INSURANCE

Solicit and execute property insurance and grounds policies, and manage property in adherence to carrier underwriting.

MAINTENANCE (IN SEASON – (Memorial Day through Labor Day)

Financial Maintenance

Assist in preparation of an annual operating and capital budget including capital reserve planning.

Assist in the preparation annual financial statements. Reporting includes a statement of income and expense compared to budget, accounts receivable aging, accounts payable, aging and schedule of disbursements.

Maintain segregated bank accounts for all Association activity. No funds are co-mingled with other properties or Associations

Initiate, manage and work through local tax abatement appeal with Town of Ashland through CP

Tax.

Coordinate preparation and filing of Federal and State tax returns for the Association

Provide a business address for all bills and receipts, town communications.

Oversee all financial and accounting services

Staffing Maintenance

Scheduling of on - site staffing

Hiring, training, supervision of on - site staff

Payroll service, workers' compensation, for on - site staff

Administrative Maintenance

Maintain up to date association records to include all condominium documents, correspondence, contacts, insurance, financial records, and maintenance scope of services.

Monitor the rules and regulations of the property, deal with problems and enforcement

Correspond with unit owners, tenants, vendors, local officials and other related entities

Maintain unit owner data base

Maintain due schedule and update as required

Attend, prepare for and lead annual Association meetings

Obtain and register all necessary Association documentation

Facilities Maintenance

 Manage a continuing building, grounds and preventive maintenance program, including, but not limited to the following;

Trash removal, clean up and dumpster service

Bath House cleaning, and accessorizing

Parking lot maintenance, re-grading, bumper resets and repairs

Parking area client management

Power wash, keep clear decked walkways

Repair walkway drainage as required

 Dock leveling and minor repairs

 Common Storage area organization, clean

 Lawn mowing

Plant maintenance, feeding, trimming, weed control

Tree trimming and cut backs

Selectively maintain water depths in shallow areas

Detention pond clean out

Drain Outlet maintenance

Maintain lighting and electrical system

 Aquatic Plant control and mitigation

 Daily Site Inspections for in boat in water problems

 Maintain B-Que areas, decks, grills

 Monitor capital reserve scope development

 Provide emergency client service as back up to site staff

 Inspect the property regularly for defects and improvements

 Utilize buying power and competitive bidding to obtain optimal pricing for supplies, equipment and services.

Manage all client communications, requests, concerns, questions, including, but not limited to the following;

 Declaration or Bylaw restrictions, enforcement of provisions

 Parking management

 Unit or Bath Lockouts

 Club House Scheduling

 Association Member Contacts

Project Management

 Project manager to supervise major repairs and improvements. This service may be an additional fee (prior approval required of Association prior to fee based work proceeding) and may include development of project scope, coordination with consultants, bidding, contracting, project oversight, contract management and communications with the Association, current projects are ;
