To: YUL Technical Services Staff From: Joan Swanekamp Re: Item records for Partially Analyzed Multipart Monographs and Monographic Series: Change in Procedure Date: May 9, 2003 A. If the multipart/monographic series is fully analyzed: 852 $x anlyz (NOTE change in abbreviation from “anal”) Each item record must be linked to its individual analytical title record. No volume number is entered in ENUM (the label program will get the vol. number from the 852 field of the analytic) No items should be linked to the cover record Voyager “bound with” technique should not be used with item records at this time B. If the multipart/monographic series is partially analyzed, e.g., any situation where one of the volumes recorded in the multipart 505 is "[without special title]": 852 $x part anlyz (NEW) All items should be linked to the cover record. This practice will eliminate the problem of having some items linked to individual analytical records and other items linked to the cover record. (NEW) Volume number is entered in ENUM. In those rare cases where the multipart is itself part of a classed together series, the number in ENUM should be the volume number of the multipart, not the volume number of the classed together series. SML practice: In these situations only, the call number should be written on the verso t.p. (the vol. number will correspond to the monographic series not to the bibliographic vol. number) and the volume should be flagged for the attention of SML Preparations. In some cases the adding process will reveal that the item record linking needs to be changed from fully analyzed (A.) to partially analyzed (B.), either because the obsolete procedure was followed or because the volume to be added is the first part without special title. When this occurs, All item records should be relinked to the cover record Volume number should be entered in ENUM Exceptions may be made if the older procedures have been followed and the set is very large; use cataloger judgment.
