ASUG Call for Speakers Process ASUG is well-known for delivering customer-focused education, both virtually and through its face-to-face events. The Call for Speakers process is managed by ASUG Headquarters with inputs from a member team that is comprised of ASUG Volunteers and SAP Points of Contact. In order to ensure a fair and balanced selection process that delivers the highest quality content to meet the needs of our membership, we have made improvements to the Call for Speakers process, and we ask that you read this document in its entirety to understand the impacts on the abstract submittal and review process. General Information The Call for Speakers is open until Sunday, May 30, 2010 As the person who proposes the session, you are assigned as the primary speaker and are responsible for providing all session details and presentation materials If your session is chosen, you must adhere to the ASUG speaker guidelines (see below) Volunteer Committees The ASUG speaker and selection process is spearheaded by a team of ASUG member volunteers with subject matter expertise in the relevant areas associated with the event. The volunteers are responsible for the review and selection of abstracts submitted as well as scheduling and providing on-site support during the event. Selection The ASUG volunteer committees conduct the review and selection of content for ASUG events. In the selection process they are guided by member inputs, evaluation results, and the overall organizational event strategy, which is determined by ASUG Headquarters. In addition, the volunteers conduct an extensive review of all abstracts submitted against a variety of factors including: Member needs Relevance of topic Audience reach Abstracts that are ranked the highest in meeting these criteria and align with the event strategy are chosen for the educational program. Speaker Guidelines ASUG requires that all speakers be experienced, knowledgeable presenters with good communication skills All speakers should obtain presentation skills training and participate in the ASUG Speaker orientation program before presenting. SAP Partners must be ASUG members in order to present at the event. Real Experience. Real Advantage. Proposed abstracts should be detailed in nature and provide enough information for an attendee to understand the main learning points of the presentation. All presentations are to be of an educational nature. ASUG attendees require education that provides them with a sound knowledge of the subject matter and provides them with best practices, real experiences and case studies. If your proposal is approved, you must commit to meeting the speaker deadlines and be available to present at the event. If you are unable to meet these requirements please notify ASUG at speakers@asug.com in a timely manner. Abstracts and presentations will be reviewed and edited for consistency, grammar, spelling, and the proper use of SAP trademarks and names. All final presentations should accurately reflect the approved abstract. Attendees will rate speakers on several factors including speaking skills, presentation content, session value and if their expectations were met. Speakers that do not earn satisfactory evaluation scores will not be accepted to present in the future, without undergoing additional speaker training. Presentations should not be used to promote products or services. Speaker Registration policy All primary and secondary speakers who are identified at the time of abstract submission and who have received a session acceptance notification from ASUG will receive a complimentary registration to the conference if at least one of the speakers is an SAP customer. ASUG does not reimburse for speakers’ time, travel or hotel. Secondary speakers who do not qualify for a complimentary registration are welcome to attend the event at a discounted registration rate and will be listed in the event marketing material. Speaker Deadlines Week of June 21: Speakers notified of abstract status July 5: Speaker Registration Deadline Week of July 5: Educational Program Published August 30: Presentation Deadline Conflict of Interest No member of ASUG shall derive any personal profit or gain, directly or indirectly, by reason of his or her participation on the ASUG volunteer content selection committee. Each volunteer must disclose to the organization any personal interest or relationship with a potential speaker and/or his/her company and shall refrain from participating in the review and acceptance of any abstract associated with the potential speaker or his/her company. Members of the volunteer committee not affiliated with the potential speaker and/or his/her company will undertake the abstract review and acceptance process to ensure a fair and equitable process for all submissions.
