St. Louis Alumnae Chapter  Executive Officers and Committees
The ZTA St. Louis Alumnae Chapter’s Executive Committee (EC) is composed of these elected
officers:









President
Vice President I – Programming
Vice President II – Membership
Vice President III – Philanthropy

Ritual Chair
Overall duties and responsibilities include:






Working collaboratively toward achieving a standard of excellence for the chapter
Discussing matters pertaining the chapter and developing resolutions
Planning chapter programming, ensuring relevance, balance and interest
Supporting membership recruitment and retention
Encouraging positive alumnae-collegiate relations, a spirit of service and commitment to
philanthropy
Promoting a lifetime of sisterhood

Every ZTA must be committed to uphold the standards and policies of the Fraternity.
Alumnae chapter officers, committee chairs and members are expected to set the
proper example for our alumnae and collegiate sisters.
Alumnae chapter leaders should regularly attend chapter functions.
The Executive Committee meets regularly and as needed, allowing sufficient time to address all topics
on the agenda and formulate recommendations; its purpose is to streamline chapter meetings by
screening material to be presented, thus allowing time for visionary programs and enrichment activities.
The Executive Committee
President





Define officer responsibilities; coordinate officer training, chapter and officer goal setting and
calendar planning.
Preside at all meetings; plan meeting agendas.
Work closely with all the chapter officers and committee chairs, to ensure they are
accomplishing chapter goals, individual goals and responsibilities and completing and
submitting reports in a timely fashion.
Maintain regular communication with the District President.
Emphasize and inspire Zeta loyalty and pride.
First Vice President – Programming






Plan and implement interesting, fun and diverse chapter programming that reflects
members’ interests and needs and exceeds all Crown Chapter expectations.
Maintain a file of evaluation reports on each activity and program for future reference and
implementation.
Assist the Secretary, Historian/Reporter and appropriate officers/chairs in promoting
attendance and ensuring appropriate documentation of all activities.
Work with Alumnae-Collegiate Relations and Service chairs/committees to incorporate
alumnae-collegiate and service activities in chapter’s programming.
Serve as the assistant to the president, running meetings and assuming the role of leader in
her absence.
Prepare and submit monthly report to President and Secretary.
Second Vice President – Membership






Recruit new alumnae members by coordinating the recruitment events.
Inspire and coordinate ongoing recruitment; establish programs and incentives for current
members to recruit year-round.
Retain current and new members; incorporate elements to remind sisters of their value
within our chapter and Fraternity.
Maintain new and renewing member records; submit accurate membership records to IO.
Work with Secretary to prepare and distribute the annual membership directory.
Prepare and submit monthly report to President and Secretary.
Third Vice President – Philanthropy






Coordinate chapter’s local activities/involvement in support of our national philanthropy
(breast cancer awareness and education).
Coordinate Fundraising committee and oversee the planning of fun and diverse fundraising
activities that exceed all Crown Chapter expectations and meet/exceed chapter’s annual
fundraising goal.
Work with Think Pink! committee to coordinate chapter’s involvement in ZTA national
philanthropy initiatives, including Yoplait Save Lids to Save Lives and Think Pink!/NFL.
Work with Race for the Cure Representative(s) to support chapter’s involvement in Komen
St. Louis Race for the Cure and related activities/events.
Maintain file of information/evaluations on all philanthropy and fundraising activities.
Prepare and submit monthly report to President and Secretary.
Secretary







Record minutes at alumnae chapter and EC meetings; distribute minutes.
Take the lead on producing and distributing annual newsletter.
Produce and distribute monthly newsletter, working closely with all officers and committees.
Work with First Vice President – Programming and Historian/Reporter to promote
attendance at all chapter activities and events.
Work with Second Vice President – Membership to prepare and distribute the annual
membership directory.
Complete and submit officer list annually and when changes occur.
Chair the Bylaws committee.
Treasurer









Create an annual budget and maintain financial records.
Receive and efficiently disburse chapter funds.
Collect membership dues.
Monitor all donations.
Complete and submit alumnae Tax Report to International Office by deadline.
Submit operating fees and list of dues-paying members to IO by deadlines.
Submit ZTA Foundation contributions in a timely manner.
Submit additional fees/dues to IO and other obligations by deadline.
Prepare and submit monthly report to President and Secretary.
Historian/Reporter









Maintain annual history/archives of alumnae chapter.
Work with Web/Technology committee to coordinate social media and website updates.
Assist the First Vice President – Programming and Secretary in publicizing all chapter
events, especially via the newsletter.
Submit Themis Reports to IO by deadlines.
Submit photos and chapter success stories to IO regularly.
Prepare and distribute news releases to local media as applicable.
Strengthen chapter image by increasing publicity within ZTA and the St. Louis community
regarding activities and outstanding members.
Take photos and document all events; coordinate photos taken by chapter members.
Prepare and submit monthly report to President and Secretary.
Ritual Chair





Work with First Vice President – Programming and Alumnae-Collegiate Relations Chair to
coordinate Alumnae Initiation Services each semester for Kappa Omega, Theta Kappa and
Eta Theta Chapters; and Founders’ Day Celebration in October.
Coordinate Alumnae Officer Installation.
Recruit officers and members to attend and conduct each ritual.
Maintain chapter’s ritual supplies.
Prepare and submit monthly report to President and Secretary.
Panhellenic Delegate




Represent ZTA St. Louis Alumnae Chapter at St. Louis Alumnae Panhellenic Association
meetings and events/activities.
Serve in ZTA’s designated office/role within the Alumnae Panhellenic Association.
Coordinate Panhellenic activities and responsibilities with Alternate Panhellenic Delegate.
Prepare and submit monthly report to President and Secretary.
Standing Committees
Alumnae-Collegiate Relations





Serve as liaison between St. Louis Alumnae Chapter and local/area collegiate chapters (Kappa
Omega at Saint Louis University, Theta Kappa at University of Missouri – St. Louis, Eta Theta
Chapter at Missouri University of Science & Technology).
Work with First Vice President – Programming and collegiate chapters’ Alumnae-Collegiate
Relations Chairs to coordinate Alumnae Initiation Services each semester for Kappa Omega,
Theta Kappa and Eta Theta Chapters; plus Founders’ Day Celebration in October.
Work with appropriate alumnae chapter officers/chairs to include collegiate chapter members in
service/philanthropy/sisterhood activities as appropriate.
Regularly communicate with the local collegiate chapters’ Alumnae-Collegiate Relations Chairs
to ensure alumnae chapter provides support as needed and to be aware of collegiate chapter
news/updates.
Prepare and submit monthly report to President and First Vice President - Programming.
Fundraising





Work with Third Vice President – Philanthropy to create and implement fun and diverse
fundraising activities that exceed all Crown Chapter expectations and meet/exceed chapter’s
annual fundraising goal.
Coordinate and implement year-round fundraising initiatives, which may include Collegiate
Finals’ Baskets, Plant Sale, May Banquet Raffle and/or other planned fundraising opportunities.
Keep track of all funds raised and submit funds to Treasurer immediately after fundraising
activity.
Evaluate each fundraising initiative and maintain a record of each initiative’s details.
Prepare and submit monthly report to President and Third Vice President – Philanthropy.
Membership


Work with Second Vice President – Membership to coordinate year-round member recruitment
and retention efforts.
Prepare and submit monthly report to President and Second Vice President – Membership.
Programming


Work with First Vice President – Programming to coordinate monthly programs and social
events.
Prepare and submit monthly report to President and First Vice President – Programming.
Race for the Cure Representative(s)






Serve as Co-Chair(s) of the Survivor Committee on the Komen St. Louis Race for the Cure
Steering Committee; attend monthly Steering Committee meetings and other Race-related
events/activities.
Coordinate all aspects of the Survivor Recognition Program and Survivor Hospitality Pavilion.
Recruit ZTA alumnae/collegiate members to serve on Survivor Committee.
Recruit alumnae chapter member(s) to serve as Team Captain(s) of the ZTA Race Team.
Recruit and manage alumnae and collegiate volunteers for pre-Race and Race day
events/duties.
Prepare and submit monthly report to President and Third Vice President – Philanthropy.
Service



Coordinate service projects/volunteer service opportunities throughout the year.
Coordinate alumnae chapter’s service project/assignment(s) for Zeta Day.
Prepare and submit monthly report to President and First Vice President – Programming.
Think Pink



Coordinate and support chapter’s year-round events/activities/initiatives related to our national
philanthropy: breast cancer education and awareness.
Coordinate chapter’s involvement in ZTA national philanthropy initiatives, including Yoplait Save
Lids to Save Lives and Think Pink!/NFL.
Prepare and submit monthly report to President and Third Vice President – Philanthropy.
Web/Technology


Work with Historian/Reporter and other appropriate Executive Committee officers to coordinate
social media channels and maintain/update website.
Prepare and submit monthly report to President and Historian/Reporter.
