MONITORING COURSE PROGRESS
1 Requirements for achieving satisfactory course progress.
Each course has module description sheets which list the name and code of the
module, its nominal duration and weighting, pre-requisites, purpose, learning
outcomes, content and assessment strategy and delivery methods. The assessment
strategy has clearly explained how the learning outcomes are assessed and the
percentage marking applied to each segment of the assessment.
2
Process for assessing satisfactory course progress.
For each module each lecturer makes the appropriate assessment of each student’s
progress at key points when work is being submitted and provides individual
assistance as needed. At the completion of the module when the final grades are
being assessed the registrar notes any student who has failed or is achieving very
low percentile marks. The registrar, in entering marks in the Worldview register, takes
special note of all failing marks and also those who are in danger of not achieving
good passes. This information is reported to the Dean.
3 Procedure for intervention for students at risk of failing to achieve.
The Dean, on receiving notification of student failure levels and near failure levels,
arranges an appointment with the individuals and discusses:
3.1 first with the student, reasons for the failure and discusses possible steps to
remedy the deficit to achieve a pass grade
3.2 then subsequently, if needed, involve relevant faculty members in formulating
appropriate ways to assist the student to improve.
a. Guidelines for supplementary work
i. Students who miss up to 30% of lectures can be assigned the following
supplementary work which is to be done within 6 months after the
module has been completed. Work already completed must be at least
a pass standard
12 hours of set reading (120 pages) with an interactive reading report.
This work will not be counted in the final assessment but it must be at a
pass standard.
ii. Work to be done if ministry is incomplete.
If due to sickness or other issues that have made it impossible to
complete the work-based component of any module, this may be made
up within 6 months of the completion of the time the module was offered
or, under special circumstances, at the completion of the course. All
details are to be negotiated with the Academic Dean.
4
Process for determining the point at which the student has failed to meet
satisfactory course progress.
At the end of each module a review takes place of all student marks. The registrar
notifies the Dean of all students who have failed any modules. The Dean then
examines each individual case and reviews the circumstances. A report is made to
Revised 2013
the faculty and the Academic Council and a final evaluation of each individual
circumstance.
If it is obvious that an individual student has no possibility of remedying the situation
then a decision will be made to inform the student in writing. Australian students may
appeal the decision through the Grievance Policy process.
5
Procedure for notifying international students that they have failed to meet
satisfactory course progress.
The Dean will notify the student in writing of the decision of the faculty that they have
not made satisfactory course progress and that the Registrar intends to report the
student. This letter will also draw to the student’s attention the appeals process
(Grievance Policy) and that they have 20 days in which to make this appeal.
If the student does not ask for a review or withdraws, the Centre will notify the
Department of Education, Employment and Workplace Relations (DEEWR) through
PRISMS that the student has not achieved satisfactory course progress as soon as
possible.
Once DEEWR has been notified, the student is given 28 days within which to contact
the department to explain their circumstances or their visa will be revoked.
6
Procedure for assessing, approving and recording deferment or
suspension of the course.
A student or faculty member must apply in writing to the Academic Dean if they wish
to defer commencement of study or suspend the study program of a student. The
Academic Dean will consult with the Worldview staff to assess the application.
Deferment or temporary suspension of the enrolment will only be granted on the
grounds of compassionate or compelling circumstances or due to misbehaviour of
the student. The outcome of the application will be recorded and kept as a File Note
in the student’s file. The student will be informed in writing of the decision and made
aware of the Worldview appeals process (Grievance Policy) and that they have 20
days in which to make this appeal. The student will also be informed that deferment,
suspension or cancellation of the study program may affect their student visa.
In the case of overseas students, if there is no successful appeal, such deferment,
suspension or cancellation of enrolment will be reported to the DEEWR through
PRISMS.
