Notes for 2014:













Expo Floor hours are 9 a.m. to 6 p.m. Friday and 9 a.m. to 4 p.m. Saturday.
The Show Office is in Spaulding.
The overhead door entrance will not be used as the main entrance this year; we will be using the
doors just past the overhead door.
A 1953 Ford Golden “Jubilee” NAA tractor will be inside the Expo floor near the overhead doors.
Folks may climb all over it!
KidZone will be where we have had the moose previously. Lots of activities for kids throughout the
Expo.
We will separate out Exhibitor Check-in and the Main Gate for attendees to help alleviate
congestion.
All break-out/education session rooms are around Expo Center or above the hotel lobby.
We have animals! 4-H Kids will be participating with their animals on the Expo Floor. The NH Alpaca
Owners will have alpacas in 800/801. And on Saturday, the 4-H kids will have two mini-horses out
on the Expo Concourse.
Annual Awards Ceremony is Friday night at 6 p.m. in Salon A. Doors will open at 6 p.m. with the
program really starting at 6:30-ish. Exhibitors and VIPs were to RSVP by 1/27/14. For those
attending, there will be LIGHT hors d’oevres served (not a meal!) and a cash bar will be available. If
folks ask if tickets are still available, please send them to see Tori in the show office in Spaulding.
The Manchester Health Department will be in Friday morning for their inspection. Please notify Tori
or AJ when they arrive.
The Manchester Fire Department will have an officer throughout the Expo on the Expo Floor.
PDA Security/Paul Desrosiers will be our security provider, on hand Thursday during the day to
monitor the back parking lot as folks unload, Thursday overnight and Friday overnight.
WTPL 107.7FM will be doing a live radio broadcast from 6 to 10 a.m. Friday on the Expo Floor.
Exhibitor Registration Table [Check-in/Information Booth for Exhibitors]:
1. Hand out Exhibitor Packets
a. There are two copies of a list that lists exhibitors alphabetically – with their booth # for you
to tell exhibitors their booth number. Please just check off an exhibitor when they show up
so we easily know which exhibitors we are waiting on.
b. There will be four boxes of Exhibitor Packets – alphabetical in order. The packets just have
the exhibitor name on them and contact name. The booth numbers are on the exhibitor

passes inside the packet. The Expo floor will have booth number signs in the actual booths
for exhibitors to easily find their booth.
c. NOTE: if an exhibitor has outstanding fees owed to the Expo, they will not be given access to
the Expo Floor until arrangements have been made. Their packet has a pink slip of paper
taped to the front that asks you to find Tori Berube, Expo Manager. Do not give them any of
their passes. Exhibitors have been emailed they will not have access to the Expo Floor if
funds are still owed.

If an exhibitor has not submitted their insurance certificate, there will be a piece of colored
paper attached to the front of their exhibitor packet. They, too, will not have access to the
Expo floor. Find Tori or AJ please.
Exhibitor Packet contains:
i. Exhibitor Passes –
1. When an exhibitor signs out a pass, please have them PRINT their name on the
Exhibitor Pass sheet in their packet and take their pass.
2. When you hand the pass to the exhibitor, please explain the GSA at the gate
will be collecting the pass and stamping their hand. All passes will be collected
before the exhibitor actually gets onto the Expo floor – with no exception.
When the passes are gone from the envelope, an exhibitor will need to pay
the $7 gate admission fee to enter the Expo Floor.
ii. A reminder on Friday night the Expo floor closes promptly at 6 p.m.
iii. A reminder coffee is available Friday and Saturday mornings in the 4-H ice cream area.
iv. An Expo brochure.
v. A form for exhibitors who wish to donate to the silent auction in booths #105 and
#107.
Hand the exhibitor the contents of their Exhibitor Packet (labeled in upper left corner with
exhibitor’s name); keeping the packet in the box.
If exhibitors have questions about their booth, please have them see Tori Berube, Expo
Manager, who will have all their sign-up sheets and communications available – either in
paper or electronically.
Validate parking – All guests will need to bring in their parking ticket to be validated. Direct
them to the parking validator machine, located by the main exit doors of the Expo center
(near the overhead door). They will insert their parking ticket and it will be encoded to
charge $5.
i. Please note: We will also have a validating machine at the Exhibitor Registration desk
to help improve the validation process on Thursday and the main Expo gate Friday
and Saturday.
ii. All exhibitors were reminded of this process, and asked to share with their booth
workers in numerous communications prior to the Expo.

h. Jesse Remington High School will be building again on the Expo Floor. They have been sent
passes for students and adults – do not charge them a gate fee please.
Teachers and students of any school FFA program will be admitted to the Expo free of charge.
Teachers know to bring a letter on school letterhead to the Exhibitor Check-in booth. If they do,
collect the letter and have the student’s hands stamped. If they don’t have a letter, it’s okay, just
admit them.
Note: FARMO for 2014 will be handled by NH Agriculture in the Classroom. Direct any questions
from exhibitors or attendees about FARMO to the FARMO booth (booth #100) or to Debby Cox from
NH Ag in the Classroom (booth 201). NH Ag in the Classroom will be delivering FARMO materials to
those exhibitors who are participating. Hours for FARMO are 9 to 5 Friday, 9 to 4 Saturday.
There is an education session Friday afternoon called Women in Agriculture in Salon B. Those in
attendance may come to the booth and ask for a pass to the Expo. There is an envelope that says
Women in Agriculture. Please have them sign the sheet in the envelope for the pass, which is valid
for either Friday or Saturday, not both days (it will be collected at the gate). One pass per guest.
NEW FOR 2014. We have provided one guest pass to each education session presenter in case they
would like to walk the Expo floor – if they requested it! Please collect their pass just like any other
pass. (If a presenter asks for a pass, please direct them to Tori in Spaulding)
Cash Register / Door Greeter/Hand Stamper [Gate Staff]:
Please note this year:
1. All exhibitor booth personnel will have an exhibitor pass; if they do not have a pass, they
will need to purchase a regular-priced gate admission for $7.
a. The passes feature the exhibitor name and booth #. Exhibitor Passes are valid for
one day of the Expo, and must be collected. Please stamp the exhibitor’s hands
AND collect their exhibitor pass. Please store the collected passes back in the box
of Exhibitors envelopes at the Exhibitor check-in (just set them in the box). Tori
will be through periodically to collect the passes from you.
b. There are Media Passes that will feature the press person’s name and
organization. They are free admittance. PLEASE COLLECT THESE FROM THE
MEDIA SO WE WILL KNOW WHO ATTENDED. (SAMPLE ATTACHED)
c. We have promoted on WMUR, the Union Leader, WTPL radio and on our website
that if attendees bring 2 cans of non-perishable food, they will receive $1 off ONE
gate ticket. Please collect the food at the gate and store behind tall counter. We
will work with NH Food Bank (the beneficiary) to move these periodically.
d. If a guest requests a receipt, each ticket gate has a stack of receipts in a plastic
baggie. There are receipts for Friday, 2/7/14 and Saturday, 2/8/14.
e. PSNH has 24 passes that they will give out to their staff. The passes say PSNH
Guest and allow the holder free access to the floor. Please collect the ticket.
f. Hippo Press has 16 passes that they will give out their staff. The passes say HIPPO
Guest and allow the holder free access to the floor. Please collect the ticket.

g. WTPL 107.7FM has 24 passes that they will give out to their listeners. The passes
say WTPL 107.7 WINNER and allow the holder free access to the floor. Please
collect the ticket.
We should have about 5000 Expo brochures available to hand-out at the Gate.
Make sure to stamp the hand of everyone entering the Expo Floor.
We will have donated, reusable bags from various exhibitors that we will place on the
tables inside the Expo gate for attendees to take.
HAND STAMPERS – COLLECT ALL PASSES (EXHIBITOR, GUESTS, ETC) – stamp hand in
exchange – just put in the Exhibitor packet box at Exhibitor check-in.
Exhibitor Support/Aisle Walker:
1. Please introduce yourselves to each exhibitor in your assigned area. You can offer to “watch” their
booth if they need to leave for a bathroom or food break. You can also help them by relaying
messages or getting them water, etc.
2. Do not make sales for the exhibitor, simply tell the customer that the exhibitor has stepped out for a
moment and will be right back.
3. If an exhibitor or customer is very upset or angry, get their information and pass it along to Tori or
Naomi. Try not to become involved (but DO get someone who can help ASAP), especially if there are
major issues involving many customers or exhibitors.
4. While “walking the aisles” assist any guests as needed & HAVE FUN!
Education Session Guides:
1. Throughout both days, 10 minutes before educational sessions are to begin, we need to post one
GSA representatives with hotel maps and show brochures to guide attendees to the educational
sessions in the hotel lobby – directing to classrooms upstairs (a foamcore will be used to direct to
breakout rooms by Expo Floor).
2. This person will also work with Tori to check that rooms are set up properly before sessions begin,
and record session attendance.
KidZone Assistant:
1. Assist guests and presenters in the KidZone area as necessary.
2. Help guests with taking photos in the cut-outs (a cow, a moose, and Smokey Bear.)
NH Tourism Booth:
1. Represent the NH Division of Travel & Tourism.
2. UNIFORM NOTE: Please wear regular clothes (no GSA uniform.) Jeans are okay. We will provide you
with a visitnh.gov apron and nametag to wear.
3. Help guests enter the raffle.
4. Pass out NH Visitor Guides, highway maps, and other literature.

5. Answer guest questions about tourism and attractions in NH.
6. Re-fill brochure racks from underneath the table.

Miscellaneous:
1. Show Map with booth numbers will be near the entrance, provided by SER.
2. 4-H is selling ice cream in the back corner near the bathroom.
3. NH Food Bank’s Recipe for Success is in booths 616 and 717 – making yummy stuff for folks to
sample!
4. NH Fish & Game is back . Next to them this year is going to be the NH Trappers Association with
some type of cool display (like a waterfall, I believe)!
5. Kidzone – where the moose was. Lots of activities for folks to do!
6. We have various “Spinners” coming all day Friday and Saturday. They do not have passes, but will
be carrying their spinning wheel. Please just let them in – they will go to booths #415 and #417.
7. There is no live auction this year, but NH Made members and exhibitors have donated many items
for our two Silent Auctions! These items will be on display in booths 105 and 107. We have two
Silent Auctions scheduled – Friday from 10 a.m. to 2 p.m. and Saturday 9 a.m. to 1 p.m. Ann
Vennard of NH Made (Booth #100) is coordinating the auction.
8. The hotel will host concession food in their usual place!
