FURTHER INFORMATION Main Responsibilities: To provide a personal assistant/secretarial service for the DIL PI’s (John Todd, Linda Wicker and David Clayton) and DIL Administrator (Judy Brown) including (i) audio-typing, word processing and use of graphics/artwork computer programmes, (ii) diary management and arrangement of schedules, domestic and foreign travel, as well as arranging frequent meetings at all levels, (iii) receiving and opening mail and replying on DIL PI’s behalf in their absence, (iv) responsibility for observing and meeting deadlines for submission of annual reports to sponsors, (v) preparation of articles and artwork for publication in scientific journals, abstracts, books, and lectures etc, checking journal styles with authors. Conducting bibliographic searches in connection with these and creating and updating Endnote libraries. On-line submission of manuscripts and abstracts, (vi) maintain up-to-date CVs for PI’s, (vii) receiving incoming calls and, using initiative wherever possible, to resolve matters without need for the PIs intervention, (viii) in co-ordination with the DIL’s Administrator, arranging advertisements and subsequent interview for vacant positions in the DIL, (ix) maintaining files and custodian of personnel, publications, journal subscriptions and staff development databases. 1 To purchase laboratory supplies for the DIL including (i) raising requisitions for DIL members (ii) maintaining stationery stocks (iii) reconcile delivery notes with orders and discuss queries with suppliers, (iv) reconcile monthly invoices with statements from overseas suppliers, (v) act as deputy to the DIL’s Laboratory Manager in her absence. To arrange meetings including (i) bi-weekly lab meetings with PIs and group members, (ii) seminars from visiting international collaborators including arranging accommodation and travel for speakers. To disseminate relevant information to DIL members by posting on the intranet including (i) maintaining up-to-date lists of DIL publications, (ii) Papers of Interest, (iii) international conferences, (iv) staff contact information, (v) access to on-line journals. To provide support (secretarial and administrative) to others in the DIL including (i) registering attendees at local and overseas meetings and seminars, (ii) sourcing and booking international travel via the internet and travel agents, either direct or with overseas connections, (iii) submitting for approval expense claims. To arrange transport of biological material including (i) booking couriers for importing and exporting dry ice packages, (ii) tracking deliveries, (iii) organising VAT exemption certificates (iv) authorisation of invoices. SKILLS AND EXPERIENCE REQUIRED Applicants should have a good educational background including GCSE English and Maths (grade A-C) Three to five years’ secretarial and administrative experience Experience in the use of computers and familiarity with a range of computer software packages, including word processing, databases, spreadsheets Excellent keyboard skills, with recognised qualifications (RSA Stage III word processing or typing qualifications) Knowledge of email and the use of the internet SKILLS AND EXPERIENCE DESIRABLE Audio-typing to include scientific and medical terminology Experience of Cambridge University’s Finance System (CUFS) PERSONAL QUALITIES Accuracy and attention to detail Ability to take initiative and make decisions when necessary, to prioritise a varied workload, to remain calm under pressure and to meet deadlines Good interpersonal and communication skills A flexible approach to a range of different tasks 2 The ability to work as part of a team 3
