Allen Center Move-In Guidelines
MOVES
The following regulations for tenant moves are intended to insure more efficiency:
• All moves must be made after 5:30 p.m. during the week or on weekends and
holidays.
• Tenants moving in or out of the building must provide advance written notice to
the Property Management Office for assistance in coordinating the move.
• A representative of your moving company must contact the property manager at
least 48 hours in advance of your moving date.
• No moving vehicles, trailers, or vans may exceed 35 ft. in length and 13 ft. 2 in. in
height. Should your mover suggest any use of over sized vehicles, call the
property manager.
• A freight elevator will be reserved for your exclusive use, if possible. The Property
Management Office must be advised in writing of your move because the freight
elevators are turned off after business hours and will not be released by building
personnel without written approval from the property manager.
NOTE: Requests for their use are taken on a "first come, first served" basis.
• The moving company supervisor must sign in at the lobby level security desk of
the building before moves commence. Uniformed personnel at the lobby security
desk will issue badges for all moving company personnel. They will also release
the freight elevator if you have prior approval from the property manager.
NOTE: It is not necessary for the entire moving crew to go to the security desk. The
supervisor can distribute the badges at the loading dock.
• Passenger elevators may not be used at any time by any movers, or by any
employees engaged in the move.
• Your moving company will be held liable for any and all damages to the building
and elevators during the move.
• Any problems related to the use or operation of the freight elevators should be
reported to the lobby level desk immediately.
• All moves in or out of the building must originate and/or terminate at the loading
dock. No moves in or out of the building may originate and/or terminate at any
other location.
All public area floors with granite, travertine, stone, tile, or carpet finishes must be
covered and protected during the move. The protective materials used to cover
these surfaces must be plywood or masonite.
• All doors, doorframes, and wall corner edges in public corridors and elevator
lobbies must be protected against damage during the move.
• Moving personnel will not frequent any floor of the building other than floor(s) of
the moving tenant and the loading dock.
• Except for the loading dock area, smoking, eating, and drinking are strictly
prohibited in all public access areas of the building.
• All packing materials, boxes, cartons, discarded furniture, periodicals, machines,
and any other trash related to the move must be removed from the property. At
no time will tenants or movers be allowed to dispose of any packing materials,
boxes, cartons, discarded furniture, periodicals, machines, and any other trash
in any Allen Center trash compactor or receptacle.
• The moving company is solely responsible for disposal of all moving packages,
boxes, and cartons. When moving a tenant into the building, this may mean
they are required to make a second trip to the building after the tenant has
finished unpacking. Arrangement for picking up boxes must be coordinated
through the Property Management Office.
• Upon completion of the move, the moving company supervisor must sign out at
the security desk of the building before leaving the property. All building badges
must be returned at that time. Uniformed building personnel may also ask the
moving company supervisor to accompany them on an inspection of the loading
dock and freight elevators so that conditions can be documented. Failure to leave
the dock and freight elevators in a clean condition may result in the property
manager having the dock cleaned at the Tenant's cost.
CERTIFICATES OF
INSURANCE
Please review your lease to determine the exact requirements for
insurance. Evidence of compliance with this portion of the Lease, in the form of
Certificates of Insurance, should be submitted prior to move-in.
It is required that a current certificate of insurance be on file for the term of your
lease. Most insurance renews annually, therefore each year the certificate needs to
be updated. Additionally, any vendor or contractor employed by a tenant and
performing labor at the property must submit a certificate of insurance prior to the
commencement of work. Usually the vendor or contractor will be required to have
insurance coverage limits equal to the Property Owner minimum limits, but large,
significant work projects may require higher insurance coverage limits to be provided
(example: major construction). Please contact the Property Management Office with
any questions and/or concerns. This includes movers, telephone vendors, computer
cable installers, cleaners, furniture assemblers, etc.
CARE OF CRITICAL
RECORDS
Safeguard your critical files and records during the move-in process. Be careful not
to leave important papers stacked where they can be mistaken for trash.
EMPLOYEE
ORIENTATION
As your move-in date approaches, you may schedule your employees to visit your
new office to become familiar with their new work surroundings. For safety reasons,
schedule these visits after completion of any construction.
