EXTRACURRICULAR PROGRAM
PERSONNEL AND SUPERVISION

The school principal is responsible for ensuring that the extracurricular program is properly supervised and
is authorized to assign qualified personnel to sponsor, coach or otherwise supervise each extracurricular
activity.
Requirements for all coaches:
The superintendent and board must be notified of all coaching assignments prior to the effective date of
each assignment. The board will approve all coaches and volunteers for the current school year only.
All personnel assigned to the extracurricular program are responsible for properly supervising students at
all times. At least two adult chaperones will accompany any student group to events outside the school
system when feasible. The superintendent has the authority to determine when a field trip with only one
adult chaperone is feasible.
All personnel assigned to the extracurricular program, including non-employees, will serve as positive role
models for students and will demonstrate integrity and respect through attitudes, behavior and dress.
Extracurricular activities, including club meetings and athletic practices and competitions, may not be
conducted on any day when school has been dismissed early or canceled due to inclement weather unless
the superintendent, or superintendent's designee, on the recommendation of the principal, has approved an
exception for a specific group, event or school.
Coaching supplements will be paid only upon completion of the mandatory system level training, which
will be offered multiple times each school year. The mandatory training must be completed prior to the
conclusion of the season which the coach is coaching.
Violations of this policy will result in sanctions against the principal, athletic director, and coach, up to and
including suspension without pay. If more than three cumulative violations occur in a three-year period,
the employees may be subject to dismissal or transfer.
Requirements for employee coaches:
Extracurricular program assignments should be consistent with an employee's training, experience, and
interests. Principals are responsible for assigning extracurricular duties in a manner that will not
negatively affect a teacher's instructional responsibilities. Principals are required to review the academic
performance of any school employee /classroom teacher prior to offering a coaching position to any school
employee. If classroom performance is not proficient or above, the employee is not eligible to coach.
In accordance with state law and board policy 7405, extracurricular duties will not be assigned to teachers
with initial certification or to teachers with 27 or more years of experience unless the teacher

requests a specific assignment in writing. Absent extenuating circumstances, a first year teacher should
never be assigned to more than one major on-going extracurricular activity.
Personnel assigned at the high school or middle school level as either athletic director, head or assistant
coach of any sport, or marching band director must be approved by the board.
Employee coaches require principal approval in order to work with students in the off-season or between
seasons.
Requirements for non-employee coaches:
In assigning personnel to extracurricular duties, principals will first consider school employees and then
other school district employees. If necessary, non-employees may be contracted to assist with the
extracurricular program, subject to the board's approval. All non-employee coaching requests and
volunteer requests must be submitted for Board approval prior to the first day of practice of any sport.
Non-employee coaches, including volunteers, at all levels must also be approved by the board.
Non-employee coaches, including volunteers, may not work directly with students until the board has
approved the specific assignment.
All non-employee coaches and volunteers must be approved each school year.
