraits. DIPLOMA FRAMES, GRADUATION RINGS Diploma, certificate and portrait frames with St. Clair College crested matting are exclusively available in the College Campus Store (includes frame and framing service). Framing services will be available on the day of Convocation. Graduation rings will be available from Jostens (www.jostens.com). GRADUATION FLOWERS Flowers will be available onsite. If you wish to pre-purchase and reserve your flowers ahead of time, visit: www.ConvocationFlowers.ca/index.php/StClair GRADUATE INFORMATION GRAD STATUS If you fail to meet the academic requirements for graduation due to a failing or incomplete grade, you should contact your academic chair as soon as possible. All candidates will receive an acknowledgement from the Registrar as to their final status. ATTENDANCE If you are unable to attend Convocation, you should arrange to pick up your diploma starting June 25 in the Customer Service Centre, Room 134 at Thames Campus. If you arrange to have someone pick up your diploma for you, please provide the proper authorization to release the diploma. The person picking up the diploma must provide a letter signed by the graduate stating who can pick up the letter. They must also provide a signed photo ID of the graduate (driver’s license) that proves both signatures are the same. They must have their own photo ID. Diplomas that are not picked up will be mailed to the graduate approximately one month following convocation to the address on file with the Registrar’s Office. ACADEMIC GOWNS All candidates who participate in the Convocation exercises must be in academic gowns. No flowers/corsages, hats or purses are to be worn or carried during the ceremony. Purses should not be taken to the marshalling area. When deciding on appropriate attire for the ceremony, please note that College academic gowns are open at the front. Specific gown rental information is provided below. ACADEMIC GOWN RENTAL Students are encouraged to rent their gowns online for $20 at: http://buildagrad.ca/stclairthames. Online orders must be placed between April 1 and May 27, 2014. Gowns will also be available to rent in person for $35 (CASH ONLY). Gowns can be picked up (or rented in person) in the Capitol Theatre lobby on Friday, June 20 (8:30 a.m. to 5:00 p.m.) or at the Theatre in the Rotary Lounge on Convocation Day (Saturday, June 21, starting at 8:00am). Gowns are to be returned to the Rotary Lounge following the ceremony. Caps and tassels will be available for purchase at the gown counter as souvenirs only. They cannot be worn during the ceremony. Graduates must be in their alphabetical place in the marshalling area by 10:00 a.m. The Grand Marshals and faculty will marshal the graduates in the proper order.
