On-Campus Student Employment
TERMINATION CHECKLIST
Manager Responsibility:
Voluntary Termination: Request letter of resignation and confirm last date of employment

Involuntary Termination: Consult with the Office of Student Employment, talk with the student employee and provide a

termination letter to the student and Office of Student Employment
Complete an online termination request & forward any additional forms to the Office of Student Employment

Resolve any scheduled projects, appointments or other business

Notify Netadmin for Campus Connect, PeopleSoft, and telephone access deactivation, complete the online access

termination form
Collect the following items:
 keys (office, desk, cabinets, etc.)
 department materials (i.e., files, records, & etc.)
 cellular phone/blackberry/pager/two-way radio and accessories (if applicable)
 credit, telephone and building access cards (if applicable)
 laptop and accessories (if applicable)
 other proprietary materials
Office of Student Employment Responsibility:
Approve the online request for involuntary terminations

Resolve any employee relation - termination issues that may arise


pertaining to any of the University policies.
Detailed Steps for an Involuntary Termination
The termination process involves two major objectives:
1. to terminate the employee within DePaul’s mission and culture,
2. to understand the terminating process at DePaul (policies and procedures).







After you have exhausted all options and considered all of the potential ramifications, legal and otherwise, terminating the
employee is the next step.
If termination is warranted, the supervisor should consult with the Assistant or Associate Director of Student Employment to
make sure a consistent and fair policy is being followed.
This should not be a surprise to the student; if this is a result of progressive discipline there should have been previous
conversations about the behavior(s).
Progressive Disciplinary Forms should be filled out by the supervisor and signed by the student.
The student should receive a letter from the supervisor outlining the reason(s) for termination (consult with the Office of
Student Employment).
If a student is terminated, a SEAF must be completed to record this change in status.
All of this paperwork should be sent to the Director or Assistant Director of Student Employment (SEAF, letter of
termination, Progressive Disciplinary forms)
Remember: the termination process is a shared responsibility between the Manager & the Office of Student Employment
